What is the cheapest way to reduce the cost? Fix ventilation, moisture and housekeeping first. A building that is already right needs very little fragrance, and fewer zones means less of every line.
Three lines, and the biggest one is not the fragrance
We will publish every price we charge in this article, and then spend most of it on the cost line that suppliers do not talk about, because that is where hotel programmes actually get expensive. Line one is hardware, and it is a one-off and the smallest of the three. A Boond is Rs 799 and suits a small transitional space or a suite. A Sukoon is Rs 1,799 and suits a lift lobby, a vestibule or a small lobby. A Megh is Rs 3,499, has a 6L tank, and suits a large public volume where the long run between refills is the real benefit rather than the output. A reed is Rs 749 to Rs 849 and suits anywhere you want continuous low output with nothing to switch, no cable and nothing that reads as equipment. The number of devices comes from your enclosed volumes rather than your room count: draw a line on each floor plan at every door, fire door and partition, list the volumes that remain, then cross off the ones that get nothing - lift cars, kitchens, back-of-house, covered outdoor areas, most corridors and most guest rooms. A typical thirty-room boutique property comes out at four to seven devices. A large city hotel comes out far lower than a per-room quotation would suggest, because the count scales with lift lobbies and public volumes rather than with bedrooms. Line two is consumables, and it is the line everybody asks about. The Hotel Collection is a water-based fragrance for ultrasonic machines, at Rs 299 for 15ml, Rs 999 for 100ml and Rs 1,799 for 300ml, used at three to six drops per tank. Reeds use alcohol-free reed oil - a different product that must never go into a machine, because it can damage it - and give three to four months from a bottle, with refills at Rs 2,399 for 300ml and Rs 3,499 for 500ml. Volume pricing is quoted against your zone list on WhatsApp. What we will not do is give you a monthly consumption figure without that list, and it is worth being explicit about why, because somebody will offer you one. Consumption depends on how many zones you run, at what settings, for how many hours a day, in what climate, in buildings whose volumes we have not seen - and reed output additionally rises with warmth and falls with cold, so the same property consumes differently in January and June. A number produced without those inputs is not an estimate, it is a sales aid, and it will be optimistic because optimism closes orders. Line three is labour, and this is the one that decides whether a programme survives. Somebody has to refill devices on a schedule rather than when a tank looks low; empty and rinse tanks rather than topping them up, particularly in warm humid months when standing water is itself a source; record the refill date next to the setting, because bottle age is the untracked variable that produces differences looking exactly like settings faults; change between the dry-season and wet-season settings on the calendar dates; and walk the building monthly with somebody who has come in from outside, because everybody who works in a hotel adapts to a steady background within about an hour and stops perceiving it, with adaptation running only one way. Across a portfolio of forty devices that is a recurring commitment measured in hours per month, and it appears on no quotation you will receive from anybody, ours included. Two design decisions reduce it directly, which is why they are worth naming here rather than in a technical chapter. Fewer zones means less of all three lines - and the zones we recommend cutting are the ones that do not work anyway, since a corridor cannot hold a level and a lift car should never contain a source. And larger tanks reduce visit frequency: a Megh at Rs 3,499 in a large public space is often cheaper over two years than a smaller device refilled three times as often, once you cost the walking. Line four is the one that saves the most, and it is not a fragrance cost at all. The order of work in a hotel is ventilation, moisture, housekeeping and laundry, and fragrance fourth. A building with a failed bathroom extract, dry floor traps, a blocked air-conditioning condensate drain or heavily perfumed cleaning chemistry will be tempted to solve those with fragrance, which does not work - fragrance combines with an existing smell rather than covering it, the combination is worse than either alone, and it adds the message that somebody knew. Properties that go down that route end up running high settings permanently, consuming far more, and still receiving complaints. A building whose sources are fixed needs very little fragrance, which makes the first three items in the order of work the cheapest fragrance decisions you will ever make. Finally, what a sensible first commitment looks like.
