Commercial scenting goes wrong in a predictable order: somebody buys a machine to cover a smell that has a source, puts it where the socket is, runs it at full intensity because day one felt weak, and ends up with a room people comment on for the wrong reason. Source first, air volume second, unscented zones written down third, low intensity and a schedule fourth. This guide walks that sequence, with the real SOSA machine range at each size.
Is it fair to scent a client reception next to an open-plan staff floor?
Yes to the reception, no to the floor, and the interesting problem is the boundary between them. SOSA does not recommend scenting shared employee work areas. A client is in your reception for twenty minutes and in a meeting room for two hours, a handful of times a year, and if they disliked it they could say so or stop coming. Asking is not a solution either. A team asked whether they mind the office being scented will mostly say they do not, because saying otherwise marks them as difficult in front of colleagues and management. That answer tells you very little, and the two or three people who are genuinely affected are the least likely to speak. If you do ask, ask individually, in writing, with an explicit statement that no is an acceptable answer - and expect a different result. Then the part that is actually hard: the air. A reception and an open-plan floor in the same tenancy are usually connected by an open doorway, an undercut door, a transfer grille or a shared return, and fragrance travels with air regardless of where the machine sits. Where the reception's return air goes - if it returns through the staff floor, everything you release ends up there. Whether the doorway between them is ever closed, and whether the pressure relationship pushes air toward the floor or away from it. Professional services is the one commercial category where being noticed is a liability. A client arriving at a law firm, a CA practice or an advisory office is assessing judgement and discretion, and a reception that announces itself works against exactly that impression. The ceiling on what is appropriate here is much lower than in a showroom, and the businesses that do this well run levels most retailers would consider pointless.
The room that catches people out is the conference room. Meetings run for hours, everyone in them adapted within the first quarter of an hour, and the only person still noticing anything is the one who did not want it. So the long-meeting room carries the least of anything in the building, which is the reverse of how most offices set it up.
