The gym reception is the one room in the building where a fuller level is legitimate, because it is the one room where people are standing still and breathing normally. Everywhere else in a club, the person in front of you is working, and the same setting arrives at them far harder. So reception is where the fragrance budget belongs, and it deserves a properly considered register rather than whatever the supplier had in the box. The right family is narrower than you would expect, and it is narrow for reasons specific to a gym rather than borrowed from a hotel.

A gym reception is not a hotel lobby, and the difference is the person
A hotel lobby scents a guest who has just arrived from outside, is standing among luggage, and will sit down. A gym reception has to work for two completely different people at the same desk. The first is arriving: often early, often before a first coffee, often having come straight from bed or straight from a commute, and heading towards physical effort within minutes. The second is leaving: warm, having worked, with their own sense of smell temporarily sharpened by exertion and their skin still cooling. A register has to be right for both, and that requirement alone eliminates most of what sells well in hospitality. Warm, sweet and plush registers are built to feel enveloping in a still, cool, seated room. In a gym reception they feel close and heavy to the arriving member and slightly cloying to the departing one. Dry, green and airy registers do the opposite: they read as clean to somebody who is about to work and as fresh to somebody who has just finished. There is a second constraint that owners forget. Your reception is not a sealed room. It is the top of the ladder for the whole building, and whatever you put in it will thin out into the corridor and reach the first few metres of the floor, where members are breathing much harder. The Shangri-La-inspired blend - jasmine, green tea, white tea - leads with night-blooming jasmine, and a heady white floral sits badly anywhere near exertion; it is also the register most likely to be described as strong by somebody who has just finished a hard session. The W Hotels-inspired blend - citrus, pepper, amber - is the boldest and most playful of the set, and pepper is simply the wrong sensation in a building where the people twenty feet away are breathing hard and paying close attention to their own airways. The Four Seasons-inspired blend - citrus, floral, sandalwood - is the friendliest hospitality signature of the seven and the closest call on this list, but the creamy sandalwood base gives it a warmth and fullness that reads spa reception rather than fitness club, and warmth is the quality a gym has least use for. Should a gym reception smell like a luxury hotel lobby?
It should borrow the discipline and not the weight. What a good hotel lobby does well is consistency, restraint and a register that nobody can name - all three transfer perfectly to a club. What does not transfer is the density. A lobby is designed for people who are seated, cool and stationary for long periods, and it can carry a warm, full, upholstered fragrance because of that. A gym reception is a threshold: people pass through it in both directions, one group about to work and one group having just worked, and neither of them wants an enveloping room. Take the hotel approach to level-setting and consistency, take the dry white tea and cedar end of the palette, and leave the amber, the powder and the heavy florals in hospitality where they earn their keep.
Can we use an energising citrus or mint scent because it is a gym?
It is the most common instinct and it usually disappoints, for two reasons. The first is that we will not claim a fragrance energises anyone. Ambient scent research supports better evaluations of a space and its service, longer dwell and stronger recall at moderate effect sizes; it does not support performance or arousal claims and we are not going to invent one. The second is practical: bright citrus at any real strength sits very close to the smell of a cleaning product, so a strongly lemony reception does not read as fresh, it reads as recently mopped. Is a bespoke signature blend worth it for a premium club?

Our reception is completely open to the training floor. Does that change the register?
It does not change the register, it changes the level and the placement. An open-plan front means your reception and your floor are one connected body of air, so whatever you set at the desk is being delivered to people who are working a few metres away at a much higher rate than it is delivered to the person checking in.
