Floor area on its own cannot answer this question, and the reason is the thing gym owners forget: your building is tall. Most offices and clinics are 10 ft. Gyms run 12 to 20 ft, sometimes double height over a rig, and every extra foot is a straight multiplier on the air you are being asked to scent. So before anything else, take the number in your lease and multiply it by your actual ceiling. Then do one more thing nobody tells you to do, which is to work out how much of that air is genuinely connected, because that is the number you buy against.

What size diffuser does a 1,000 sq ft boutique gym need? Work the volume first. At a 12 ft ceiling, 1,000 sq ft x 12 ft = 12,000 cubic feet, and 12,000 / 35.3 = about 340 cubic metres. The multiplier every gym owner leaves out of the sum
Every sizing conversation we have with a gym starts with a floor area and no ceiling height, and every one of them changes once the height arrives. Do it by hand. A 1,000 sq ft boutique gym with a 12 ft ceiling is 1,000 x 12 = 12,000 cubic feet, and dividing by 35.3 gives about 340 cubic metres. Take the same floor plate up to 16 ft, which is entirely normal in a converted warehouse unit or a ground-floor retail shell with the ceiling stripped out, and it is 1,000 x 16 = 16,000 cu ft, about 453 m³. At 20 ft over a rig, 20,000 cu ft, about 567 m³. Nothing about the lease changed. The air you are asking a machine to hold went up by two thirds. Boutique gyms sit at the sharp end of this because the aesthetic everyone wants - exposed ductwork, black soffit, a full-height rig, a mezzanine you can look down from - is an aesthetic made of ceiling height. Measure to the actual soffit rather than to the lowest thing you can see, and if you have a mezzanine, treat the void as connected air, because it is. This one number is why the same question from two gyms of identical floor area gets two different answers from us.

Air change
A gym is harder to scent than an office of the same size, by design
Here is the variable almost nobody mentions, and it is the one that stops gym owners under-buying. A cubic metre is not a fixed job. What matters is how often that cubic metre is replaced with outside air, and a gym is ventilated far harder than an office on purpose - because it is full of people working, because you want the heat and the humidity out, and because a stuffy training floor is the fastest way to lose a room. Higher air exchange means scented air is carried out of the building faster and replaced with unscented air, continuously, all day. So a well-ventilated 340 m³ gym is a more demanding scenting job than a sealed 340 m³ office, and it needs more machine per cubic metre rather than less. State that to yourself before you buy, because the failure mode we see most often is a small machine bought against a floor area, installed in a well-ventilated room, and judged to be faulty when it is simply outnumbered. And the corollary is absolute: the answer is never less ventilation. Do not close vents, do not turn the extract down, do not shorten the run time of your air handling to make a fragrance last. In a room full of people breathing hard that would be indefensible advice, and we will not give it. If the fragrance will not hold, the honest options are a machine sized to the real air change rate, or accepting a lighter result.

Total floor area is almost never the number you buy against
A machine rating assumes one connected body of air. Your 1,000 sq ft is not one body of air. Break the plan up: a 200 sq ft entrance and reception is 2,400 cu ft, about 68 m³. A 700 sq ft training floor is 8,400 cu ft, about 238 m³. A 100 sq ft changing and washroom is 1,200 cu ft, about 34 m³. Those three add back to 340 m³, which is the arithmetic check, but they behave as three rooms the moment a door is shut. 1,000 x 18 = 18,000 cubic feet, and 18,000 / 35.3 = about 510 cubic metres. That is half again as much air as the 340 m3 you would have had at 12 ft, from the same lease. It still sits inside one Vaayu at Rs 11,999, which is rated for about 1000 m3 of connected air, but it has moved well past what a small ultrasonic will hold across an open room. Two practical notes. First, if the 18 ft is a double-height void over part of the floor rather than the whole plate, compute the two parts separately and add them, because the flat-ceiling area is doing less work than you think. Second, tall rooms stratify: warm air rises, and in a gym you are generating a lot of heat, so placement matters more at 18 ft than at 12. Put the machine where air is moving and people arrive, not where it looks tidiest.
Can I just use reed diffusers on the training floor instead?
For the training floor, no, and not because reeds are a lesser product. A reed diffuser is passive: oil climbs the reeds and evaporates at whatever rate the room allows, and nothing pushes it anywhere. That gives you genuine ambience within a few feet of where the bottle stands, which is exactly right for a washroom, a small office or a changing cubicle at Rs 749 upward. Across 700 sq ft of open floor with air being exchanged all day it will do nothing measurable, and you will conclude the product failed when the physics never allowed it to succeed. Use reeds where the space is small and enclosed and there is no power. Use an active machine where you need a volume of air held.
Should the changing room have its own diffuser?
It can, but choose the format carefully and get the order right. A changing room is the hardest air in the building - humid, warm, wet towels, shoes and a floor that is rarely dry - and the things that fix it are extraction, drying time, laundry turnaround and a shoe policy, in that order, long before fragrance. Fragrance adds scent to air; it does not remove, neutralise or absorb anything, and laid over damp it produces a third smell that members read instantly as a cover-up. When you do scent it, an ultrasonic is the wrong tool on the merits, because it works by adding a fine water mist to air that is already saturated. Waterless is the honest format in a wet room, and reeds from Rs 749 are a reasonable low-key option in a small dry cubicle.
Is one machine enough if reception and the floor are open to each other?
