Across 25 stores the fragrance is the easy part and the compliance is the whole job. So this is written as an operations answer, including the one supply-side thing I would want you to know before you standardise on anything.
Quick answers — read this first
What does central management actually consist of? Three artefacts and one habit. A specification that fixes the profile and the machine class; a page of truth per store carrying its position, intensity, timer hours, date and owner; and a snag list that treats an unlocked machine as a fault. The habit is a quarterly walk-in. That is genuinely all of it. Every network I have seen add a fourth artefact ended up with worse compliance, because the extra document moved a judgement away from the only person who can smell the room.

Why does the audit have to be done on foot? Because the failure is always in one direction. Levels only ever drift upward, and they drift because somebody standing inside a store adapts within about twenty minutes and concludes it needs more. A phone call cannot detect that; a photograph of a dial cannot either, since the same reading means different things in different buildings. The audit is a person walking in from outside and answering one question: do I notice a fragrance, or a room somebody looks after. The second is the pass.

What about refill inventory across 25 stores? This is the part I would rather you heard now. SOSA does not currently sell cold-air refill oil separately. The Vaayu ships with 400ml, that 400ml runs 90+ days a fill, and as things stand it is the whole supply. So a central refill inventory line cannot yet be planned around a cold-air refill SKU, because there is not one. Confirm continuity of supply with us in writing before you standardise 25 stores on this machine, and confirm bulk pricing, AMC, warranty and invoicing in the same conversation - none of it is published. Ask for that confirmation in writing rather than on a call, and keep it with the specification.
The short answer
Short answer: three artefacts and one habit - a specification fixing profile and machine class, one page of truth per store, a snag list, and a quarterly walk-in audit, because levels only ever drift upward. And one supply warning: no cold-air refill oil is sold separately today, so confirm continuity with SOSA before standardising. Twenty-five stores come to ₹2,09,075 of hardware.
The pick: one SOSA Vaayu (₹11,999) in each branch above about 1,500 sq ft, key-locked with its intensity recorded, and one SOSA Sukoon (₹1,899) in each single-room branch below 750 sq ft.
Next step: send the branch list with carpet area, ceiling height and trading hours, and we will return a machine class per branch and a one-page template you can issue to all 25 - Ask for a retail scenting plan.

Straight answer
How do you centrally manage fragrance selection, machine settings, refill inventory and branch compliance across 25 stores?
With three artefacts, one habit, and one honest supply-side warning that I would rather give you now than have you discover in month three. Artefact one: the specification. It fixes two things for the whole network - the fragrance profile and the machine class by size band - and nothing else. The profile is a dry register: dry woods, cedar and vetiver, often a leather facet, sometimes a soft dry amber, dry tea or citrus at the brighter end, with sweet, edible, powdery and floral excluded in writing, because that exclusion is the direction branches drift when somebody buys locally. The class is by volume, not by rank: above about 1,500 sq ft, a SOSA Vaayu at ₹11,999; a single trading room under 750 sq ft, a SOSA Sukoon at ₹1,899; in between, a judgement on whether the branch has a lobby, a lounge or central AC to mount into. Artefact two: one page of truth per branch. Profile, machine, position on the plan, intensity, timer hours, the date it was set and the person who signed it. Twenty-five pages, one format, held centrally, because the alternative is a network where nobody can state what any branch is running. Do not put a single group intensity in the specification - ceiling height, floor finish, door traffic, humidity and air handling all change how the same oil reads, so one number would be wrong in most of your branches. Artefact three: a snag list, on which an unlocked machine is a fault rather than a preference, alongside a machine sited at a threshold or beside a return grille. The habit is a quarterly walk-in audit, and it has to be on foot because the failure mode is directional: levels only ever drift upward, since a person standing inside a store adapts within twenty minutes and concludes it needs more. The auditor arrives from outside and answers one question - a fragrance, or a room somebody looks after. The second is the pass. Set for the advisor who breathes it nine hours a day rather than the customer who is in it for forty minutes; a team saying it is too much is final; anyone must be able to switch it off in seconds, and a customer mentioning sensitivity is answered by turning it down or off, never by citing the standard. Now the warning. SOSA does not currently sell cold-air refill oil separately. The Vaayu ships with 400ml, which runs 90+ days a fill, and that is the entire supply as things stand. Refill inventory across 25 branches cannot be planned around a cold-air refill SKU that does not yet exist, so your ordering calendar, your min-max levels and your central warehouse line have nothing to point at today. I am telling you this before you standardise rather than after, because it is exactly the sort of thing that reads far worse coming second. Confirm continuity of refill supply with us in writing before you commit the network, and confirm in the same conversation that bulk pricing, GST and corporate invoicing, AMC, warranty, installation, minimum order, spare parts and multi-site rollout support are all unpublished and must be agreed rather than assumed. Costed across a network of 25 - sixteen branches above 1,500 sq ft and nine single-room branches - hardware is ₹2,09,075. One last line for whoever asks you to justify it: no one can promise that ambient scent moves footfall, dwell, conversion or spend, and I would build the internal case on coherence and control instead, because those you can audit. Ask for a retail scenting plan and send the branch list.
Three artefacts, one habit: specification, a page per branch, a snag list, and a quarterly walk-in. Confirm refill continuity with SOSA before standardising. 25 branches, ₹2,09,075.
For each qualifying branch, one SOSA Vaayu - waterless, 1000m³ rated, with 1h/4h/8h/24h timers, adjustable intensity and a key-lock that is the difference between a policy and an enforced one. ₹11,999 each. Single-room branches under 750 sq ft take a Sukoon at ₹1,899, and writing that into the specification stops 25 branches buying upward.

