The same machine, the same fragrance, two placements: one floor smells composed everywhere at a whisper; the other has three overdosed desks by the machine and forty that smell nothing. Placement is where office scenting is won or lost after the buying decision - and it runs on three rules and one test: never aim the throw at a desk, make the AC do the distribution, buffer the functional smells, then walk-test before you trust any of it.
Quick answers — read this first
Where should a diffuser be placed in an office work area? Off any desk's direct line of throw, positioned so the air-conditioning circulation distributes the fragrance instead of the machine blasting one spot. The working recipe: place the unit at the floor's entry side or along a wall, aimed into open circulation space, a few metres clear of the nearest workstation; let the AC's airflow carry the scent evenly across the room; and keep it away from the printer corner, pantry door and washroom corridor, which need to stay outside the signature. A SOSA Vaayu (Rs 11,999) placed this way covers ~1000 cubic metres at one even whisper level. Then verify with a walk-test: thirty minutes of running, then walk every bank of desks and adjust.
How far should a diffuser be from the nearest desk? Far enough that no seated person sits in the direct throw - in practice, a few metres of clearance between the machine's output and the nearest chair, with the throw aimed into open air rather than across a bank of workstations. The person nearest the machine defines the dose ceiling for the whole floor: if their seat is comfortable all day, everyone's is, and if the machine must be turned down until the nearest desk is comfortable, the far desks get nothing - which means the placement is wrong, not the setting. Height helps too: positioning the unit above head height on a shelf or cabinet lets the micro-mist disperse before it reaches anyone's breathing line, smoothing the gradient between near and far desks.
What is the walk-test for diffuser placement? The verification step that turns placement from guesswork into calibration. Run the machine at its intended setting for thirty minutes with the AC in its normal daytime mode, then walk the entire floor slowly - entry, each bank of desks, the corners, outside each meeting room door - and note where the fragrance reads present, faint or absent, and anywhere it reads strong. Strong at any seated position means re-aim or add distance; absent in a far corner usually means a dead zone the AC does not reach, solved by moving the unit into the circulation path rather than turning it up. Re-test after any change, and repeat the whole exercise once a season, because AC settings shift between summer and winter. Twenty minutes of walking saves months of wrong air.
The short answer
Short answer: Diffuser placement rules for work areas: never aim the throw at a desk (a few metres clear of the nearest chair, above head height helps), place the unit in the AC's circulation path so airflow does the distribution, and buffer the printer corner, pantry and washroom corridor out of the signature. Verify with a 30-minute walk-test, re-check seasonally. The Vaayu (Rs 11,999) covers ~1000 cubic metres placed once, correctly. WhatsApp +91 96192 18531.

An office hosts two audiences at once: the client who judges your company in one visit, and the team that lives there eight hours a day. Office scent marketing serves both with one move - a single refined fragrance, held evenly across reception, floor and meeting rooms, running on a schedule no admin has to remember. Visitors experience it as "this company has itself together" - and the team gets a workplace that smells composed from standup to sign-off.
Where exactly should the machine go on a working floor - and how do you know the placement is right?
Three rules, then a test. 1. Nobody sits in the throw. The nearest desk sets the dose ceiling for the entire floor, so the machine goes where its output crosses no seated person's breathing line: along a wall or at the entry side, aimed into open circulation space, a few metres clear of the closest chair, ideally above head height. If someone can feel the machine, the whole floor is miscalibrated by definition. 2. The AC does the distribution. A diffuser is a source, not a distributor - the room's airflow is the distributor. Place the Vaayu (₹11,999, ~1000m³) where the air-conditioning circulation picks up its output and carries it: near the supply path's origin, never in a stagnant corner the airflow skips, and never directly under a return vent that swallows the scent before the room meets it. 3. Buffer the functional zones. The printer corner, the pantry door and the washroom corridor stay outside the signature - fragrance meeting toner, food or cleaning smells produces collisions that read as cover-up. Keep the throw aimed away from all three. Then the walk-test: thirty minutes of running, a slow walk of every desk bank, notes on strong, faint and absent - and adjustment by position first, dial second. Meeting rooms get their own Sukoon (₹1,799) behind the door. WhatsApp +91 96192 18531 a floor plan photo and we will mark the spot with you. Made in India; a portion of every order supports girl-child education through Nanhi Kali.

The three placement rules that decide everything
The three rules in working order - the desk rule, the airflow rule, the buffer rule.
Why this works
Placement is calibration - the same machine, twice the result
The office standard: the SOSA Vaayu at ₹11,999 - waterless, app-scheduled, ~1000m³ coverage. Small-space systems from ₹1,799.
