This is the operating manual rather than the argument: what to do weekly, monthly, quarterly and annually to keep a showroom's fragrance exactly where it was set. The whole regime takes about twenty minutes a month, and it is the difference between a signature and an intermittent pleasantness.
Quick answers — read this first
What maintenance does a jewellery store fragrance system need? Four routines. Weekly: confirm the unit is running at the set level and a spare refill is in stock. Monthly: walk the customer path with the nose reset outside and note anywhere strong, absent or changed. Quarterly: review settings against the season. Annually: check consumption, layout changes, register consistency across units, and update the written record.
How do you check a store's fragrance properly? Step outside for ten minutes so olfactory adaptation resets, then walk the exact customer path - door, threshold, mid-floor, far corner, consultation room, billing counter - noting anywhere it feels strong, absent or different. Do it at three times of day, because occupancy and door traffic change distribution substantially.
Who should be responsible for maintaining a store's scenting? One named person, with the refill dates in the same calendar as other operational routines and the settings written down rather than remembered. Systems that belong to everybody drift, because different staff adjust the level in different directions and nobody notices a refill lapse.
The short answer
Short answer: four routines totalling about twenty minutes a month: weekly glance (running, at level, spare in stock), monthly walk-through with the nose reset outside along the full customer path, quarterly settings review against the season, and an annual audit of consumption, layout changes, register consistency and the written record. One named owner throughout. WhatsApp +91 96192 18531.
The pick: the SOSA Vaayu (₹11,999) for showrooms to ~1000m³; small-store systems from ₹1,799; HVAC from ₹25,999.

A jewellery purchase is one of the most emotional transactions in Indian retail - trust, celebration and aspiration in one visit. Scent marketing gives that visit a signature: one refined fragrance, held evenly across the showroom, running on a schedule no staff member has to remember. Customers experience it as "this store feels premium" - the exact feeling that precedes a high-value purchase.
What is the actual maintenance routine, week by week?
Four intervals, one owner, about twenty minutes a month. Weekly - under a minute. Confirm three things: the unit is running, the level is where it was set, and a spare refill (from ₹999) is in the cupboard. That third item is what turns a refill date into a non-event rather than a wait for delivery. Monthly - fifteen minutes, ten of them outside. The walk-through, and it is the only part requiring real discipline. Step outside for ten minutes so olfactory adaptation resets, then walk the exact customer path: through the door, the threshold, the middle of the floor, the far corner, behind any display island, into a consultation room, and to the billing counter. Note anywhere it feels strong, absent or different from the rest. Three signatures to recognise: a strong pocket near the unit with a weak far end means evenness rather than output is the problem; a consultation room that feels heavy after ten minutes means that room's level is too high regardless of how it seemed at the door; and a flat billing counter means the ending is unengineered, which a Boond (₹799) fixes. Quarterly - twenty minutes. Review settings against the season. A humid monsoon month with doors shut holds fragrance differently from a dry month with the door open all day, and festival crowd load changes it again. Adjust deliberately rather than reactively, and record any change. Annually - an hour. Consumption against expectation; any layout change that has created a new dead corner; confirmation that every unit in the building is running the same register, including the small ones; and an update of the written record - register, reasoning, level, positions, schedule, owner. Throughout: one named owner. A system anybody may adjust varies by shift, and a system nobody owns runs empty without anybody reporting it, because everybody inside has adapted. Equipment: a Vaayu (₹11,999) with timer control, so nothing is required daily. WhatsApp +91 96192 18531. Made in India; a portion of every order supports girl-child education through Nanhi Kali.

