The direction is the easy half of this question and the level is the hard half. A client who has run or cycled to you is taking in more of your reception per minute than the one who parked outside, and the correct response is to turn things down.

More air sampled per minute, from the same room
A seated adult moves a modest volume of air in and out each minute. Somebody who has been working hard moves several times that, and takes a few minutes to settle back down after they sit. Your fragrance concentration is a property of the room and does not know who has walked into it, so the number that changes is on the client's side: more litres of your reception air pass their nose in the first five minutes than would pass a walk-in visitor's in fifteen. That is the whole mechanism. It is not a claim about anyone's body or how they feel - it is arithmetic about exposure, and the only sensible response to it is a lower setting.
Tip: The first five minutes after arrival are the ones that matter. Set the level for a client who has just sat down, not for one who has been there half an hour.

Mechanism two
The client arrives warm, and warmth lifts things off surfaces
Volatiles leave a warm surface faster than a cool one. A client who has just been active is warm, their clothing is warm, and everything on and in that clothing - sunscreen, deodorant, whatever their kit has picked up - is being released into your reception more readily than it would be from somebody who has been sitting in air conditioning. So the room your fragrance is joining is already carrying more than a general clinic's reception would at the same hour. Adding a normal dose to a busier air is how a room ends up crowded. This connects directly to the kit question: separate the bags, ventilate that corner, and this mechanism gets much smaller.

Mechanism three
They come in from outside, where the contrast is largest
A nose reports change rather than absolute level. Somebody who has spent twenty minutes outdoors in moving air arrives with a completely unloaded sense of your building, which means the difference between the street and your reception is doing most of the work before your fragrance contributes anything. An office worker who has walked down two air-conditioned corridors arrives with a much smaller contrast to register. The practical consequence is that a sports clientele needs less help noticing that they have entered somewhere different, and a level set to impress a jaded indoor visitor will land hard on somebody who has just come off a bicycle. The threshold is doing free work for you, and the correct response to free work is to spend less of your own.

I have been asked for an athletic fragrance more than once, as though there were a note that suits a person who runs. There is not, and the question is the wrong shape. What is different about your clients is not their taste. It is the state they are in when they cross your threshold: warm, breathing harder than a visitor, and arriving from outside rather than from a corridor. All three of those change how much of your room reaches them, and not one of them changes which notes they would enjoy.

So the work on this page is arithmetic rather than perfumery, which is an odd thing for a perfumer to write. I would spend five minutes choosing between lemon and cedar, and then I would spend a month getting the level right, and the level is the part that decides whether the room reads as considered or as trying.
