Two rooms, ten steps apart, and the same bottle can be right in one and wrong in the other. The reception of an Alkapuri advisory suite is a wide room with a door that swings all morning. The meeting room behind it is a small box with the door shut for an hour at a time. Put the same level into both and the second one is carrying far more than it needs long before anybody stands up.
Quick answers — read this first
Should reception and the private meeting rooms run the same intensity? No. They should run the same oil and two different levels, and the private room is always the lower of the two. That is not a stylistic preference — it follows from the volume of air in each room and from how often that air is replaced.

How much lower should the private room be? As a working rule, somewhere between a third and a half of what reception carries, and the smaller and more sealed the room is, the further down that range you go. In a room under about 150 sq ft with the door closed for an hour, nothing at all is a legitimate setting.

How do you produce that difference physically? Two ways. Either one source in reception and nothing in the meeting room, so the small room carries only the trace it inherits through the door; or a genuinely smaller format of its own — fewer fibre reeds, a smaller bottle, a separate machine on its own schedule. What does not work is one source covering both rooms with the dial turned down a little.

Straight answer
Should the reception and the private client meeting rooms use the same fragrance intensity?
No — and the two halves of that answer are not equally negotiable. The fragrance should be the same in both rooms. The intensity should not, and the private room is always the lower of the two. Start with the part that does not change: one register across the whole suite. A visitor who meets pine and cedar at the entrance and something else behind the meeting-room door has been through two buildings in thirty seconds, and the suite stops reading as one practice. One oil, everywhere, for as long as you keep it.

Now the part that does change. A reception in an Alkapuri or Akota practice is typically three to five times the floor area of the meeting room behind it, and it sits on a door that opens all day, so its air is being replaced continuously. A private client room is small, has one door that stays shut for the length of an appointment, and often has its own air-conditioning loop with the return grille a metre from the table. Put an identical source in each and you have not given the two rooms the same fragrance level — you have put the same hourly output into a fraction of the volume with a fraction of the exchange, and over forty minutes it accumulates. The small room ends up several times heavier than the big one, which is the opposite of what almost everybody intends when they buy a matching pair.

So the private room is lower. How much lower is a judgement, but a third to a half of what reception carries is the range I work in, and the smaller and tighter the room, the further down that range it goes. Under about 150 sq ft with the door closed, nothing at all in the room is a perfectly good specification — and it is the one I recommend most often.

The part people get wrong is not the number. It is the mechanism. You cannot produce two levels from one source by turning it down a bit. A machine has one setting for the whole connected volume it serves; a dial is a single number, not a map. If reception and the meeting room are served by the same source at the same distance, they get the same level, and lowering it lowers both. The difference has to be built into the hardware. The first way is inheritance: one source in reception, nothing in the meeting room, and the small room carries only the trace that crosses the threshold when the door opens between appointments. That trace is usually already the right level, which is why this is the default. The second way is a smaller format of its own, for a room sealed tightly enough that it inherits nothing: fewer fibre reeds in a smaller bottle, or a separate machine on its own schedule, placed as far from the chairs as the room allows.

A 450 sq ft reception at nine and a half feet is somewhere around 4,300 cubic feet of air, and the entrance door hands a share of that back to the street every few minutes. A 130 sq ft meeting room is nearer 1,200 cubic feet, and for the length of an appointment the door does not move at all. The same hourly output therefore does two completely different things: in the open room it is continually being carried away, and in the closed room it stays and adds to what is already there.
Tip: Multiply floor area by ceiling height for both rooms before you buy anything. If the closed room is under a quarter of the reception volume, it does not get its own source.

Inheritance is the default mechanism

A meeting room with no source of its own is not an unscented room. Every time the door opens between appointments it takes a share of reception's air, and the air-conditioning loop moves a little more of it around. What the room ends up holding is a faint version of the same register — which is exactly the specification you were trying to buy. This costs nothing, needs no second purchase, and cannot drift out of proportion with reception, because it is derived from it.
Tip: Leave the meeting-room door open between appointments and shut for them. That single habit is the whole mechanism, and it is free.

A dial is one number, not a map
Turning it down a bit lowers both rooms together
This is where the plan usually fails. One source serving a connected volume produces one level across that volume, adjusted only by distance. Reduce the setting because the meeting room is heavy and reception goes quiet at the same moment, which is the room you could least afford to lose. Two rooms at two levels is a hardware question — how many sources, what size, how far from the seats, behind which door — and it is answered before anything is switched on rather than afterwards.
Tip: Count reeds, not settings. Six fibre reeds in reception and two in a small closed room is a real two-level system that no dial can imitate.

The matching pair is the most common thing I have to unwind. Somebody buys two identical diffusers because the reception and the meeting room are part of the same practice and it feels inconsistent to treat them differently. Two weeks later the meeting room is the room nobody wants to sit in for an hour, and the reception is fine.

Nothing was wrong with the fragrance and nothing was wrong with the instinct. The rooms were simply never comparable. One is wide and open onto a door that never stops; the other is small and shut. Buying them the same thing was the error, and it is an easy one to make because the shelf sells units rather than volumes.

So the sentence I use is: one oil, two levels, and the second level comes out of the hardware.
