The consultation room is the smallest volume in your practice and the one a client spends the longest inside. Two hours at a table with boards laid out, samples handled and passed across, a door that stays shut for privacy, and often no window worth opening. Everything that makes a studio easy to scent is missing here, and the correct instinct is the opposite of the usual one: this room gets the lowest setting in the building, and most of its air quality comes from between the meetings rather than during them.
Quick answers — read this first
How should a client consultation room in a design practice be scented? At the lowest setting in the practice, or not during the meeting at all. It is a small closed room holding people for one to two hours with no easy escape, which is the exact profile that punishes overdosing. Air it properly between meetings - door and window open, or the air-conditioning purging for a few minutes - rather than dosing it while the client is in there. If you run a machine, run it before the meeting and let the room settle, not through it. And do not store sample boards or fabric memos in that room, because absorbent materials take on whatever the room smells of. Vaayu Rs 11,999 with a timer, Sukoon Rs 1,899, blends from Rs 299.

How big is a consultation room in scenting terms? Small enough that the arithmetic surprises people. A 180 sq ft meeting room at a nine-foot ceiling is 1,620 cubic feet, which divided by 35.3 is about 46 cubic metres. A more generous 250 sq ft room at ten feet is 2,500 cubic feet, about 71 cubic metres. Against a Vaayu rated at roughly 1000 cubic metres of connected air, that is a fraction of a per cent of what the machine can do, which means the only sensible way to run one here is very low and on a schedule - or to let the room take its scent from the connected studio outside rather than have a source of its own.

Does scenting a consultation room help win the project? No, and we will not suggest it does. Ambient scent research supports improved evaluations of a space and the service delivered in it at moderate effect sizes; it does not support any claim that fragrance influences a specification decision, a material approval or a signed proposal, and a design decision made across that table belongs to the client and to your work. What a well-aired, quietly kept room genuinely does is remove distractions - stale air from the meeting before, the smell of yesterday's coffee, a room that has been shut since Friday. That is worth doing on its own terms.
The short answer
Short answer: A design practice's consultation room is a small closed volume that holds a client for one to two hours with material boards out, so it takes the lowest setting in the practice. A 180 sq ft room at a nine-foot ceiling is 1,620 cubic feet, about 46 cubic metres. Air it between meetings rather than dosing it during them, run any machine before the meeting on a timer, and never store sample boards or fabric memos in there, because absorbent materials take on the room. No claim is made that scent influences a specification decision or an approval. Vaayu Rs 11,999 with app and timer, Sukoon Rs 1,899, blends from Rs 299, reeds from Rs 749. WhatsApp +91 96192 18531.

Every customer-facing space hosts two audiences at once: the customer who forms an opinion in a single visit, and the staff who breathe that air for eight hours. Commercial scenting serves both with one move - a single refined fragrance, held evenly from the entrance to the far end of the floor, running on a schedule nobody has to remember. Customers experience it as "this brand has itself together"; the team gets premises that smell composed from opening to close.
Straight answer
How do I scent the room where clients sit for two hours going through boards?
Six rules, and two of them are about not scenting it. 1. Air it between meetings, not during them. The single most useful thing you can do to a consultation room is open it up for a few minutes between clients - door, window, or the air-conditioning running with the door open. A room that has held four people for two hours needs air exchange, and no fragrance substitutes for it. 2. Run any machine before the meeting, not through it. A timer on a SOSA Vaayu (₹11,999) or a fixed short run on a Sukoon (₹1,899) lets the room settle so the client arrives to even air rather than to something being actively released beside them. 3. Lowest setting in the practice. Smaller volume, longer exposure, closed door, no escape - a 180 sq ft room at nine feet is only about 46 cubic metres. Whatever the studio outside is running at, this room runs below it. 4. Often the best answer is no source at all. If the room opens off a scented studio, let it take what drifts in and give it nothing of its own. 5. Do not store boards or memos in there. Fabric, leather, veneer and paper absorb ambient scent, so a consultation room used as overflow storage is a small material library with the same problem. Boards come in for the meeting and go back out. 6. Use a dry register. The 1 Hotels-inspired cedarwood, vetiver and green leaves, the Ritz-Carlton-inspired white tea, bergamot and cedar, or the Westin-inspired white tea, aloe and cedar from the Hotel Collection (from ₹299). Nothing sweet or heady in a closed room. And nothing on this page claims that the air changes what a client approves. WhatsApp +91 96192 18531 with the room dimensions. A closed room, two hours, and a table full of samples

