A wealth office that hosts a quarterly market briefing, a wine evening or a small client dinner is running two entirely different rooms in the same premises. The working day is twelve people in a quiet, cool, controlled space. The evening is thirty people standing shoulder to shoulder with glasses in their hands, doors propped open, caterers in the corridor and a room that has already been scenting itself since nine in the morning. Almost everybody turns the system up for the event. The honest answer is to turn it down, and often off.
Quick answers — read this first
Should I increase the fragrance for an evening client event? No. Turn it down or switch it off for the event. Three things change at once and all of them point the same way: a room full of people is a warmer room, and warmer air raises the rate at which any fragrance in it evaporates from surfaces and from the machine; every guest arrives wearing their own perfume or cologne, so the room already has a substantial fragrance load before you add anything; and food and drink are present, which fragrance should never compete with. On top of that the room has been running at its normal setting all day, so its surfaces, curtains and carpet are already holding the register. Adding to that produces a crowded, heavy room that people comment on for the wrong reason.
How do I prepare the room before guests arrive? Air it, do not dose it. Stop or lower the machine towards the end of the working day, then open the room up and get some air moving through it for fifteen to thirty minutes while the caterers set up - windows if you have them, or the air-conditioning running with the doors between rooms open. What you want when the first guest walks in is settled air rather than freshly dosed air. If you want any register present at all during the event, it should be the residue of the working day at a lower setting, not a burst laid on for the occasion. The app and timer on a SOSA Vaayu at Rs 11,999 make that a two-tap schedule change rather than a job for whoever is nearest the machine.
What about food and drink at the event? Keep fragrance out of their way. Canapes, coffee, a whisky or wine tasting and a fragrance running at any noticeable level are competing for the same sense, and the guest's experience of the food is the one that suffers. If there is any tasting element to the evening at all - a wine, a whisky, a coffee, anything a sommelier or a specialist is talking through - the correct setting is off, and the room should be aired before the tasting rather than during it. For a standing reception with drinks and light food, low is acceptable; for anything where somebody is asked to nose a glass, low is not. It costs you nothing to switch it off and it removes the only real risk in the evening.
The short answer
Short answer: An evening client event is a different job from the working day, and the correct move is down or off rather than up. Thirty people warm the room and warmer air raises evaporation; guests bring their own perfume and cologne, so the room already carries a fragrance load; food and drink should never compete with a register; and the room has been running at its normal setting since morning, so surfaces already hold it. Air the room for fifteen to thirty minutes before guests arrive rather than dosing it. Switch off entirely for any tasting. Return to the normal schedule the next morning. Every customer-facing space hosts two audiences at once: the customer who forms an opinion in a single visit, and the staff who breathe that air for eight hours. Commercial scenting serves both with one move - a single refined fragrance, held evenly from the entrance to the far end of the floor, running on a schedule nobody has to remember. Customers experience it as "this brand has itself together"; the team gets premises that smell composed from opening to close.
We host client evenings in the office. Should the scenting run harder for them?
No. Run it lower, or not at all, and spend the effort on airing the room. 1. Understand the load you already have. The room has been running at its working-day setting since morning, so the carpet, the curtains, the upholstery and the panelling are already holding the register. Thirty people then arrive, each wearing something, and the room warms up: warmer air raises evaporation from every surface in it, including the ones holding your fragrance. The evening has more fragrance in it than the afternoon did before you touch a single setting. 2. Turn it down or off before guests arrive. Drop the level or stop the machine at the end of the working day. On a SOSA Vaayu (₹11,999) that is a schedule change in the Bluetooth app, which means it happens whether or not anybody remembers on the night. 3. Air the room. Fifteen to thirty minutes of real air movement while the caterers set up - windows open if you have them, or the air-conditioning running with internal doors open. Settled air, not fresh dosing, is what you want the first guest to walk into. 4. Give food and drink the room. A standing reception with canapes can carry a low level. Anything with a tasting element - wine, whisky, coffee, a sommelier or a specialist talking a group through a glass - takes nothing at all. 5. Reset the next morning. Air the room again after the event, get the bins and the glassware out overnight, and let the normal schedule resume for the working day. And the claim not to make: none of this influences a decision, a mandate, a retention or a referral. What ambient scent research supports is better evaluations of a space and its service at moderate effect sizes. Your staff work the event as well as the day, so whisper calibration, a locked setting and treating any sensitivity report as a recalibration signal apply in the evening too. Why the evening is a different job from the day
Three things change between six in the evening and half past seven: the number of people, the temperature, and what else is in the room asking to be smelled.
Why this works
The evening rule - down or off, and air the room first
The commercial standard: the SOSA Vaayu at ₹11,999 - waterless, app-scheduled, ~1000m³ coverage. Single rooms start on reeds from ₹749.
