Put the line in the budget and keep your hands off it until the clinic has been open a month. A new practice smells strongly of its own fit-out for several weeks, and every number a scenting decision needs arrives after handover rather than before it.

Reason one
The building is still releasing its own fit-out
New vinyl on treatment tables, adhesive under sheet flooring, fresh paint, new MDF and laminate in the joinery, new upholstery and new carpet all release volatiles heavily at first and then progressively less over several weeks. For that period your clinic has a strong smell of its own that you did not choose and cannot buy your way out of. The response is ventilation and time: open up early, cross-ventilate where the building allows, run the air conditioning with the doors to unoccupied rooms open, and repeat every morning. Fragrance does not remove, mask or neutralise any of it - it sits alongside, and layering a fragrance over a room that is still gassing off gives you two smells rather than one good one.
Tip: Give the treatment cabins the most airing of any room. New vinyl is at its strongest a few centimetres from a face cradle.

The scented volume is the first: it is the entrance, reception, waiting area and corridor only, and until the cabins are built and in use you will overestimate it. The correct level in a clinic is set for the receptionist who sits in it nine hours a day, not for the client who is there for twenty minutes, and if a staff member says it is too much then it is too much. In month one you may not have hired them, and in week one of their employment they will not tell you. Waiting until you have a settled front-of-house team is not caution for its own sake - it is the only way to set a number that will hold. The same applies to the unscented-room list, which needs to be written down and handed over rather than remembered: adjustment rooms, treatment rooms, examination rooms and any combined consultation-and-treatment room stay unscented, permanently, and a new team is exactly where that quietly slips.
