This is the page that explains why a gym is a harder scenting job than an office of the same size, and it comes down to one number almost nobody computes: how many times an hour the air in the room is replaced. A gym is ventilated far harder than an office by design, because it is full of people working. Every air change carries scented air out of the room and unscented air in, continuously, all day. The same machine at the same setting therefore holds a lower steady level in a gym than in a sealed room of identical volume. That is the honest reason gyms are demanding. It is also, once you understand the air handling, the reason a big club can be scented more evenly than a small one.

Does ventilation make it harder to scent a gym? Yes, and it is the single most under-discussed variable in commercial scenting. Fresh-air exchange removes scented air continuously and replaces it with unscented air, so the level a machine can hold in a room is set not just by the room's volume but by how fast that volume is being replaced. A gym is ventilated harder than an office by design, which means a gym needs more machine per cubic metre than a sealed space of the same size to reach the same perceived level. That is the honest trade-off. What we will never suggest is reducing the ventilation to compensate - not closing vents, not lowering fan speeds, not shortening run times. In a room full of people breathing hard that would be indefensible. If the fragrance will not hold, you size the machine to the actual air change rate, or you accept a lighter result.
How do I calculate my gym's air change rate? Ask your HVAC contractor for the supply airflow to each zone in CFM, then use this: air changes per hour equals CFM multiplied by 60, divided by the room volume in cubic feet. A worked example: a training floor of 3,800 sq ft at 16 ft is 60,800 cubic feet. At 6,000 CFM of supply, 6,000 times 60 is 360,000 cubic feet per hour, divided by 60,800 is about 5.9 - so roughly 6 air changes per hour, a nominal replacement every 60 divided by 6, or about 10 minutes. A reception of 600 sq ft at 12 ft is 7,200 cubic feet; at 400 CFM that is 24,000 divided by 7,200, about 3.3 air changes per hour, or a nominal replacement every 18 minutes. Then ask the second question, which matters more: how much of that supply is outside air rather than recirculated.
Can HVAC help distribute fragrance rather than remove it? Yes, where there is genuine ducted air handling, and this is what the HVAC scenting systems are built for. Every customer-facing space hosts two audiences at once: the customer who forms an opinion in a single visit, and the staff who breathe that air for eight hours. Six things, and the first is a number. 1. Compute your air change rate. Air changes per hour = supply CFM x 60 / room volume in cubic feet. Six changes an hour at 25 per cent outside air is 1.5 outside-air changes an hour, a nominal fresh-air replacement every 40 minutes - a completely different room from six full outside-air changes. 3. Accept the honest consequence. A gym is ventilated far harder than an office by design, so the same machine at the same setting holds a LOWER steady level in a gym than in a sealed room of the same volume. A gym needs more machine per cubic metre than a sealed space. That is why this is a demanding job. 4. What we will never advise. We will not tell you to reduce fresh-air exchange, close vents, lower fan speeds or shorten ventilation hours so the fragrance lasts longer. Air change rate is the second variable, and nobody computes it
Everybody sizes a scenting system on volume. Almost nobody sizes it on how fast that volume is being replaced, and in a gym that omission is the difference between a plan that works and one that quietly disappoints. The formula is simple enough to do on a phone: air changes per hour equals the supply airflow in cubic feet per minute, multiplied by 60, divided by the room volume in cubic feet. Take the training floor from a worked club - 3,800 square feet at a 16 foot ceiling, which is 60,800 cubic feet. If the air handling delivers 6,000 CFM to that zone, then 6,000 times 60 is 360,000 cubic feet an hour, and 360,000 divided by 60,800 is about 5.9. Call it six air changes an hour: a nominal replacement of the room's entire air every 60 divided by 6, or roughly ten minutes. Now do the reception: 600 square feet at 12 feet is 7,200 cubic feet, and at 400 CFM that is 24,000 divided by 7,200, about 3.3 changes an hour, a nominal replacement every eighteen minutes. Same building, same register, two rooms whose air is being replaced at rates that differ by nearly a factor of two. Real mixing is never perfect, so treat these as nominal figures rather than as a stopwatch - but the ratio between two zones is real, and it is why the same setting behaves differently in each. Your HVAC contractor or the commissioning sheet has the CFM per zone. Ask for it before you buy anything.
Tip: ACH = CFM x 60 / cubic feet. 60,800 cu ft at 6,000 CFM is about 5.9 changes an hour - the room's air replaced nominally every ten minutes.