An evening room already has more fragrance in it than the afternoon did
Count what is in the room before you add anything. First, the working day: the machine has been running at its normal setting since morning and the soft surfaces have been absorbing it for nine hours, which is why an office at seven in the evening smells more of its register than the same office at ten in the morning. Second, the people: thirty guests standing close together is a meaningful heat load, and warmer air increases the rate at which volatile compounds leave surfaces, so the register the carpet has been storing all day starts coming back out of it. Third, the guests themselves: every one of them arrives wearing something, and a room of thirty adults at a private banking event is a room with thirty perfumes and colognes in it, several of them substantial. Fourth, whatever the caterers have brought. Add all of that up and the honest conclusion is that the evening has a fragrance problem of abundance rather than scarcity. The instinct to turn the machine up comes from a reasonable place - the event feels important, so it should feel more of everything - but it is solving a shortage that does not exist.
Tip: the room at seven in the evening is already holding nine hours of your register - add people and it gives some of it back.
2
The food
Fragrance and food are asking for the same attention
Smell and taste are close enough in practice that a strongly scented room genuinely interferes with what people notice in a glass or on a plate, which is why the wine trade is so particular about the rooms it tastes in. That has a simple operational consequence. A standing reception with drinks and a few canapes will carry a low ambient register perfectly well, because nobody is being asked to concentrate on what they are drinking. An evening built around a tasting - a wine or whisky flight, a coffee session, a chef talking through a menu - should run in unscented air, full stop, and the room should be aired before it rather than during it. The same applies to a seated dinner, where guests are with the food for two hours and the kitchen smells are part of the experience you are paying for. There is a second, less obvious reason to keep the register out of the way: food smells and ambient fragrance mixing produce a specific muddled quality that guests notice without being able to name, and the natural conclusion they draw is that the room was covering something. Give the food the room. It is the thing your guests came for.
3
The sequence
What actually happens, and in what order
Run the evening as a sequence and it stops being a decision anybody has to make on the night. Late afternoon: the machine drops to its lowest setting or stops, ideally on a schedule rather than by hand - on a Vaayu (₹11,999) that is a saved change in the app, so it does not depend on whoever is nearest. Before setup: air the room properly for fifteen to thirty minutes while the caterers are in, with real air movement rather than a token open window. During setup: bins emptied, the day's coffee cups gone, the kitchenette door closed, and the caterers' boxes and packaging out of the rooms guests will use. As guests arrive: settled air, doors likely propped open, and nothing running that anybody could name. After the event: glassware, food waste and bins out of the suite that night rather than the next morning, then air the room again. Next morning: the normal schedule resumes, and it is worth walking in cold to check that the room recovered - a space that hosted thirty people and a dinner smells of that the following day, and airing beats dosing there too. Your own team work the event on top of a full day in the same air, which is one more reason the evening setting is lower, not higher.
Tip: decide the evening in the app on Monday, not at the door on Thursday.
The SOSA principle
Everybody's instinct is to turn it up for the event. Thirty people, a warm room and a tray of canapes have already turned it up for you.
Lower or off, air the room before guests arrive, give food and drink the space they need, and let the normal schedule resume the next morning.

The SOSA commercial edit
Whatever your business sells, the system logic is the same: one signature, sized to the space, scheduled so it never depends on anyone's memory. A single small room or a consultation corner can sit happily on reeds with no power at all; a customer-facing floor wants the Vaayu; a venue or a flagship wants HVAC. Every SOSA system is supported from India, and the Hotel Collection blends - SOSA's own hotel-inspired interpretations - run across the powered ones. A portion of every order supports girl-child education through Nanhi Kali. Here is the full commercial range.

Honest notes for business owners: scenting compounds a well-run premises and rescues nothing. Ventilation, air-conditioning and cleaning come first, and fragrance never substitutes for hygiene or air quality - if the air is stale, damp or smoky, fix that at the source before any scent goes in. The people most exposed to the fragrance are not your customers but your STAFF, who work eight-hour shifts in it, which is why whisper calibration and locked settings are standard on every SOSA commercial install, and any staff sensitivity report should be treated as a recalibration signal rather than a complaint. Healthcare and wellness spaces need extra restraint: keep scenting to reception and circulation areas, never treatment rooms, and the practitioner's judgement overrides anything in this guide. The Hotel Collection scents are SOSA's own hotel-inspired interpretations; SOSA is an independent Indian fragrance house, not affiliated with or endorsed by any hotel brand. Ultrasonic systems use the water-based Hotel Collection fragrance; the Vaayu and HVAC systems run waterless nebulising oil - the formats are not interchangeable. WhatsApp consult: +91 96192 18531. ISIPCA Versailles
A note from Sonal
I have walked into jewellery showrooms lit like museums, bridal boutiques with hand-embroidered walls, furniture floors styled down to the last cushion, clinics with better art than most galleries - and in almost every one of them, the air was an afterthought. Floor polish, packaging cartons, the phenyl from the morning mopping, the workshop or the loading bay drifting forward. The one thing every customer takes in before they see anything is the thing most businesses leave to chance.