The maintenance calendar
The three parts of a regime a trading floor will actually sustain - the walk, the seasonal adjustment, and the record.
Why this works
Four intervals, about twenty minutes a month
The showroom standard: the SOSA Vaayu at ₹11,999 - waterless, app-scheduled, ~1000m³ coverage. Small-store systems from ₹1,799.
Everything else in this regime is administration; the walk-through is the only element that produces new information, and it works because it deliberately defeats the physiological problem that makes retail scenting hard to manage. Olfactory adaptation reduces perception of a constant background within minutes, which means anybody assessing the store from inside a shift is reporting on a stimulus they have already largely stopped receiving. The ten minutes outside is not a formality - it is the mechanism. The path matters as much as the reset: walking the route a customer actually takes, rather than the route staff take, is what surfaces dead corners behind display islands, the drop between the floor and a consultation room, and the flat billing counter that nobody experiences because staff approach it from a different direction. And the timing matters because distribution is not constant: a store that reads evenly at ten in the morning can have a weak entrance zone at peak, when the door is opening constantly and air is exchanging faster. Three walks a month at different hours would be ideal; one, done properly, is what most stores will actually sustain and is worth far more than none.
Tip: the ten minutes outside is not a formality - it is the entire mechanism.
2
Seasonal adjustment
The same setting reads differently across the year
A fixed setting does not produce a fixed experience, because the conditions it operates in change substantially across an Indian year. In a humid monsoon period with doors kept shut and air conditioning working hard against moisture, a space holds fragrance longer and the same setting reads heavier. In dry summer months with a street door opening constantly, exchange is faster and the same setting reads lighter. Festival crowd load changes it again in a different direction: bodies absorb and disturb air, and a floor that is comfortable when quiet can feel thin when full. The quarterly review exists to make these adjustments deliberate rather than reactive, and the difference matters - a deliberate seasonal change is recorded, reversed at the next season and stays inside the intended range, while a reactive adjustment made by whoever noticed something is how stores drift permanently upward. Two practical notes: make seasonal changes small, since the aim is to keep the experience constant rather than to create a schedule customers could detect, and use timer control so the adjustment does not depend on somebody remembering during a busy trading day.
3
The written record
Because the routine has to survive the people running it
The annual step that looks like paperwork is the one that determines whether the other three still exist in five years. Everything holding a scenting system steady is knowledge rather than hardware: which register, at what level, delivered from which positions, provided to which rooms, refilled on what schedule, and - most easily lost - why the register was chosen. When that lives in one person's memory and that person changes role, the successor inherits a machine and no specification. They adapt to the register within a fortnight, find it unremarkable, and begin improving it, which is how carefully calibrated stores drift. The record is one page filed with other standing operational documents, and the annual review is simply the moment to check that it still matches reality after a year of small changes. For a group with several showrooms the same page held centrally is the mechanism that prevents branch-level reinvention, which is how chains end up with a different house in every city - and it costs one document rather than a policy.
Tip: a successor inherits a machine and no specification, adapts within a fortnight, and starts improving what was carefully set.
The SOSA principle
The whole regime is a weekly glance, a monthly walk with the nose reset outside, a quarterly seasonal review and an annual record update - about twenty minutes a month, owned by one person.
The walk-through is the only step that produces information. Everything else protects it.

The SOSA jewellery store edit
Whatever kind of jewellery you sell, the system logic is the same: one signature, sized to the showroom, scheduled so it never depends on a staff member's memory. Every SOSA system is supported from India, and the Hotel Collection blends - SOSA's own interpretations of the world's finest hotel scents - run across all of them. A portion of every order supports girl-child education through Nanhi Kali. Here is the full commercial range.

