Most chains try to standardise scent by buying the same thing everywhere. That standardises the purchase order and almost nothing else. What actually holds a signature together across cities is a short written document, and it has five lines in it.
Quick answers — read this first
How do I standardise a signature scent across a multi-city footwear chain? Write a specification, not a shopping list. Five lines carry it: the register every store uses, the placement rule for where a unit goes, the intensity band each store must sit inside, the refill rhythm and who holds stock, and the single named person who owns the whole thing. Buying identical hardware for unequal rooms is not standardisation - it produces a different result in every store while looking tidy on paper. The document survives a manager leaving. An informal arrangement does not.

Should the specification name one machine for every store? It should name a rule, not a unit. The rule is that hardware follows connected floor area: under about 300 sq ft a reed, and say plainly in the document that a machine would be over-specified there; 300 to 750 sq ft, reeds by zone or one Sukoon near the entrance; from roughly 1,500 sq ft of connected retail floor, one Vaayu. Then a second unit only for a genuine second volume such as a separate upper floor, never for a second corner of the same room.

Can a head office control every store's settings centrally? Not with this class of equipment, and it is better to design around that honestly. The Vaayu's app is Bluetooth, so settings are changed by somebody standing inside that store, and there is no cloud dashboard or remote fleet control. So the specification does the work instead: a band rather than a number, a key-lock so a set level cannot drift, a fixed refill date on the calendar, and two lines added to the store-visit form your area manager already fills in. Consistency is a process, not a screen.
The short answer
Short answer: With a written specification rather than a shared shopping list. Five lines do the work: the register, the placement rule, the intensity band, the refill rhythm and the named owner. Identical hardware in unequal rooms standardises the invoice and not the smell, because a 500 sq ft store and a 2,500 sq ft store cannot honestly run the same setting.
The pick: Name the register first - Mountain Breeze (₹849) for leather groups, Morning Freshness (₹749) for sneaker groups - then name the SOSA Vaayu (₹11,999) only for stores with about 1,500 sq ft or more of connected floor.
Next step: Send your store list with floor areas and we will draft the five lines for you - ask for a store scenting plan.
Five lines, one ownerLine one: the register every store carriesLine two: the placement rule, not a fixed positionLine three: an intensity band with a test attachedLine four: refill rhythm and who holds the stockLine five: the one person whose name is on it
A specification is what survives a manager leaving. A shared shopping list is what leaves with them, along with whatever they were doing to the dial.
The three things a chain specification usually names
Straight answer
How does a multi-city footwear chain actually standardise a signature scent?
With a document, and a short one. The instinct is to standardise by purchase - same machine, same fragrance, same setting, everywhere - and that gives you a tidy invoice and an inconsistent chain, because identical settings in unequal rooms produce unequal results. What holds a signature together across cities is a written specification with five lines in it. One: the register. Name the family, not the mood - Himalayan pine, sage and cedar for a leather and dark-wood group, Malabar lemon, peppermint and eucalyptus for a sneaker group, British rose and night-blooming jasmine for a women's occasion group - and make changing it a head-office decision. Two: the placement rule. Write a rule rather than a coordinate, because no two stores have the same plan: on the entrance air path where air already moves, never in the middle of the floor, never aimed into the stockroom door, and mounted rather than free-standing wherever the floor is deep. Three: the intensity band. Give a permitted range and a test to judge it by - noticed on arrival, settled within a minute, never the first thing a customer mentions, assessed at six on a Saturday with the floor full rather than at opening on a quiet Tuesday - and record the number each store lands on. Four: the refill rhythm. A fixed date on the calendar, stock held centrally and shipped ahead of it, so no store is ever half-scented for three weeks because somebody forgot to ask. Five: the owner. One named person, not a committee and not a department, who checks the five lines on a store visit and signs them off. Two honest limits belong in the same document. The first is that hardware follows connected floor area, so a small location stays on reeds and the document should say a machine there would be over-specified. The second is that settings are changed locally over Bluetooth by somebody standing in the store, so the specification is the only central control you actually have. And write the purpose down as it really is: an interior and brand decision, with no claim made that scent affects sales, conversion, footfall, browsing time or basket size. Ask for a store scenting plan and send the store list with floor areas.
Standardise with a document, not an invoice. Register, placement rule, intensity band, refill rhythm, owner - and hardware chosen store by store on connected floor area.
The unit a chain specification should name for a qualifying floor is one SOSA Vaayu per connected volume from about 1,500 sq ft: rated to 1000m³, adjustable intensity, 1h/4h/8h/24h timers, key-lock, under 38dB, waterless, 5W. ₹11,999.