Three things make this room different from the studio outside it: its size, the length of time a client sits in it, and the fact that the table is covered in materials that must smell of themselves.

Why this works
Why the smallest room takes the smallest dose
1A 180 sq ft room at 9 ft is 1,620 cu ft - about 46 cubic metres of closed air2Clients sit in it for one to two hours behind a shut door and cannot step out3Air it between meetings; run any machine before the meeting, never through it4Boards and memos are brought in and taken out again - never stored in there
The commercial standard: the SOSA Vaayu at ₹11,999 - waterless, app-scheduled, ~1000m³ coverage. Single rooms start on reeds from ₹749.
1
The volume
The arithmetic of a room nobody thinks of as a room
Do the sums before you decide anything, because they change the instinct. A typical consultation room in an Indian design practice is 150 to 250 sq ft with a false ceiling at nine feet, sometimes nine and a half. Take 180 sq ft at nine feet: 1,620 cubic feet, which divided by 35.3 is about 46 cubic metres. A more generous room of 250 sq ft at a ten-foot ceiling is 2,500 cubic feet, about 71 cubic metres. Set that against a machine like the Vaayu, rated at roughly 1000 cubic metres of connected air, and the mismatch is obvious: you are not sizing a machine to a room here, you are working out how to give a very small room a very small amount of something. The second half of the arithmetic is time. Occupancy in a consultation room is not the two-minute pass-through of a reception; it is four people, sometimes six, sitting in 46 cubic metres for ninety minutes or more with the door closed for privacy, generating their own heat, humidity and CO2, with coffee on the table. Small volume plus long occupancy plus a closed door is the profile that makes overdosing unforgiving, and it is why this room sits at the bottom of the practice's dosing ladder rather than the top.
Tip: 180 sq ft at nine feet is about 46 cubic metres - and four people will sit in it for ninety minutes with the door shut.
2
The rhythm
Between the meetings is where the work happens
The most valuable habit in a consultation room has nothing to do with fragrance. A room that has held a two-hour meeting needs air exchange before the next one, and in most practices it does not get any: the door closes behind one client and opens for the next fifteen minutes later. What the second client walks into is the previous meeting - warm air, coffee, four people's day, the flat closed smell of a room that has been sealed. No amount of fragrance fixes that, and adding fragrance to it produces the worst version of the room, because you are now layering over stale air rather than clearing it. So build the gap into the diary: door open, window open if there is one, air-conditioning running with the door held back for five minutes, and the cups cleared immediately rather than after the next meeting. If a machine is running in there, the honest pattern is a scheduled run that finishes before the client arrives, so the room has settled into an even, low background rather than being actively dosed beside somebody's shoulder for ninety minutes. That is exactly what the timer on a Vaayu (₹11,999) is for, and it is a better argument for the machine than coverage is.
3
The table
The room where materials must smell of themselves
Everything that happens at that table is a materials exercise. Boards are laid out, a hide is passed across, two wools are held up against each other, a veneer is turned towards the window to catch the light, a stone sample is put next to a fabric to test a pairing. People use their noses on those materials whether or not they would describe themselves as doing so - leather, wool, timber and paper are all materials where smell is part of the object. Two consequences follow. The first is that the room's own scent has to sit far enough back that it does not intrude on that, which is the dosing argument again from a different direction. The second is a storage rule that practices break constantly: consultation rooms make excellent overflow storage, and the moment fabric memos, board stacks or a leftover sample set start living in there permanently, you have created a second small material library with exactly the absorption problem described in the material library page. Boards come in for the meeting and go back out afterwards. And nothing here claims the air will move a decision: what a client approves at that table is a matter of your work and their brief, and we are not going to pretend the room's fragrance has a vote.
Tip: materials on that table have to smell of themselves. Everything else in the room's air is a distraction from the thing you are being paid for.
The SOSA principle
The room a client sits in longest gets the least. Air it between meetings rather than dosing it during them - and keep the boards out of it when the meeting is over.
A small closed volume, ninety minutes of occupancy and a table covered in absorbent samples: three reasons the consultation room runs below everything else in the practice.