Honest notes for jewellery retailers: scent marketing's effects on dwell time, perceived quality and recall are real but moderate - fragrance compounds a well-run store and rescues nothing; premises must be clean, cool and well ventilated first, because scent crowns good air and never substitutes for it. No fragrance harms jewellery: quality diffuser fragrance at ambient levels does not tarnish gold, diamonds or gemstones (silver tarnish is driven by sulphur and humidity, not diffuser oils - keep any machine's mist away from direct contact with open displays as basic practice). The Hotel Collection scents are SOSA's own interpretations inspired by the world's finest hotels; SOSA is an independent Indian fragrance house, not affiliated with or endorsed by any hotel or jewellery brand. Ultrasonic systems use the water-based Hotel Collection fragrance; the Vaayu and HVAC systems run waterless nebulising oil - the formats are not interchangeable. WhatsApp consult: +91 96192 18531. ISIPCA Versailles
A note from Sonal
Jewellery retailers understand atmosphere better than almost any other business - you light every display like a stage, you serve chai in good cups, you train your team to make a bride feel like the only customer in the store. And then, in most stores, the air itself is left to chance: the street, the incense stick, the phenyl from the morning mopping. The most emotional purchase your customer will make this year deserves better air than that.
I trained at ISIPCA in Versailles, where the world's scent-marketing perfumers learn the craft, and what I build for Indian jewellery stores is the same architecture the global luxury houses use: one signature, sized to the showroom, run on a schedule - so the scent is as reliable as your lighting. The machines matter (throw, coverage, scheduling), but the strategy matters more, and it is in every guide we publish. If you want it applied to your specific store, message us on WhatsApp at +91 96192 18531 - I read the store descriptions myself.
Everything is made or assembled for Indian conditions, supported from Pune - and a part of every order funds girl-child education through Nanhi Kali. Your brand gets a memory; a girl gets a classroom. That equation has always felt right to me.
Frequently asked questions
Who in the store should own this?
Somebody with a routine rather than somebody with a title. The best owners in practice are people who already run scheduled operational tasks - the person who manages opening procedures, stock rotation or the maintenance calendar - because the refill date slots into a system they already keep. What does not work is assigning it to whoever is most enthusiastic about fragrance, since enthusiasm produces adjustment and this role is mostly about not adjusting. The owner's actual duties are small: keep the refill date, hold a spare, do the monthly walk, record any change, and be the only person who alters the setting. Naming a deputy is worth doing for the same reason it is worth naming a second approver for artwork - the routine should not stop because one person is on leave during a refill date.
What if the walk-through finds a problem?
Diagnose before adjusting, because the instinct to increase output resolves almost nothing. Three common findings and their correct responses. A weak far corner with a strong zone near the unit is an evenness problem: the fix is placement or a small patch unit at Rs 799, not more output, since increasing it makes the strong zone worse. A consultation room that feels heavy is a room-level problem: reduce that room and check its ventilation, since enclosure and duration multiply anything present. A generally flat store is usually a consumable problem: check the refill date before anything else, since a lapse is the most common cause and the least visible from inside. Record what was found and what was changed, so the next walk has a baseline. If a finding recurs after a fix, send the walk notes and the specification can be revisited rather than adjusted repeatedly.
How do we handle maintenance across several branches?
Centralise the specification and decentralise the routine. One document held centrally carries the register, the reasoning, the standard level, and the requirement that every enclosed space has provision - so branches inherit decisions rather than making them. Each branch then has its own named owner running the weekly glance and the monthly walk locally, with refill dates in the branch calendar. The element that must stay central is any change to the register, since branch-level substitution is how a group quietly ends up with a different house in each city. Add one audit: a single person visiting each branch on the same day, walking the identical customer path with a properly reset nose between visits, at least annually. That one exercise catches drift that branch-level walks miss, because it compares branches against each other rather than each against its own memory.
Does the routine change during festival season?
The routine holds and two things get more attention. First, refill timing: consumption rises with longer hours and heavier door traffic, so bring the next refill date forward rather than discovering a lapse in the busiest fortnight, and hold an extra spare through the season. Second, the walk-through cadence: distribution changes most under crowd load, so a walk at peak hour during the season is worth more than the usual mid-morning one, and it is the walk most likely to reveal a thin entrance zone or a stifling consultation room. What should not change is the level, beyond a small deliberate seasonal adjustment - the temptation to dose forward for a busy period produces an over-scented store at exactly the moment the largest number of customers experience it. Plan the season's refills in advance, at the same time as the rest of the festival operational planning.
What should be recorded, exactly?
One page, six lines. The register, with the reasoning it was chosen against. The level, expressed as a setting rather than a description. The delivery positions, ideally marked on a simple floor plan. The provision per enclosed room, including the billing area. The refill schedule and where spares are kept. And the named owner with a deputy. Add a short log at the bottom for changes - date, what changed, why - so that a year later somebody can see whether the store has drifted or been deliberately adjusted. File it wherever other standing operational documents live rather than in an individual's notes. That single page is what allows the system to survive a change of manager, which is the most common threat to a well-run installation. Send your details and a starting version can come back with the specification: WhatsApp +91 96192 18531.

About this guide: Written by Sonal Sahani, ISIPCA Versailles-trained founder and perfumer at SOSA Home & Body. Product recommendations reflect the SOSA commercial range; the scent-marketing strategy advice applies to any jewellery brand's systems.
Facts verified August 2026: Ambient scent research consistently associates pleasant, congruent scenting with longer dwell time, improved store and service evaluations, and stronger brand recall at moderate effect sizes; congruence (scent matching the setting) and gentle intensity outperform strong scenting in replicated studies, and no scent effect survives unclean or poorly ventilated premises. Olfactory memory is unusually durable: scent-linked brand memories persist and retrieve for years, which is the mechanism behind luxury signature scents. Quality diffuser fragrance at ambient levels does not damage gold, diamonds or gemstones; silver tarnish is driven by sulphur compounds and humidity. SOSA systems: Sukoon 500ml ultrasonic (Rs 1,799) and Megh 6L ultrasonic (Rs 3,499) run the water-based Hotel Collection fragrance (from Rs 299; refills 100ml Rs 999); SOSA Vaayu (Rs 11,999) is a waterless cold-air nebulising machine, ~1000m³ coverage, Bluetooth app and timer; SOSA Aangan (Rs 25,999) and SOSA Meenar (Rs 38,500) are HVAC nebulising systems for approximately 8,000-10,000 and 12,000-18,000 sq ft respectively.
