A litigation practice runs on paper in a way no other professional office does. Bundles for the current week, briefs tied in cloth, sets of pleadings in three copies, and behind all of it a store holding matters that closed in 2009 and cannot be thrown away. That room is usually the largest single body of paper in the building and the least ventilated, and in most firms it is also the room nobody has walked into for a month. Before anyone in your office searches for a diffuser, this page argues that the file room is a facilities problem and the client rooms are the fragrance problem, and that mixing the two is the mistake to avoid.

Why this room belongs to your building manager, not to us
A litigation store is a hard environment: a large mass of paper, poor air exchange, a door that stays shut for weeks, and frequently an external wall or a service shaft on one side. In a humid city that is the exact recipe for mustiness, and mustiness in a records room is not an atmosphere complaint. Most corridors that smell of files have a door propped open
Before you conclude that your office smells of the store, check what the store is connected to. Is it the paper or the building that smells?
There is a simple test and it costs nothing. Dry, ageing paper smells faintly sweet and woody, it is even across the room, and it does not change much between March and August. Building moisture smells sour and earthy, it is stronger in one corner or against one wall, it sits low near the floor, and it gets noticeably worse after a wet week. Walk the room slowly at floor level after a monsoon spell and see whether the smell has a location. If it does, you have found your wall. If the smell is even, dry and unchanged through the seasons, you have a normal store full of old briefs and there is nothing to fix. The second test is to take one bundle out of the room into a dry office for a day - if it stops smelling, the room is the problem, not the paper.
Our clerks spend hours in the file room. Should we scent it for them?
It is a kind thought and it is still the wrong move. The right thing for the people working in that room is air: ventilation, an exhaust fan if there is no window, a fixed habit of opening it up for a period every day, decent lighting so nobody is working in a dark corner, and racking that stops them lifting bundles off a damp floor. Those are the changes staff actually notice.
