Why can people always tell when a room has been sprayed? Because of the shape rather than the smell. The pattern

Everything else on this page is secondary to this. The tells
Four things that identify a sprayed room even when the level is right
First the register. Most aerosols open on a sharp sweetness — a heavy floral, or a lemon note that does not smell like any lemon — and that accord is shared across brands, which is why it is so recognisable. Second the propellant, which carries a faint cold pressurised smell of its own that has nothing to do with the fragrance. Third the fallout: run a finger along the glass or the polished table nearest to where the can lives and you will often find a slight tackiness. Fourth the geography. A sprayed room is strongest by the door and along the corridor, because that is where somebody stood, and it is frequently absent in the far corner where nobody bothered to walk. A plateau has no geography of that kind.
Tip: Choose a register that could not be mistaken for a can in the first place. Dry, woody and unsweet is the furthest thing from an aerosol accord.

A memo will not do it. Somebody will keep one in a drawer for emergencies, and the emergency will be the day a large visitor arrives. Two limits worth stating. A plateau only stays flat if nobody moves it, so the key-lock is not an accessory — lock the level the day you are satisfied with it, because drift is always upward. I think this is the single most useful thing I know about commercial fragrance, and it is not really about fragrance at all. People do not recognise a room freshener by its perfume. They recognise it by its shape — the four-second burst, the forty-minute fade, and the fact that the peak always seems to land at the moment they arrived. Once you see that shape you cannot unsee it, and you start noticing it in lifts, corridors and waiting rooms everywhere.

The cans are the part owners underestimate. I have watched a carefully set installation ruined by one member of staff with a can in a drawer and entirely good intentions, because nobody had told her a level was already running. So take them out of the building physically, tell people why, and give them somewhere to report a genuine smell so they are not left without a tool. Almost every spray I have traced was a well-meant answer to something real.

Then keep the box out of sight and the level low enough that a nose settles within a minute. This is an ambience decision and not a claim that it changes what a visitor thinks or decides, and nothing about it is therapeutic or medical.