What the document should name, by size

The sizing rule belongs in the specification itself, in plain words, because it is the line that stops managers lobbying for equipment they do not need. Under about 300 sq ft, one reed - a machine would be over-specified and the document should say so. Between 300 and 750 sq ft, reeds by zone or a Sukoon near the entrance. From roughly 1,500 sq ft of connected retail floor, one Vaayu.

SOSA Vaayu
Named for a qualifying floor only
SOSA Vaayu
Waterless cold-air nebuliser rated to 1000m³, about 2,000-3,000 sq ft. Adjustable intensity and a key-lock are the two features that matter to a chain, because they are what stop a specified level drifting upward between one store visit and the next. Timers match each store's trading hours.

SOSA Mountain Breeze Reed Diffuser
The register, named once
SOSA Mountain Breeze Reed Diffuser
Himalayan pine, sage and cedar. For a leather and dark-wood chain this is the line at the top of the document, and in the smaller stores it is also the whole implementation - passive, no power, no settings to drift and nothing to check beyond turning the reeds.
From ₹849
SOSA Sukoon
Small stores and entrance zones
SOSA Sukoon
500ml ultrasonic cool-mist diffuser, roughly 270-320 sq ft, 16-18 hours on low, supplied with three 15ml fragrances. Water-based, so it adds a little humidity and belongs near an entrance rather than near stock, boxes or a stockroom door.
From ₹1,899
SOSA Vaayu
The specified unit for a large connected floor
SOSA Vaayu
1000m³ coverage (about 2,000-3,000 sq ft), 400ml tank lasting up to 75 days, Bluetooth app and 1h/4h/8h/24h timers, adjustable intensity, under 38dB, 5W, freestanding or wall and HVAC mount, auto-stop and key-lock. CE, RoHS and SGS certified. Made in India.

The five lines, written out

Three of the five lines carry most of the weight. Here they are in full.

1
Line one, and the only truly central one
The register, named as a family and owned by head office
Write the register as a family of materials, not as an adjective. Warm and premium mean nothing to a purchasing manager in another city; Himalayan pine, sage and cedar means one thing only. Pick it from the stock rather than from taste: dry woods sit under leather and extend it, which makes them right for a formal and handmade group; lemon, peppermint and eucalyptus are the cool counterweight for a sneaker group; rose and night-blooming jasmine are correct in a women's occasion group, the one retail room where a true floral genuinely belongs. Rule two directions out in writing, because someone will suggest them: lavender, which reads as spa and salon rather than retail, and coffee-and-vanilla, because gourmand sweetness sitting over rubber is the worst combination in this category. Both are judgements about what a room should signal and not a claim about what any fragrance does to a person.
Tip: put the ruled-out directions in the document as well as the chosen one - it saves the same conversation happening in eleven cities.

2
Line two, the one that changes per store
A placement rule, because no two of your floor plans match
Do not write a position, write a rule, and let each store apply it. The rule has four clauses. Put it on the entrance air path, where air already moves - near the door return, a supply grille or the natural draw of the room - because a unit works with air movement rather than against it. Never in the middle of the floor, which is the instinct and gives you a hot spot for whoever stands there and nothing at the edges. Never aimed at the stockroom door, since that door is the loudest source in most footwear buildings and you do not want its air stirred onto the floor. Mount it where the floor is deep - wall or HVAC mounting reaches distance that a unit on a shelf will not. Add one more clause for the trying area: it needs less, not more, so keep the unit away from the seating rather than over it.
SOSA Vaayu
Wall and HVAC mounting on the Vaayu is what makes one placement rule work across very different floor plans.

