Most reception scenting advice is written for somebody browsing. A law firm reception is not that room. The people sitting in it are frequently there about something that has gone badly wrong, and they are not relaxed, distracted or open to atmosphere. They are alert, they are rehearsing a conversation, and they are noticing everything in front of them, including the air. That single fact points in one direction, and it is the opposite of what most people expect: in this room the correct move is less.

What should a law firm reception smell like when clients are waiting with bad news? Of as little as possible. A person waiting to be told something serious is in an alert state, and alertness raises what they notice and lowers what they tolerate. That is the reverse of a hotel lobby or a showroom, where a visitor is unhurried and receptive. An alert person is a harder audience than a relaxed one
Ambient scenting borrows most of its practice from retail and hospitality, and both of those assume a visitor in a receptive state: unhurried, mildly curious, willing to be impressed. A law firm reception routinely holds the opposite. Somebody is there about a demand notice, a partnership that has broken down, a construction dispute that has stalled a project, a matrimonial matter, an arbitration date. Is it disrespectful to scent a reception where people are receiving bad news?
It is not disrespectful in itself, but it becomes so at the wrong level. There is nothing wrong with a professional office deciding what its air smells of instead of inheriting whatever the building and the corridor supply, and a dry, quiet register held below the level anybody could name is simply part of a well-kept room. What crosses the line is a reception that announces itself, because a person arriving about a serious matter reads a strongly perfumed waiting area as an attempt to manage their mood, and they are not wrong to read it that way. The test is straightforward. If a client could describe the fragrance afterwards, it was too much. If they described the office as orderly and well-run and could not say why, the level was correct.
Would it be better to have no fragrance at all in this room?
For many firms, yes, and that is a completely respectable answer rather than a failure. A reception that smells of clean, moving air and nothing else is a good reception, and if your building gives you that already then the honest recommendation is to spend the money on the seating and leave the air alone. The case for adding anything is narrower than the industry usually admits: it applies when the room is not neutral on its own, when the corridor, the lift lobby, an old carpet, the air-conditioning or a neighbouring tenant is contributing something you would not choose. A client told us the reception smelled strong. What should we do?
Turn it down that day, before any discussion about whether they were right. In a law office one comment is worth several, because saying it means volunteering an awkward observation to a professional you are about to ask for help, and most people will not do that.
