This is the most useful question in the whole subject, because you already have the experiment running in your own building. Same bottle, same oil, same reeds, bought on the same day - and everyone who signs in at the desk notices it while nobody on the floor has ever mentioned it. Nothing about the product changed between those two places. Three things about the room changed, all at once, and each of them works against a passive source. Once you can name all three, every other decision about scenting a gym gets easier.

Why does a reed diffuser work at a reception desk but not on a gym floor? Because three variables change at the same time and all three work against a passive source. Distance: at the desk a visitor comes within two or three feet of the bottle, which is inside the only zone a reed reliably reaches. Does that mean reed diffusers are only good for small spaces? Every customer-facing space hosts two audiences at once: the customer who forms an opinion in a single visit, and the staff who breathe that air for eight hours. Everything a reed diffuser does happens close to the bottle. Oil climbs the reeds by capillary action, evaporates from the exposed length, and then waits for the room to carry it somewhere - there is no fan, no pump and no pressure behind it. That produces a steep gradient: strong at the neck, noticeably weaker at two feet, usually gone by six. A reception counter is the one place in a gym where a person's nose is reliably delivered into that zone. They stand at the desk to sign in, to ask about a class, to collect a towel or to have a conversation with your front-of-house team, and while they do it they are two or three feet from the bottle for thirty seconds or a minute. They are also arriving from outside with an unadapted nose, which makes them the most receptive person in the building - the same member forty minutes later has adapted to the whole place and would notice nothing. On the training floor none of that applies. The nearest member to a wall shelf is usually fifteen or twenty feet away, they are facing a rack rather than a counter, and they never stop within reach of the source. Distance is not a detail here. It is most of the answer.

Volume
Roughly eight times the air, fed by the same unpowered bottle
Do the two sums side by side and the contrast stops being a matter of opinion. Take a reception of 400 square feet at a 12 foot ceiling: 400 multiplied by 12 is 4,800 cubic feet, and 4,800 divided by 35.3 is about 136 cubic metres. Now the training floor of the same club at 2,500 square feet under a 16 foot ceiling, because gyms are built tall for rig clearance, sightlines and heat load: 2,500 multiplied by 16 is 40,000 cubic feet, and 40,000 divided by 35.3 is about 1,133 cubic metres. That is 1,133 against 136, or roughly eight times as much air, and the bottle you moved from one room to the other releases oil at exactly the same rate in both. Height is the part owners consistently forget. The same 2,500 square feet under a 12 foot ceiling would be 30,000 cubic feet, about 850 cubic metres, so simply raising the ceiling by four feet adds close to 300 cubic metres of air to dilute into. A passive source has no answer to that number. An active machine does, because you can put more into the air per minute and hold it there - which is the entire distinction between the two formats.

Air change
The room that is best ventilated is the room hardest to scent
The third variable is the one nobody mentions and it is the most decisive. A gym is ventilated far harder than an office, a shop or a lobby, because it has to carry the heat load, the humidity and the sheer number of people working in it. That is correct engineering. It is also, honestly, the reason a gym is a demanding scenting job: fresh-air exchange continuously replaces scented air with unscented outside air, so a passive source that releases slowly is working against a room that removes constantly. We will not suggest reducing it in any form - not closing a vent, not dropping the air handling overnight, not slowing the extract so the fragrance lasts. In a room full of people breathing hard that would be indefensible advice, and the correct response to a well-ventilated space is a machine sized to it, or accepting a lighter result. Add the fourth thing a training floor does that a reception does not: the people in it move continuously, which stirs the air further and means nobody is ever standing still inside a pocket of scent. So the floor takes a large volume, multiplies it by a high air change rate, and then keeps everything in motion. A reception takes a small volume, a modest air change rate, and a visitor who stands still two feet from the bottle. Same product, opposite outcome. The right conclusion is not to fight the floor with more bottles - it is to scent the arrival properly with a Vaayu (₹11,999) and keep the floor at or near nothing, because members there are breathing hard and would experience any real setting as far stronger anyway.

So is the reception reed doing anything useful, or is it just close by?
It is doing something genuinely useful, and being close by is the mechanism rather than a caveat. The desk is the point where a member or a visitor stops, breathes normally, and pays attention, arriving from outside with a nose that has not yet adapted to your building. A quiet, well-chosen scent in that thirty seconds does more for how the club reads than the same scent spread thinly through a room nobody stops in. The limitation to be honest about is scale: a reed at the desk scents the desk, not the entrance hall, and if your arrival area is a proper double-height lobby with a lounge attached then you are back to needing an active machine to hold the whole volume evenly. Keep the reed at the counter for what it is - a small, reliable, unpowered nicety with no switch on it - and size the room separately.
Would a bigger reed bottle cover more of the floor?
It would last longer, not reach further. Bottle size determines how much oil is available and therefore how many weeks the diffuser runs before it needs replacing - our 130ml size from Rs 1,249 is exactly that, a longer run for a room that is in use all day. It does not change the physics of the release, because the scent still leaves the reeds by evaporation and then relies entirely on the room's own air movement to go anywhere. A larger bottle in a 1,133 cubic metre training floor gives you the same invisible result for more weeks. If you want distance rather than duration you have to add energy to the system, which means a machine that atomises the oil and puts it into the air already dispersed. Duration and reach are two different problems and only one of them is solved by a bigger bottle.
Our floor has ceiling fans running. Does that help spread the reed's scent?
It spreads it and dilutes it in the same movement, which nets out badly. Air passing over the reeds increases the evaporation rate, so the bottle empties faster and briefly smells stronger nearby. But everything it releases is then swept into a very large volume and mixed down to a concentration nobody can detect, and in a gym a good deal of it is on its way to an extract grille. You have converted oil into weeks-shorter bottle life and no perceptible scent. There is also a safety point worth making plainly: an open glass bottle of oil on a shelf in a room where people are lifting is in the wrong place, fans or no fans. Keep reeds in small enclosed rooms and out of walkways, and let a machine deal with rooms that have real airflow in them.
Should the reception and the floor smell of the same thing at different strengths?
Yes, and this is one of the few rules in gym scenting we would call absolute. Character stays constant across the building and only intensity varies by zone. Members walk from reception to the floor in a few seconds, and two different registers over that distance do not read as a considered sequence - they read as several separate air fresheners, which is precisely the impression a premium club is trying to avoid. One register, held at a normal low level at the arrival and in the lounge, and at or near nothing on the training floor, reads as one building with one identity. How do I work out my own numbers rather than using yours?
Room by room, at each room's own finished ceiling height, never as one average. Multiply the floor area in square feet by the height in feet to get cubic feet, then divide by 35.3 for cubic metres. Measure the finished ceiling, not the slab, because service ceilings in a reception or a studio can take a foot or more off, and measure the training floor separately because it is usually the tall one. Then mark which rooms have doors that are normally closed, because a coverage rating assumes one connected body of air and a club with a reception, a floor, two studios and a changing block is not one volume.