3
Lines four and five, the ones chains skip
A refill rhythm on the calendar, and one name at the bottom
Most chain scenting fails between the launch and the first refill. Write a fixed rhythm rather than a reactive one: a date on the calendar, central stock shipped ahead of it, and a note on the store-visit form confirming it happened. A 400ml Vaayu tank runs up to about 75 days depending on intensity and hours, so a quarterly rhythm suits most stores and a busy one may want it sooner - check the tank rather than assume. Then name the owner. Not the operations team, not the marketing department, one person, because a line with a department's name against it is a line nobody checks. Their job is small: confirm the register has not been swapped, the unit is where the rule says, the level is inside the band, the tank is not empty, and the staff are not quietly unhappy about it. Staff judgement outranks the document.
Tip: if nobody can name the owner in one word, the specification is already decorative.
SOSA Sukoon
In a small store on a Sukoon or a reed at ₹1,899 and under, the refill line is the only line that ever needs checking.

The mixed-estate version of this problem is in stores from 400 to 3,000 sq ft, and the honest limits of central control are set out in managing scent across 40 stores. SOSA is an independent brand and is not affiliated with any hotel or footwear brand named for reference.

The SOSA chain specification

The specification names a register once, and then names hardware store by store against connected floor area. Reeds where a machine would be over-specified, a Sukoon for an entrance zone, a Vaayu for a genuinely large floor. The document should say out loud which stores do not qualify for a machine, because that is the line that saves the most money. Fragrance here is a brand and interior decision, and we make no claim that it affects sales, conversion, footfall, browsing time, basket size or what anybody buys. It works alongside ventilation, stock rotation and cleaning, never instead of them, and is never used to mask a smell that has a source. Staff must be able to switch it off in seconds. A note from Sonal

The chains that hold a signature together are never the ones with the biggest order. They are the ones with a page in the store manual that a new manager reads in two minutes. Register, placement rule, intensity band, refill rhythm, owner. Five lines. I have watched groups spend serious money on identical equipment for very different rooms and end up with less consistency than a group who wrote those five lines down and bought reeds for half their stores.

The line people resist is the sizing one, because it makes the purchase order untidy. But a 450 sq ft store on a Mountain Breeze reed at ₹849 and a 2,200 sq ft store on a Vaayu at ₹11,999 can carry the same register perfectly well. What they cannot do is carry the same setting, and pretending otherwise is where chain scenting usually goes wrong.

The limits go in the document too. This is a brand and interior decision, and we make no claim that it increases sales, footfall, browsing time or influences what anyone buys. It never masks a smell that has a source; stockroom isolation, box handling and cleaning come first in every store on your list. Staff breathe it longest and their judgement outranks the specification. Made in India, and a portion of every order supports girl-child education through Nanhi Kali.

Frequently asked questions

How do I standardise signature scent across a multi-city chain?
With a written specification rather than a shared shopping list. Five lines carry it: the register every store uses, the placement rule for where a unit goes, the intensity band each store sits inside, the refill rhythm and who holds stock, and one named person who owns the whole thing. Identical hardware in unequal rooms standardises the invoice, not the smell.
Should the specification name one machine for the whole chain?
It should name a sizing rule instead. Under about 300 sq ft a reed, and the document should say plainly that a machine would be over-specified there. Between 300 and 750 sq ft, reeds by zone or a Sukoon at Rs 1,899 near the entrance. From roughly 1,500 sq ft of connected floor, one Vaayu at Rs 11,999, with a second unit only for a genuine second volume.
Why a placement rule rather than a fixed position?
Because no two of your floor plans match. The rule has four clauses: put it on the entrance air path where air already moves, never in the middle of the floor, never aimed at the stockroom door, and mount it on a wall or into the HVAC where the floor is deep. Each store applies the rule to its own plan.
Can head office change settings in every store remotely?
No. The Vaayu app works over Bluetooth, so settings are changed by somebody standing inside that store, and there is no cloud dashboard or remote fleet control. That is exactly why the specification matters: a band rather than a number, a key-lock so the level cannot drift, a fixed refill date, and two lines on the store-visit form your area manager already carries.
How often should a chain refill?
On a fixed rhythm rather than when a store notices. A 400ml Vaayu tank runs up to about 75 days depending on intensity and run hours, so a quarterly date suits most stores, with central stock shipped ahead of it. Check the tank on the visit rather than assuming, and record it on the same form as the other four lines.