Whatever your business sells, the system logic is the same: one signature, sized to the space, scheduled so it never depends on anyone's memory. A single small room or a consultation corner can sit happily on reeds with no power at all; a customer-facing floor wants the Vaayu; a venue or a flagship wants HVAC. Every SOSA system is supported from India, and the Hotel Collection blends - SOSA's own hotel-inspired interpretations - run across the powered ones. A portion of every order supports girl-child education through Nanhi Kali. Here is the full commercial range.

Honest notes for business owners: scenting compounds a well-run premises and rescues nothing. Ventilation, air-conditioning and cleaning come first, and fragrance never substitutes for hygiene or air quality - if the air is stale, damp or smoky, fix that at the source before any scent goes in. The people most exposed to the fragrance are not your customers but your STAFF, who work eight-hour shifts in it, which is why whisper calibration and locked settings are standard on every SOSA commercial install, and any staff sensitivity report should be treated as a recalibration signal rather than a complaint. Healthcare and wellness spaces need extra restraint: keep scenting to reception and circulation areas, never treatment rooms, and the practitioner's judgement overrides anything in this guide. The Hotel Collection scents are SOSA's own hotel-inspired interpretations; SOSA is an independent Indian fragrance house, not affiliated with or endorsed by any hotel brand. Ultrasonic systems use the water-based Hotel Collection fragrance; the Vaayu and HVAC systems run waterless nebulising oil - the formats are not interchangeable. WhatsApp consult: +91 96192 18531. ISIPCA
Versailles
A note from Sonal

I have walked into jewellery showrooms lit like museums, bridal boutiques with hand-embroidered walls, furniture floors styled down to the last cushion, clinics with better art than most galleries - and in almost every one of them, the air was an afterthought. Floor polish, packaging cartons, the phenyl from the morning mopping, the workshop or the loading bay drifting forward. The one thing every customer takes in before they see anything is the thing most businesses leave to chance.

I trained at ISIPCA in Versailles, where the world's scent-marketing perfumers learn the craft, and what I build for Indian businesses is the same architecture the global hospitality brands use, whatever you sell: one signature, sized to the space, run on a schedule - so the scent is as reliable as your lighting. A consultation corner may only need reeds; a full floor needs the Vaayu; a venue needs the HVAC systems. If you want it applied to your specific premises, message us on WhatsApp at +91 96192 18531 with the type of space and its approximate size - I read those descriptions myself.

Everything is made or assembled for Indian conditions, supported from Pune - and a part of every order funds girl-child education through Nanhi Kali. Your brand gets a memory; a girl gets a classroom. That equation has always felt right to me.

