The presentation room is the smallest volume in the practice and the one people occupy longest without leaving. A client sits in it for an hour or two, looking at drawings they are about to commit money to, with fresh prints on the table, a model that may have been sprayed last week, and a board of timber, stone and fabric samples they are being asked to handle. That combination sets the brief precisely: this room takes the lowest setting in the building, and it is aired between meetings rather than dosed during them.

Every other room in a studio is either large or briefly occupied. The presentation room is neither. Take a normal one: 300 square feet at a ten-foot ceiling is 3,000 cubic feet, which divided by 35.3 is about 85 cubic metres, and into that goes a client, often their partner, sometimes a consultant, and two or three people from your side, for anything between one and two and a half hours. Nobody is going to stand up and leave because the room feels heavy; they are going to sit there and be slightly uncomfortable, and you will read it as the meeting going flat rather than as the air. And there is very often a sample board or a tray of loose samples - oiled or waxed timber, leather, stone, a fabric memo, a cork or acoustic panel - which the client is going to pick up, turn over and hold. Several of those materials smell of themselves, and that smell is part of the information the client is assessing, whether or not anyone says so out loud. An ambient level high enough to be noticed sits directly on top of that. The rule that follows is simple: the room's level must be low enough that a sample lifted to the nose still reads clearly, and the machine never goes on or beside the sample table. Should we turn the machine up before an important client meeting?
No, and this is the single most common mistake in a presentation room. A room that has just been boosted smells like a room that has just been boosted: the level is uneven, the top notes are at their most obvious, and the effect is precisely the impression of effort you were hoping to avoid. It is also unfair to the people already in the building, who get the peak of it. The correct approach is a steady low level held on a schedule, so the room is the same at nine in the morning as it is at four in the afternoon and a client meets a state rather than an event. If you want the room to feel fresh for a meeting, use the fifteen minutes before it for what actually works: open the door, run the ventilation, clear the table from the last session.
Our presentation room has no windows. Does that change the answer?
It makes everything on this page more important rather than less. An internal room depends entirely on mechanical ventilation, and in most fitouts that means a fan coil or a split unit recirculating the same air with a modest fresh-air component, which is why an internal meeting room gets close after ninety minutes with six people in it. Check what the room's actual fresh-air provision is, because you may find it is less than the drawing implied. Then run the turnaround discipline strictly: door open between meetings, ventilation running, and no meetings scheduled back to back without a gap. Not the register, but it does change the room. A darkened room with a screen and projector or a large display running for two hours is warmer than the same room lit and empty, and warmth increases both the perceived presence of a fragrance and the general stuffiness that comes with six people and no air movement. So a room that is set correctly for a bright material meeting can feel heavier during a long presentation.
