How do I work out how many diffusers a building needs? Count the rooms that are genuinely enclosed and genuinely occupied by customers for real periods. Fragrance does not cross closed doors, so each such room needs its own unit, and nothing else needs one.
Can one machine cover several rooms? Only where they form one connected volume with no closed doors between them. A corridor with doors off it is not one volume, however small the total floor area.
Why do quotations come out high? Because they are often built from floor area rather than from a room list, and floor area counts corridors, work floors, stores, stairwells and semi-open spaces that should not be scented at all.

Commercial scenting goes wrong in a predictable order: somebody buys a machine to cover a smell that has a source, puts it where the socket is, runs it at full intensity because day one felt weak, and ends up with a room people comment on for the wrong reason. Then strike out, in this order: anything semi-open - a courtyard, a covered forecourt, a lobby with automatic doors, a hall with vehicle doors - because those exchange air continuously and will not hold fragrance at any output. Corridors and stairwells, which nobody occupies. Stores, back offices, pantries and server rooms.Staff work floors, because Staff work floors are not scented. What remains is your actual list, and in most buildings it is between two and five rooms.Then check each one for enclosure. By the time somebody in Ahmedabad calls me about scenting, they have usually decided to buy something and want help choosing it. The most useful thing I can do at that point is slow the order down by one conversation, because the sequence matters more than the product: source control, then ventilation, then cleaning, then lighting and upkeep, and only then the air. A machine bought before those are settled will be blamed for problems it was never able to solve.
Then the sizing, which is where money is most often wasted in both directions. Air volume decides the machine, not floor area and not budget. A double-height gallery and a low-ceilinged reception of identical floor area are different problems, and a business that buys the largest unit because it is the most expensive usually ends up running it at its lowest setting forever. If the smallest machine is enough, I will say so.
And the part nobody plans for: ownership. A level that nobody owns drifts upward, because staff stop noticing it and turn it up.