I trained at ISIPCA in Versailles, where the world's scent-marketing perfumers learn the craft, and what I build for Indian businesses is the same architecture the global hospitality brands use, whatever you sell: one signature, sized to the space, run on a schedule - so the scent is as reliable as your lighting. A consultation corner may only need reeds; a full floor needs the Vaayu; a venue needs the HVAC systems. If you want it applied to your specific premises, message us on WhatsApp at +91 96192 18531 with the type of space and its approximate size - I read those descriptions myself.
Everything is made or assembled for Indian conditions, supported from Pune - and a part of every order funds girl-child education through Nanhi Kali. Your brand gets a memory; a girl gets a classroom. That equation has always felt right to me.
Frequently asked questions
We want the room to feel special for the event. Is turning it off not a wasted opportunity?
The room does feel different for an event, but almost none of that comes from the air. It comes from the lighting being dropped, the furniture being moved, glasses and flowers appearing, and the room being full of people talking. Those are the levers, and they are far stronger than a fragrance setting. What an evening genuinely benefits from is air that is clean, moving and not competing with anything, because that is the condition in which food, wine and thirty people's conversation are most comfortably experienced. If you want one deliberate scenting decision for the evening, make it the airing before guests arrive rather than a burst during. That is the move guests actually register, even if they would never describe it that way.
Can we use a different register for evening events?
We would keep one register for the premises and vary the level instead. Two registers in the same rooms within the same week means your staff spend Thursday evening in one and Friday morning in the other, and it also means the soft furnishings are holding both, which is where a muddled smell comes from. If the office register is one of the lighter ones and you want the evening to feel warmer, the honest answer is that the lighting, the room layout and the glassware will do that job far better than a second bottle. If you are genuinely reconsidering the register for the whole practice, that is worth doing properly rather than as an event decision - message us on WhatsApp at +91 96192 18531 with the interior and we will shortlist from the seven.
How long before guests arrive should we stop the machine?
Treat the end of the working day as the cut-off and use the airing time as the buffer, which in most offices means the machine is already off or at its lowest setting an hour or more before the first guest. That is enough for the air to settle without the room going flat, particularly since the surfaces will keep releasing a little of the day's register regardless. We will not give you a precise consumption or clearance figure, because it depends on your room volume, your ventilation, the setting you were running and how many hours it ran, and any number we published would be wrong for most offices. If you want a specific plan for your rooms and your event pattern, send the dimensions and the schedule to +91 96192 18531.
Does the fragrance help the evening go well commercially?
Not in any way we will claim. There is no evidence connecting ambient fragrance to a mandate, a retention, a referral or any other commercial outcome, and an evening event is exactly the setting where that kind of claim gets made most loosely. What the research supports, at moderate effect sizes, is that pleasant, congruent, gently dosed scenting improves how people evaluate a space and the service delivered in it. For an event that translates into a room that feels well run rather than one that feels staged, which is worth having and is also achievable by airing the room and emptying the bins. The evening goes well because the speaker was good, the wine was chosen carefully and somebody remembered who each guest was.
Our team run the event after a full working day in the same air. Does that matter?
It matters more than anything else in this page, and it is the reason the evening setting goes down rather than up. Your staff are the most exposed people in the building: they have already spent eight to ten hours in the register, and now they are working a second shift in a warmer, more crowded version of the same room. Whisper calibration and a locked setting exist precisely so that nobody is breathing more than they should on a long day, and an event is when that discipline is most likely to slip because somebody wants the room to feel more like an occasion. Ask them afterwards how the room was, and treat any sensitivity report as a recalibration signal rather than a tolerance problem. If a team member says the evening was heavy, it was.

Facts verified August 2026: Ambient scent research consistently associates pleasant, congruent scenting with improved evaluations of a space and its service, longer dwell time and stronger brand recall at moderate effect sizes; congruence (scent matching the setting) and gentle intensity outperform strong scenting in replicated studies, and no scent effect survives poor ventilation, poor cleaning or poor indoor air quality. Olfactory memory is unusually durable: scent-linked brand memories persist and retrieve for years, which is the mechanism behind signature scents. Staff exposure is the design constraint, since employees breathe the fragrance for full shifts: whisper calibration, locked settings and sensitivity accommodations are standard practice, and healthcare and wellness settings call for extra restraint. SOSA systems: alcohol-free reed diffusers from ₹749 for single rooms with no power needed; Sukoon 500ml ultrasonic (₹1,899) and Megh 6L ultrasonic (₹3,499) run the water-based Hotel Collection fragrance (from ₹299; refills from ₹999, 100ml ₹999); SOSA Vaayu (₹11,999) is a waterless cold-air nebulising machine, ~1000m³ coverage, Bluetooth app and timer; SOSA Aangan (₹25,999) and SOSA Meenar (₹38,500) are HVAC nebulising systems for approximately 8,000-10,000 and 12,000-18,000 sq ft respectively.