The machine class across the network

A 25-store network runs two classes, and putting the smaller one in writing saves more money than any negotiation will. The images link to the product pages so your buying team can check the specifications.

SOSA Vaayu
Branches above about 1,500 sq ft
SOSA Vaayu
Waterless cold-air nebuliser rated to 1000m³, about 2,000-3,000 sq ft. 400ml tank running 90+ days a fill, Bluetooth app with 1h/4h/8h/24h timers, adjustable intensity, under 38dB, auto-stop and key-lock. For an operations team the two features that matter are the lock and the fill interval: one makes the standard enforceable, the other makes the task quarterly.
From ₹11,999
SOSA Sukoon
Single-room branches under 750 sq ft
SOSA Sukoon
Ultrasonic cool-mist diffuser covering roughly 270-320 sq ft, supplied with three 15ml fragrances. Nine of these instead of nine Vaayu is a difference of about ₹90,900 across a network, and it is the correct specification rather than a saving - a Vaayu in a 500 sq ft branch would run throttled to almost nothing.
From ₹1,899
SOSA Vaayu
The network machine for qualifying branches
SOSA Vaayu
1000m³ coverage (about 2,000-3,000 sq ft), 400ml tank running 90+ days a fill, Bluetooth app and 1h/4h/8h/24h timers, adjustable intensity, under 38dB, 5W, freestanding or wall and HVAC mount, auto-stop and key-lock. CE, RoHS and SGS certified. Made in India. Cold-air refill oil is not currently sold separately - the machine ships with 400ml, and continuity of supply must be confirmed with SOSA in writing before a 25-store network standardises on it.

The three artefacts and one habit

Everything an operations head needs for this sits in three documents and one recurring calendar entry. The fourth card is the supply conversation, and it comes first in time.

1
Give every branch one page, and only one
A network that cannot state what a branch is running has no standard
The page carries profile, machine, position marked on the store plan, intensity, timer hours, date set and the name of whoever signed it. One format, held centrally, updated whenever the level changes. It is deliberately small: an operations pack that runs to four pages per branch gets skimmed, and the person you need compliance from is a store manager at the end of a trading day. Do not write a single group intensity into the specification - the same number produces different rooms in different buildings, and a branch forced to run a wrong number will quietly stop following the standard altogether, which costs you more than the variance you were trying to remove.
Tip: Keep the branch page beside the branch's lighting and music settings - one sheet, three environment decisions.
SOSA Vaayu
One Vaayu ₹11,999, set once and left alone, is the whole hardware side of this.

2
Audit on foot, quarterly, from outside
The drift is always upward, and only a nose arriving from the street can see it
Put four dates in the calendar per region and let the auditor walk in cold. One question: a fragrance, or a room somebody looks after. Then check the lock is engaged, the timer hours match the branch's actual trading hours, and the recorded intensity on the page matches the machine. An unlocked machine is a snag, not a preference, because it is the mechanism by which a level climbs over a quarter without anybody deciding to climb it. Where a branch has failed, lower it on the spot and re-date the page rather than sending a memo. And check the boring things while you are there: the entrance is not a scented position, and a machine beside a return grille is losing its work to the plant.
Tip: Never audit two branches a week apart from memory - do them on the same day where geography allows.