Frequently asked questions

Should the consultation room smell different from the studio?
Same register, lower level, and usually no separate source. A client walks from the studio into the meeting room in a few seconds, and two different fragrances across that distance produce a collision rather than a sequence. If the room opens off a scented studio, the simplest and best arrangement is to give it nothing of its own and let it take what drifts in through the door - which in a small room is generally enough. If it is genuinely sealed off, run the same blend at a lower setting on a timer that finishes before the meeting starts. What you should not do is treat the meeting room as a place to be more generous because it is where clients are impressed. It is the room where restraint matters most.
What if a client says they are sensitive to fragrance?
Switch it off for that meeting and do not make a discussion of it. Fragrance sensitivity, migraine triggered by scent, asthma and pregnancy are all common and all sufficient reason on their own, and in a closed room for two hours the person has no way to step back from it. The practical version: keep the room able to run unscented at short notice, which is another argument for a timer and a locked schedule rather than a reed quietly evaporating in the corner that nobody can switch off. If you know in advance, air the room properly, leave the machine off from the previous evening, and hold the meeting somewhere else if the room has been running strongly. The client's report is the whole of the evidence you need.
Can we put a reed diffuser in there instead of a machine?
You can, and there is one honest disadvantage that matters in this specific room: a reed cannot be turned off. It runs at a rate set by the room's temperature and airflow rather than by you, it runs through every meeting including the one with the client who cannot tolerate fragrance, and it runs all night in a closed room, which in a small sealed volume means the first meeting of the day walks into the most concentrated air of the week. In an open studio those are minor points. In a 46 cubic metre room with the door shut they are not. If you do use one, put it in a room that is aired daily, keep it away from the table, and be prepared to remove it entirely for a meeting. Reeds from Rs 749 are still the right tool for a washroom or a cabin.
Does a nicer-smelling room make clients more likely to approve a scheme?
There is no honest basis for saying so, and we are not going to say it. The research on ambient scenting supports better evaluations of a space and the service delivered in it, longer dwell and stronger recall, at moderate effect sizes. It says nothing about specification decisions, material approvals or signing a proposal, and it would be a strange claim to make about a room where a client is spending real money on their own home based on your drawings and your judgement. What the room can legitimately do is not get in the way: clear air, comfortable temperature, good light on the samples, no distraction from the meeting before. That is the entire brief, and it is achievable without any claim about persuasion.
Our consultation room has no window and shares the studio air-conditioning. What then?
Then air exchange is your real project and fragrance is a footnote. A sealed internal room on a recirculating split is the hardest air in a design practice, because the only exchange it gets is when the door opens. Build that into how the room is used: door open between meetings without exception, a fan or the AC running with the door held back for a few minutes, and where possible a longer gap after a two-hour session rather than back-to-back bookings. If the building allows any fresh-air provision or an exhaust for that room, it is worth more than anything on our price list. Then keep the fragrance minimal or absent, because in a room with poor exchange whatever you add stays. Send us the dimensions and the ventilation arrangement on WhatsApp at +91 96192 18531 and we will tell you honestly whether to scent it at all.

About this guide: Written by Sonal Sahani, ISIPCA Versailles-trained founder and perfumer at SOSA Home & Body. Product recommendations reflect the SOSA commercial range; the scent-marketing strategy advice applies to any business's systems.

Facts verified August 2026: Ambient scent research consistently associates pleasant, congruent scenting with improved evaluations of a space and its service, longer dwell time and stronger brand recall at moderate effect sizes; congruence (scent matching the setting) and gentle intensity outperform strong scenting in replicated studies, and no scent effect survives poor ventilation, poor cleaning or poor indoor air quality. Olfactory memory is unusually durable: scent-linked brand memories persist and retrieve for years, which is the mechanism behind signature scents. Staff exposure is the design constraint, since employees breathe the fragrance for full shifts: whisper calibration, locked settings and sensitivity accommodations are standard practice, and healthcare and wellness settings call for extra restraint. SOSA systems: alcohol-free reed diffusers from ₹749 for single rooms with no power needed; Sukoon 500ml ultrasonic (₹1,899) and Megh 6L ultrasonic (₹3,499) run the water-based Hotel Collection fragrance (from ₹299; refills from ₹999, 100ml ₹999); SOSA Vaayu (₹11,999) is a waterless cold-air nebulising machine, ~1000m³ coverage, Bluetooth app and timer; SOSA Aangan (₹25,999) and SOSA Meenar (₹38,500) are HVAC nebulising systems for approximately 8,000-10,000 and 12,000-18,000 sq ft respectively.
