This is the right question and it is worth answering as a ranked list rather than a set of possibilities, because the ranking is what saves money. The four real causes are ventilation, moisture, drainage and fabrics, in that order, and the order is set by frequency and by cost, which for once agree with each other. Fragrance is on the list in the question but it does not belong there, and the reason is not modesty on our part: fragrance cannot fix any of the four, and putting it in early makes the other four harder to diagnose. Ventilation first, because it is free, it works within twenty minutes, and it is the commonest cause in Indian hospitality by a distance. Two things to check. Is the room actually being aired, which in practice means whether anybody opens a window during and after service, or whether in a sealed building the fan-coil and bathroom extract are run with the door closed for a period. And is the bathroom extract working at all - hold a tissue to the grille, and if it does not hold, the fan has failed, the duct has collapsed, or the grille is choked, and every shower for months has been putting moisture into the room instead of out of it. That single fault produces more musty hotel rooms than anything else on this list, and it is invisible because nobody looks at an extract until it makes a noise. Also check the timing of the ventilation: airing a room at nine in the morning and releasing it at six in the evening is not the same as airing it at four, and if your problem reports cluster in the evening, the schedule is implicated. Moisture second. The air-conditioning condensate tray, drain line, filter and coil are the commonest hardware source in an Indian hotel room, and they are also usually outside housekeeping's remit, which is why they persist. If the tray holds standing water or the drain is partly blocked, you have a wet reservoir inside the machine that blows air across the bed, and the diagnostic tell is a room at its worst in the first minute after the unit starts and settling afterwards. Then the building fabric: put a flat hand on external walls, particularly below the window, beside the bathroom and in the corners, and feel for cold and damp. Look for the faint bloom on paint that precedes anything visible. Rooms on the weather elevation, on the ground floor, directly under a terrace, or adjoining a plant room or riser are the usual candidates, and this is the point at which you should be writing a room list rather than a hotel-wide conclusion, because musty is almost never a whole-building condition. Four or five rooms typically account for the great majority of complaints, and the list is stable year to year. Drainage third, and it is third only because it is less frequent than the first two - in cost and speed it is the best fix in this entire article. A floor trap in a bathroom or on a balcony that is not regularly used evaporates dry, and once dry it is an open pipe into the drainage system delivering drain air continuously. It is the most misdiagnosed smell in hospitality because it presents as staleness or mustiness rather than as drains. The pattern that gives it away is that the worst rooms in a soft season are the ones nobody has been in, since use is what keeps a trap wet. Pouring water down every trap in every unoccupied room, on a schedule, costs fifteen seconds a room. Beyond traps, check for slow-draining showers and basins, which mean waste held in the pipe, and in older properties raise the stack and the shaft with maintenance rather than housekeeping. Fabrics fourth, and this is where the money is, which is exactly why it should be checked last rather than first. Curtains, carpet, underlay, upholstered headboards, seat cushions, the mattress protector and the wardrobe lining absorb over years and release faster when warm. The diagnostic tell is time of day: a room that reads acceptable at eight in the morning and musty at four in the afternoon, with the sun on the fabrics, is telling you the soft materials are the source. The other tell is that the smell survives twenty minutes of genuine ventilation and returns within an hour of the room being closed again. Fabrics are also the one cause where the answer is replacement rather than a procedure, which is why you want to have eliminated the first three before you sign a purchase order, and why a shampooed carpet that was not dried properly can create the problem you are trying to solve. Now fragrance, and the reason it is not a fifth option. Fragrance does not mask an existing smell. It combines with it. The guest receives both, the combination is generally worse than either component alone, and it carries an additional message the musty note did not carry on its own - that somebody in the building knew and decided to cover it rather than fix it. In a hotel that judgement is expensive, because a guest is sleeping in the room for eight hours and cannot leave when they have had enough. There is also a practical cost that operators feel more keenly: fragrance destroys your instrument. Once a diffuser is running in a room you can no longer tell whether the extract repair worked, or whether the trap stayed wet, or whether the new curtains solved it, so you will be back in that room in six weeks with the same complaint and no information. Keep the room clean-smelling and unscented while you are working on it. So the order of work in a hotel is ventilation, moisture, housekeeping and laundry, and fragrance fourth, and that order is not a disclaimer, it is the sequence that works. The good news at the end of it is that fragrance in a correctly functioning building is genuinely cheap, because a room that is already right needs almost nothing. Guest rooms are the lightest zone in the property, often carrying only what arrives from the corridor. Lift lobbies earn more than anywhere else, because every guest passes one twice on every journey and they hold a level reliably. Corridors should run very low or at nothing. Lift cars get nothing at all. And the main lobby, which is the highest in the building, still means low: the test is deniability, meaning that if a guest could accurately describe your fragrance after a stay it was set too high. Keep one register across the property and vary only the level, since a change of level reads as the building quietening while a change of register reads as a fault.