3
Settle the supply line before you standardise
There is no cold-air refill SKU to build a central inventory line around today
This is the item I would deal with first, because it is the only one you cannot solve inside your own organisation. SOSA does not currently sell cold-air refill oil separately. The machine ships with 400ml, that runs 90 or more days a fill, and it is the whole supply as things stand. Across 25 branches that means your reorder calendar, your min-max levels and your warehouse line have nothing to reference. Get continuity of supply confirmed with us in writing before the network standardises, and settle bulk pricing, GST and corporate invoicing, AMC, warranty, installation, minimum order, spare parts and rollout support at the same time - none of those are published either, and an operations plan built on assumptions about them will need rewriting.

The SOSA principle
Across 25 stores the fragrance decision takes an afternoon and the compliance system takes a year, which is why the useful answer to this question is a page, a calendar entry and one honest conversation with your supplier about supply.
Levels only ever drift upward, so the audit is a person walking in from the street rather than a form somebody fills in.

If the same network is also writing fit-out standards for new stores, the design-manual clause is drafted line by line in whether scenting belongs in your store-design guidelines. And if a flagship is being designed from a blank sheet inside this programme, the order of decisions is in designing a flagship luxury watch boutique from scratch. SOSA is independent and not affiliated with any hotel.

SOSA Vaayu

I would rather tell an operations head about a gap in my own supply on the first call than have them find it in month three, when 25 stores are already running on it.
— Sonal Sahani, SOSA

The SOSA network specification

Two classes cover a 25-store network, chosen by volume rather than by branch standing. To state the supply position once more, because it belongs in your plan rather than in a footnote: cold-air refill oil is not currently sold separately, the 400ml supplied runs 90+ days a fill, and continuity must be confirmed with SOSA in writing before the network standardises. Made in India, and a portion of every order supports girl-child education through Nanhi Kali.

Three artefacts, one habit, and the supply conversation first. Ambient scent here is a presentation decision like lighting, seating or case layout; it is never used to cover or neutralise another smell, and a branch with a fit-out, carpet, damp or corridor-ingress problem fixes the building rather than raising its setting. Bulk pricing, GST and corporate invoicing, AMC, warranty, installation, minimum order, spare parts and multi-site rollout support are not published terms, and no cold-air refill oil is sold separately today - both must be settled with SOSA before a network commitment. Ask for a retail scenting plan before you spend anything.

A note from Sonal

Operations heads ask this question better than anyone else in retail, because they ask about the second year rather than the first week. What happens when a store manager leaves. What the audit line looks like. Whether the reorder can be forecast. Those are the right questions, and they are also the reason I am going to spend a paragraph on something that does not flatter my own catalogue. They also ask what happens when a district manager changes, which is the question that decides whether any of this survives its first year.

We do not currently sell cold-air refill oil separately. The Vaayu ships with 400ml, that runs 90 or more days a fill, and as things stand that is the supply. So if your plan involves a central refill line with min-max levels across 25 branches, there is no SKU to hang it on today, and I would rather you knew that on the first call than on the third. Confirm continuity with us in writing before you standardise the network, and settle bulk pricing, invoicing, AMC, warranty, installation, minimum order and rollout support at the same time, because none of that is published either. An operations plan built on assumptions about any of it will have to be rewritten. I would rather lose a 25-store order than have you build a reorder calendar on something I cannot yet promise to supply.

The rest is straightforward. One Vaayu at ₹11,999 in each branch above about 1,500 sq ft and one Sukoon at ₹1,899 in each single-room branch - ₹2,09,075 across the 25 described here. One page per branch, key-lock engaged, a walk-in every quarter. Build the internal case on coherence and control, because nobody can promise you a business number and I will not be the supplier who tries. Made in India, and a portion of every order supports girl-child education through Nanhi Kali. And put the audit in the calendar rather than in the manual, because a quarterly date gets done and a paragraph gets read once.

