This is written for the person who will own the decision internally, and who will be asked about it in eighteen months when somebody complains. Half of the checklist has nothing to do with fragrance at all.
Quick answers — read this first
What should a facility manager check before scenting a hospital? Drawings and AHU zoning, whether a persistent odour exists, written infection-control agreement, clinical policy on exclusions, occupational exposure for staff who work in the zone all day, a fragrance-free route, complaint route, key control, refill logistics, maintenance ownership, a trial period and an agreed exit.
Which checks do people usually skip? Staff occupational exposure, the complaint route, and the exit. Patients pass through a scented zone for minutes; front-desk and security staff stand in it for nine hours, and nobody asks them. And very few installations are agreed with a way to stop.
How long should a trial run? Long enough to include a weather change and a full complaint cycle - a minimum of four to six weeks, with the level locked. A SOSA Vaayu at ₹11,999 has a key-lock so a trial actually tests one setting rather than five.
The short answer
Short answer: Twelve checks: zoning, odour, written agreement, exclusions, staff exposure, fragrance-free route, complaints, key control, refills, maintenance, a locked trial and an exit.
The pick: nothing, across most of a healthcare building. Where a non-clinical zone is genuinely separate air and infection control agrees in writing, the machine for that one volume is the SOSA Vaayu at ₹11,999 on Hotel Collection fragrance from ₹299.

Commercial scenting goes wrong in a predictable order: somebody buys a machine to cover a smell that has a source, puts it where the socket is, runs it at full intensity because day one felt weak, and ends up with a room people comment on for the wrong reason. Source first, air volume second, unscented zones written down third, low intensity and a schedule fourth. This guide walks that sequence, with the real SOSA machine range at each size.
What should a hospital facility manager check before considering ambient scenting?
Twelve things, in this order. One: the drawings - which AHU serves the proposed zone and what else is on it. Two: is there a persistent odour? If yes, stop; that is a facilities investigation, not a fragrance project. Three: written agreement from infection control, not a mention in a meeting. Four: the clinical exclusion list, documented, so it survives a staff change. Five: occupational exposure - the front desk, security and housekeeping staff who stand in that zone for nine hours are the most exposed people in the building, and they are almost never consulted. Ask them before, not after. Six: a fragrance-free route through the building for patients and visitors who need one. Seven: a complaint route that is visible and does not require somebody to make a fuss. Eight: key control - who can change the intensity, and the answer should be one named person. Nine: refill logistics - who orders, who fills, what the consumable costs annually, and what happens when that person is on leave. Ten: maintenance ownership, written into the same schedule as your AC filters. Eleven: a locked trial period of four to six weeks at one setting, spanning a weather change. Twelve: an agreed exit - what would make you switch it off, decided before it goes on. Fragrance is an ambience decision and never a substitute for ventilation, cleaning or source control. If it clears all twelve: a SOSA Vaayu at ₹11,999 with a key-lock, on Hotel Collection fragrance from ₹299. A portion of every order supports girl-child education through Nanhi Kali.
One line: twelve checks, and the three usually skipped are staff exposure, the complaint route and the exit.
The one product feature that matters for a facility manager is key control: a SOSA Vaayu at ₹11,999 locks its setting so a trial tests one level rather than five, and so the level you agreed is the level running in eighteen months. Fragrance from ₹299.

Twelve checks, and half of them have nothing to do with fragrance
Most scenting installations that go wrong in institutional buildings go wrong on governance rather than on product, which is why this list is mostly governance.
Why this works
The checks people skip
If, after the sources are dealt with, one non-clinical zone still qualifies, the machine for it is the SOSA Vaayu at ₹11,999. Where no zone qualifies, the honest outcome of this guide is that you buy nothing.
A patient crosses your lobby in ninety seconds. Your reception, security and housekeeping staff stand in that same air for a nine-hour shift, five or six days a week, for years. They are the population with genuine exposure, and in almost every installation they are consulted after the machine is installed rather than before. Ask them first, include a way for them to raise it later without it being a confrontation, and keep at least one staff work area outside the scented volume. This costs nothing and it is the single most defensible thing on this list.
Tip: Ask the front desk before you ask the supplier.
02
The operating reality
Refills, keys and who owns it on a Tuesday
Institutional installations fail quietly on logistics. Nobody owns the refill, so the machine runs empty for three weeks and then gets refilled at a higher setting to compensate. The intensity dial is accessible, so four people adjust it. Maintenance is not on a schedule, so it is reactive. Name an owner, put the consumable on a purchase schedule, put the machine on the same maintenance rota as your AC filters, and control the key. Then the thing you agreed is the thing still running next year.
03
The missing clause
Decide in advance what would end it
Very few ambience projects are agreed with a stopping condition, which is why they are hard to stop. Write down in advance what would make you switch it off - a defined number of complaints, an infection-control review, a change of use in an adjoining area, a ventilation alteration - and the decision stops being personal later. Pair it with a locked four to six week trial across a weather change, and you have something you can defend in a meeting eighteen months from now.
Tip: An installation with no stopping condition is hard to stop.
The SOSA principle
Institutional scenting rarely fails on the product. It fails because nobody owned the refill, the key or the exit.
Which is why the checklist is mostly governance and only partly fragrance.