Every placement decision starts from one person: whoever sits closest to the machine. They are the most exposed nose on the floor - eight hours in the strongest air - and their comfort is the ceiling the entire calibration must fit under. Aim the throw across a bank of desks and you create an impossible trade: either the near seats live in an overdose so the far seats get coverage, or the dial comes down until the near seats are comfortable and the far half of the floor gets nothing. The escape from the trade is geometric, not electronic: position the unit along a wall or at the floor's entry side, output aimed into open circulation space, a few metres clear of the nearest chair, and above head height where a shelf or cabinet allows - the Vaayu's dry micro-mist disperses within that distance and reaches every desk as ambience rather than a stream. When no individual can point at the machine and say I feel that, the placement has passed its first rule.
Tip: find the person nearest the machine and ask them at the end of a week - their answer is the placement's grade.
2
Rule two
The AC is the distribution system - use it
A diffuser produces fragrance; it does not deliver it. Delivery belongs to the room's air circulation, which in any conditioned office means the AC - and placement is really the art of handing the machine's output to that circulation at the right point. Work with the flow: identify how air moves across your floor (supply vents to return path) and place the unit where its output enters that current early, so the fragrance rides to the far banks of desks at one diluted, even level. Two positions defeat the whole system: the stagnant corner the circulation skips - the scent pools there and the floor stays blank - and directly beneath a return vent, which inhales the output and exports it before the room ever meets it. Dead zones found in the walk-test are almost always airflow problems wearing a fragrance costume: the fix is moving the machine into the current, not turning the dial up until the dead zone fills and every other desk drowns. On floors where the AC layout defeats standalone placement entirely, that is the signal to move the programme into the ducts - Aangan HVAC (₹25,999) makes the air-handling system itself the diffuser.
3
Rule three
Buffer the functional smells - the signature stays out of three zones
Every office floor has zones that smell of function: the printer corner's warm toner, the pantry's food cycle, the washroom corridor's cleaning products. The signature must not fight any of them - fragrance layered over a functional smell produces a hybrid that reads as cover-up, and cover-up reads as exactly the opposite of the care a scent programme is meant to signal. So placement carves buffers: the machine's throw aims away from all three zones, distance and airflow direction keep the signature from drifting into them at strength, and each zone keeps its own honest regime instead - ventilation and exhaust for the pantry, discreet conventional freshening for washrooms, plain air for the printer corner. The pantry deserves particular respect at lunch: food smells at mealtimes are legitimate and temporary, and the correct interaction is a scheduled signature pause over the lunch window followed by a post-lunch pulse once the exhaust has done its work - a sequence the Vaayu's app runs automatically. Zoning honesty, not blanket coverage, is what makes a floor read composed.
Tip: the signature is for work air, not function air - aim it away from toner, food and cleaning chemistry.
The SOSA principle
Placement is the free half of calibration: the same machine reads amateur or professional depending on where it stands - and moving it costs nothing.
Off the desks, into the airflow, away from the function zones, verified by a walk-test - the whole playbook in one afternoon.

Honest notes for businesses: scent marketing's effects on perceived quality, visit experience and recall are real but moderate - fragrance compounds a well-run office and rescues nothing; ventilation, air-conditioning and cleaning must be right first, and no fragrance fixes poor indoor air quality. The scent is calibrated for the people most exposed to it - your employees on eight-hour days - which is why whisper dosing and locked settings are the standard, and any staff sensitivity report should be treated as a recalibration signal. The Hotel Collection scents are SOSA's own interpretations inspired by the world's finest hotels; SOSA is an independent Indian fragrance house, not affiliated with or endorsed by any hotel brand. Ultrasonic systems use the water-based Hotel Collection fragrance; the Vaayu and HVAC systems run waterless nebulising oil - the formats are not interchangeable. WhatsApp consult: +91 96192 18531. ISIPCA Versailles
A note from Sonal
Companies spend real money on how the office looks - the reception wall, the brand colours, the ergonomic chairs - and then leave the air to chance: the lunch smells, the carpet, the phenyl from the morning mopping. Yet the air is the one thing every client, every candidate and every employee takes in with the very first breath. The place where your team spends most of its waking hours deserves better air than that.
I trained at ISIPCA in Versailles, where the world's scent-marketing perfumers learn the craft, and what I build for Indian offices is the same architecture the global hospitality brands use: one signature, sized to the space, run on a schedule - so the scent is as reliable as your lighting. The machines matter (throw, coverage, scheduling), but the strategy matters more, and it is in every guide we publish. If you want it applied to your specific office, message us on WhatsApp at +91 96192 18531 - I read the office descriptions myself.
Everything is made or assembled for Indian conditions, supported from Pune - and a part of every order funds girl-child education through Nanhi Kali. Your brand gets a memory; a girl gets a classroom. That equation has always felt right to me.
Frequently asked questions
Can we just put the diffuser at the reception and let it drift to the work area?