The rule
The answer is never less air, and we will not pretend otherwise
There is an obvious way to make fragrance last longer in a heavily ventilated room, and we are not going to recommend it. We will not advise you to reduce your fresh-air exchange. We will not advise closing vents, throttling dampers, dropping fan speeds, shortening the hours the air handling runs, or shutting off outside air to hold a scent level. In a room full of people breathing hard, deliberately reducing the air being brought in so that a fragrance survives longer would be indefensible advice, and any supplier who offers it - in any phrasing, however softly - has told you exactly how much they are willing to weigh your members against their product. Ventilation always wins. So state the trade-off honestly instead: a well-ventilated gym is genuinely harder to scent than a sealed office, because the mechanism that makes the room pleasant to train in is the same mechanism that removes what you put into the air. A gym therefore needs more machine per cubic metre than a sealed space of the same size to reach the same perceived level, and we publish no multiplier for that because we have no measured one to publish - it depends on your rate, your outside-air fraction and your layout. If a club's fragrance will not hold, there are exactly two acceptable responses. Size the machine to the actual air change rate, which is a real answer with real arithmetic behind it. Or accept a lighter result, which is also a real answer and is often the right one. Reducing the air is not on the list.

The opportunity
Ducted air handling is a distribution system you have already paid for
Air handling is not only a loss. Everything above treats the HVAC as something that removes fragrance, which is what it does to a freestanding machine standing in the room. Turn it around and the same system becomes the best distribution network in the building. If your club has genuine ducted air handling - an air-handling unit, supply ductwork, ceiling grilles or linear diffusers feeding each area - then a system such as SOSA Aangan (₹25,999) or SOSA Meenar (₹38,500) can be fitted to inject into the supply. The fragrance travels with the air the building is already moving, so instead of one machine fighting the airflow you get even distribution through every grille the duct serves. This applies only where there is genuine ducted air handling: a gym running ceiling cassettes, split units or wall-mounted air conditioners has nothing to inject into, and needs zoned freestanding Vaayu units (₹11,999) instead. Zoning follows the ductwork, so if one AHU feeds both the reception and the training floor you cannot easily give them different levels through it, and a gym needs different levels. And the sq ft ratings on those systems assume normal ceilings - a 16 ft club reaches them at a much smaller floor area, so convert to cubic metres before you quote them. What is a typical air change rate for a gym, and how does it compare to an office?
We would rather teach you to measure yours than quote a figure at you, because the honest range across real buildings is wide and it depends on your design, your plant and how it is actually being run rather than on a number in an article. What is safe to say, and what matters for scenting, is the direction: a gym is ventilated substantially harder than an office of the same floor area, because it is designed around people working rather than people sitting. Get your own number instead. Ask your HVAC contractor or facilities engineer for the supply CFM to each zone, take each zone's volume in cubic feet, and compute CFM times 60 divided by volume. Do it per zone rather than for the building, because a reception, a studio and a training floor will give three different answers, and those three answers explain most of what you have been noticing about how fragrance behaves in each of them.
If I run the machine harder, will that beat the ventilation?
Up to a point and at a cost, and in a gym the cost is the wrong one. Raising output does raise the steady level a room holds against a given air change rate, so the arithmetic is on your side in principle. But in a gym the people you are raising it for are breathing hard, and the same increase is experienced by them as far larger than it would be by someone standing at the desk - so you reach an unpleasant result on the training floor long before you reach an even one. The better responses are structural: put the source in each zone rather than expecting one to serve all of them, so no unit is being asked to overcome a distance and an exchange rate at once; inject into the supply duct if you have genuine ducted air handling; and accept a lighter result in the highest-exchange zones, which are the ones that should be lightest anyway. What we would never do is reduce the ventilation to make a higher setting unnecessary.
Should I turn the ventilation down overnight when the gym is closed so the scent builds up?
No, and there are two separate reasons. The first is the rule this whole page is built on: we do not advise reducing air exchange to make fragrance last, and that does not become acceptable simply because the building is empty at the time - the air you build up overnight is the air your first members and your opening staff walk into at six in the morning. The second is specific to gyms and works against you anyway. A closed building with no air exchange is exactly the condition in which everything already in the room accumulates in still air, which is why a gym with newer rubber flooring smells strongest first thing in the morning: emission continues all night and nothing removes it. Running the air handling overnight in a new fit-out is standard advice for that reason. Schedule the fragrance with the timer instead - a run before opening so the arrival is even rather than freshly dosed - and leave the ventilation alone.
Our AHU serves the reception and the training floor from the same duct. Is that a problem?
For scenting, yes, and it is worth knowing before you buy. Injecting into a supply that feeds both means both get the same fragrance at the same concentration, and the entire logic of gym scenting is that the arrival and the training floor should sit at different levels, because members on the floor are breathing hard and are delivered far more of whatever is in the air. There are three practical routes. If the ductwork has separate branches with dampers, your contractor may be able to give you a workable difference. If it does not, inject into the branch that serves the front of house only and leave the floor unscented, which is often the best outcome anyway. Or leave the HVAC alone entirely and use zoned freestanding units, which is the arrangement with the most control. Does the fragrance affect the air quality or filtration in my HVAC?
We will not make any claim about your air quality in either direction, and you should be sceptical of anyone who does. What SOSA products do is add fragrance to air.