If it clears the checklist
If a zone clears all twelve checks, the specification that follows should be the most boring one available: one machine, one setting, one owner.

The SOSA commercial range
Whatever the space, the method is the same: find the source of any smell and fix it, draw the air volume rather than the floor plan, write down which zones stay unscented, then set a low intensity and a schedule. Every SOSA fragrance is alcohol-free and made in India, and a portion of every order supports girl-child education through Nanhi Kali. Here is the range by the size of space it is honestly built for.

Honest notes for a healthcare facility: SOSA makes no health, air-quality, infection-control, therapeutic or clinical claim for fragrance, and ambient scenting is never a substitute for ventilation, cleaning or source control. A persistent odour in a healthcare building is a ventilation, drainage or housekeeping finding and should be investigated as one - fragrance placed over it conceals a signal the facility needs. Clinical, sterile, procedure, diagnostic and patient-care areas are governed by the facility's own infection-control policy, which decides whether any area is scented; in the specifications we write, those areas are not. Where scenting is considered at all it is limited to non-clinical public zones such as a main lobby, on their own air handling, with infection control's agreement, and with a fragrance-free waiting option available. Ultrasonic diffusers and the machines run on the Hotel Collection fragrance; reed diffusers use their own alcohol-free reed oil, and the two are not interchangeable. The Hotel Collection scents are SOSA's own interpretations inspired by the world's finest hotels; SOSA is an independent Indian fragrance house and is not affiliated with, endorsed by or associated with any hotel brand. SOSA's fragrances are made in India; the scent machines are imported. Listed prices are store prices and are subject to change. SOSA's paid on-site walkthrough is ₹1,500 and is Pune only - everywhere else, including Vijayawada, Guntur and the Amaravati region, sizing is done remotely over WhatsApp from your own measurements. A note from Sonal
I will say something here that a fragrance company is not supposed to say: a hospital is the one environment where my honest answer is usually no. Not because scenting is unsafe, but because the places people most want to fix - wards, corridors, treatment areas, anywhere with a persistent odour - are exactly the places where a fragrance would be covering a finding that belongs to the ventilation, drainage or housekeeping team.
Where there is a real conversation to have, it is narrow: a main entrance lobby, sometimes a VIP lounge, sometimes a day-care reception - non-clinical zones, on their own air, with infection control's agreement. Narrow is not a consolation prize. A lobby is the first and last thing every visitor experiences, and getting one zone right is worth more than scenting a building badly.
SOSA makes no health, air-quality, therapeutic or clinical claim for fragrance, and your infection-control policy outranks every recommendation on this page. If your HVAC shares returns between clinical and non-clinical zones, my advice is to leave it alone until that zoning is separate. WhatsApp +91 96192 18531 if you want that assessed honestly, including the answer that you should not buy anything. A part of every order funds girl-child education through Nanhi Kali.
Frequently asked questions
What should a facility manager check before scenting a hospital?
Twelve things: AHU zoning, persistent odour ruled out, written infection-control agreement, documented exclusions, staff occupational exposure, a fragrance-free route, a complaint route, key control, refill logistics, maintenance ownership, a locked trial and an agreed exit.
Which checks are usually skipped?
Staff exposure, the complaint route and the exit. Patients pass through in minutes; reception, security and housekeeping staff stand in that air for nine-hour shifts and are rarely asked.
How long should a trial period be?
Four to six weeks minimum, at one locked setting, spanning a weather change. A trial that runs at five different levels has tested nothing.
Who should be able to change the setting?
One named person. An accessible dial in an institutional building gets adjusted by several people with adapted noses, and the level drifts upward over months.
What if a zone fails a check?
Then it does not get scented, and that is a legitimate outcome. Fragrance is an ambience decision and never a substitute for ventilation, cleaning or source control. WhatsApp +91 96192 18531.
