When the room has grown past what a passive device can physically do - and not a moment before. A reed diffuser is passive in the strict sense: oil climbs the reeds by capillary action and evaporates at whatever rate the room's temperature and air movement allow. Nothing pushes it, nothing meters it, and its output is set by the room rather than by you. That is a perfectly good arrangement in a small space and a genuinely poor one across a training floor. There are five honest signals that you have crossed the line, and one honest situation in which a gym should simply keep its reeds and spend the money elsewhere.

Passive output is fixed and low, and the room sets it
A reed diffuser works by capillary action: oil climbs the reeds, reaches the exposed length above the neck of the bottle, and evaporates into the air around it. That is the entire mechanism. Nothing is pumped, nothing is metered, nothing is scheduled - the rate is decided by how warm the room is, how much air is moving past the reeds and how many of them are in the bottle. Two consequences follow, and they are why a reed is excellent in one place and useless in another. The first is that the output is low, which is a feature in a washroom or on a reception desk and a limitation everywhere else. The second, and the one people miss, is that in any room the level that actually settles is a balance between how fast fragrance is being released and how fast it is being removed. Frequently asked questions
Could we just put a lot more reeds around the gym instead?
It is the natural first move and it rarely gets where you want. More bottles do raise the total release, but they do not change the two things that are actually beating you - the size of the air volume and the rate at which it is exchanged - so the improvement is much smaller than the number of bottles suggests. You also acquire a set of new problems: bottles on a training floor get knocked, spilled and moved, oil on a rubber floor is a genuine slip and cleaning issue, the reeds all age at different rates so the building becomes uneven, and somebody now has a rota for twelve bottles. Cost adds up too - a dozen reeds at Rs 749 to Rs 849 is not far off the price of a machine that does the job properly and runs on a timer. Reeds are excellent where they belong: a washroom, a reception counter, a small office, a single quiet studio. Scale is not what they are for.
We are a well-ventilated club. Does that mean scenting will never work for us?
It means it is a harder job, and we would rather tell you that than pretend otherwise. High fresh-air exchange removes scented air continuously, so a gym needs more machine per cubic metre than a sealed room of the same size, and the sensible expectation is a quieter result than a hotel lobby would give you. How do I know whether it is the diffusers or the building that is the problem?
Run a simple test before you spend anything. Take one reed diffuser and put it in your smallest enclosed room - a manager's cabin or a dry consultation room - with the door shut, and leave it for a week. Then walk in cold, from outside, in the morning. If you can smell it clearly in that room and cannot smell anything on the training floor, your diffusers are working perfectly and the floor is simply a volume and ventilation problem, which is a machine question. If you cannot smell it in the small room either, something else is going on - the bottle is old, the reeds are saturated and need flipping or replacing, or the room has an air movement issue worth looking at. The other half of the test is who does the smelling: use somebody who has just come in from the street, never a person who has been in the building since the morning shift.
Is a professional machine going to make the gym smell obviously fragranced?
Not if it is set correctly, and in a gym the setting should be lower than in almost any other commercial space. The point of an active machine is not more fragrance - it is a steady low level instead of spikes and gaps, and most clubs that move from spraying to a machine end up putting less total fragrance into the building than they were before.