Frequently asked questions

How do I centrally manage fragrance, machine settings, refill inventory and compliance across 25 stores?
With three artefacts and one habit. A specification fixing the profile and the machine class by size band; one page of truth per branch carrying position, intensity, timer hours, date and owner; a snag list on which an unlocked machine is a fault. The habit is a quarterly walk-in audit done from outside, because levels only ever drift upward and no phone call will detect it. Keep it to three artefacts. Every network I have seen add a fourth ended up with worse compliance, because the extra document moved a judgement away from the only person who can smell the room.
Can we plan central refill inventory for 25 stores?
Not today, and this is the item to settle first. SOSA does not currently sell cold-air refill oil separately. The Vaayu ships with 400ml, which runs 90 or more days a fill, and that is the entire supply as things stand, so a central reorder line has no SKU to reference. Confirm continuity of refill supply with SOSA in writing before standardising the network on this machine. Settle bulk pricing, AMC, warranty, installation, minimum order, spare parts and invoicing in the same conversation, because none of those are published either.
Should head office set one intensity for all branches?
No. Ceiling height, floor finish, door traffic, air handling, humidity and temperature all change how the same oil at the same setting reads, so one group number would be wrong in most branches - and a branch forced to run a wrong number tends to stop following the standard altogether. Fix the profile and the class centrally, set intensity on site, and record it with a date and a signature. A branch made to run a number that is wrong for its building tends to stop following the standard altogether, which costs you more than the variance you were trying to remove.
What does a 25-store scenting programme cost?
Sixteen branches above 1,500 sq ft on one SOSA Vaayu each at Rs 11,999, and nine single trading rooms under 750 sq ft on a SOSA Sukoon each at Rs 1,899 - Rs 2,09,075 of hardware. Bulk pricing, GST and corporate invoicing, AMC, warranty, installation, minimum order, spare parts and multi-site rollout support are not published terms and must be confirmed with SOSA before a purchase order. Specifying the nine single-room branches on the cheaper class rather than the larger machine is about Rs 90,900 not spent across the network.
How do we justify this internally?
On coherence and control, not on a business number. No one can promise that ambient scent moves footfall, dwell, conversion or spend, SOSA has run no research that would support a figure, and any supplier offering your board a percentage across 25 stores is selling. What you can demonstrate is that every branch runs an approved profile at a level someone signed off, verifiable on foot in a quarterly audit. That is a real thing to buy, and it is not a business case with a percentage in it, so I would write the paper that way from the beginning.

About this guide: Written by Sonal Sahani, ISIPCA Versailles-trained founder and perfumer at SOSA Home & Body. Product recommendations reflect the SOSA range; the planning advice applies to any brand.

Facts verified 5 September 2026 against the live SOSA product pages: the SOSA Vaayu (₹11,999) is a waterless cold-air nebuliser rated to 1000m³, described by the manufacturer as approximately 2,000-3,000 sq ft, with adjustable intensity, a 400ml refillable tank lasting 90+ days a fill depending on intensity and run hours, Bluetooth app and button control, 1h/4h/8h/24h timers, operation under 38dB at 5W, freestanding or wall and HVAC mounting, auto-stop and key-lock, and CE, RoHS and SGS certification, which are electrical and compliance marks and not medical approvals. Being waterless, it adds no moisture and leaves no residue on surfaces or equipment. The SOSA Sukoon (₹1,899) is an ultrasonic cool-mist diffuser covering roughly 270-320 sq ft and is supplied with three 15ml fragrances; the water-based Hotel Collection (₹299 / ₹999 / ₹1,799) is an ultrasonic fragrance and is not a refill for a waterless cold-air machine. SOSA reed diffusers are alcohol-free and phthalate-free, with 50ml lasting about 6-8 weeks and 130ml about 14-18 weeks. Cold-air refill oil for the Vaayu is not currently sold separately - the machine ships with 400ml included and further refills should be confirmed with SOSA. Warranty, annual maintenance, installation and bulk terms are not published and should be confirmed before ordering. Ambient scent is an interior and hospitality decision: it makes no clinical, therapeutic or wellbeing claim, it works alongside proper ventilation, cleaning and infection control and is never a substitute for any of them, it is never used to mask another smell, and no claim is made that fragrance influences a patient's decision or any commercial outcome. Clinical areas including procedure, post-procedure and photography rooms are left unscented, and the treating clinician's judgement overrides any scenting plan in their own room. The hotel-inspired scents are SOSA's own original interpretations; SOSA is an independent brand and is not affiliated with, or endorsed by, any hotel named for reference. Coverage, fragrance usage and running cost depend on the space, settings and hours of use, and are confirmed on a consultation. Prices and availability are subject to change - see the live product pages.