No - drift is not distribution. A machine at reception scents reception; by the time its output has diluted across the intervening space, corridors and door thresholds, the work area receives occasional ghosts of fragrance rather than a held level, and the floor spends most of the day effectively unscented. Reception and the work floor are separate volumes with separate jobs: reception wants an entrance-forward placement tuned to the walk-in moment, while the floor wants its own machine placed in its own circulation path. If the budget covers only one machine, place it honestly in whichever space matters more to you right now - a Vaayu (Rs 11,999) sized to the floor, or a smaller unit at reception - and extend later. One well-placed machine per volume always beats one machine asked to serve two.
Should a diffuser be placed high or low in a work area?
High, wherever the room allows - above head height on a cabinet, shelf or wall mount. Fragrance dispersal favours height for three reasons: the output gets air time to dilute before it descends into anyone's breathing line, which smooths the near-desk gradient; elevation lifts the throw over furniture and partition clutter that would otherwise trap scent in one bay; and the AC's circulation is strongest in the upper half of the room, so a high source hands its output to the distribution current sooner. Low placements - floor level behind a plant, under a desk return - pool fragrance in a small radius and waste the rest of the floor. The practical constraints are access (the refill routine needs to reach it comfortably) and stability (a secure surface, not a wobbling ledge). High, stable, reachable: in that order.
How many diffusers does one open work floor need?
Usually one, sized correctly - the multiplication instinct is almost always a sizing error in disguise. A Vaayu covers ~1000 cubic metres, which comfortably holds a typical open floor of a few thousand square feet with normal ceilings; if a floor that size feels patchy on one machine, the fix is placement (into the circulation path, out of dead corners) before it is a second unit. Genuine two-machine floors exist - L-shaped plans whose wings share no airflow, floors split by full-height partitions, very long rectangles - and the rule there is identical settings, mirrored placement logic, same register, so the two units read as one system rather than two competing sources. Past three or four units' worth of space, stop multiplying and move to HVAC scenting (Aangan, Rs 25,999): the ducts already visit every zone you are trying to reach. Count volumes and airflow, not square feet alone.
Does diffuser placement need to change between summer and winter?
The placement usually holds; the calibration deserves a seasonal check. What changes between seasons is the air the placement rides on: AC runs harder and drier through an Indian summer, monsoon humidity makes air heavier and scent-retentive, and winter often means gentler airflow and more closed windows. The same machine in the same spot can therefore read a notch stronger in humid August than in dry May. The professional habit is a seasonal walk-test - the same thirty-minute, every-desk-bank walk you did at installation, repeated when the weather genuinely turns - with adjustments made on the dial, not the position, unless the facility team has changed the AC layout itself. Ten minutes a season keeps the calibration honest. It is also the natural moment for the quarterly fresh-nose check the maintenance routine should include anyway.
Our floor has a dead zone the fragrance never reaches - should we turn the machine up?
No - turning up the dial to fill a dead zone overdoses every desk the airflow already serves, trading one blank corner for forty uncomfortable seats. A dead zone is an airflow fact: that corner sits outside the AC's circulation loop, so nothing carried by the air - fragrance included - arrives there. Fix it in order: first try repositioning the machine so its output enters the circulation current at a point that feeds the dead corner; second, check whether the zone's own conditions (a blocked vent, a propped door, furniture damming the flow) can be changed; third, if the corner is genuinely isolated and matters - a lounge bank, a visitor corner - give it its own small unit, a Sukoon (Rs 1,799) at whisper setting on the same register. And if the walk-test finds several dead zones across one floor, read that as the architecture's verdict: the floor wants duct-carried scenting, not a louder standalone.

About this guide: Written by Sonal Sahani, ISIPCA Versailles-trained founder and perfumer at SOSA Home & Body. Product recommendations reflect the SOSA commercial range; the scent-marketing strategy advice applies to any workplace's systems.
Facts verified August 2026: Ambient scent research consistently associates pleasant, congruent scenting with improved evaluations of a space and its service, better reported mood and stronger brand recall at moderate effect sizes; congruence (scent matching the setting) and gentle intensity outperform strong scenting in replicated studies, and no scent effect survives poor ventilation or indoor air quality. Claims that specific fragrances reliably raise measured productivity are weaker than their popular retellings - the replicated workplace findings concern comfort, mood and perception, and this guide claims no more. Olfactory memory is unusually durable: scent-linked brand memories persist and retrieve for years, which is the mechanism behind signature scents. Employee exposure is the design constraint: whisper calibration, locked settings and sensitivity accommodations are standard practice. SOSA systems: Sukoon 500ml ultrasonic (₹1,799) and Megh 6L ultrasonic (₹3,499) run the water-based Hotel Collection fragrance (from ₹299; refills 100ml ₹999); SOSA Vaayu (₹11,999) is a waterless cold-air nebulising machine, ~1000m³ coverage, Bluetooth app and timer; SOSA Aangan (₹25,999) and SOSA Meenar (₹38,500) are HVAC nebulising systems for approximately 8,000-10,000 and 12,000-18,000 sq ft respectively.
