One register, four baselines
You already know the register has to stay constant, so the useful content here is what each of your four cities actually changes, and how to write a standard that survives all of them. Start with the principle, because it decides the format of your document. A setting is an input; what a guest experiences is an output; and the building is the transformation between them. Volume, ceiling height, air exchange, door frequency, hard or soft surfaces, local humidity and what the street outside smells like all differ between your four sites. So a standard that names a setting will produce four different receptions, and a standard that names an outcome can produce four identical ones. Specify the result and let each site record the number that achieves it on its own page, with head office holding all four. That is the whole architecture; the rest is local detail. Mumbai changes your baseline. The air is humid for most of the year rather than seasonally, so this site's working level sits permanently lower than an inland equivalent - not as a correction but as its normal state. The mechanism: humid air carries fragrance more slowly, because molecules move less freely through air already carrying water vapour, and clears it less readily, because air exchange removes less and damp surfaces hold more. What is produced accumulates, so the same machine at the same setting makes a heavier room. Monsoon is then a second written state with its own number rather than an improvised reduction, and the two states go on the page with dates. There is a building dimension here too: an older South Mumbai shell has air paths that are not on any drawing - shafts, gaps around old joinery, a stairwell working as a chimney - so zones must be found by walking rather than read off a plan, while a sealed tower site puts you inside somebody else's air handling and you should serve only what you control. Delhi changes your range. It has the widest seasonal swing of your four cities, so the gap between the dry-season number and the wet-season number is largest there, and the site that most needs the seasonal adjustment actually performed is this one. Write real dates. This is also the site where the adjustment is most likely to be missed, because a dry-season Delhi spa reads well and nobody is looking for a problem until the wet weeks arrive. Bengaluru changes air exchange, and it is the odd one out. The climate is mild enough that premium buildings there are often not sealed: windows open, air conditioning is off for months, doors stand open on pleasant days. Air exchange is the single largest variable in how fragrance behaves, because it is the mechanism by which fragrance leaves - so the same setting reads clearly on a closed still day and thin on an open breezy one. The trap is obvious once stated: somebody notices the thin day, raises the setting, and the next closed day is uncomfortable. Set for the closed condition and accept that open days read lighter, since a guest on an airy day is receiving a pleasant room with fresh air in it while a closed-day guest in a room set for open days is receiving a fault. Bengaluru also has the mildest temperatures of your four, which means reeds there behave most predictably and generally give the full three to four months. Goa changes the plan itself, in two ways. Humidity is permanent rather than seasonal, so like Mumbai it runs a lower baseline all year and lower again through monsoon. And much of a resort property is not enclosed. Verandas, open-sided pavilions, courtyard walkways, terrace lounges and treatment salas cannot hold an ambient register at any setting, because their air exchanges with the outside continuously - a larger machine there produces a stronger metre and nothing four metres away. So the Goa site's zone map will be smaller than its floor plan suggests, and your standard should say explicitly that only genuinely enclosed spaces are scented. Salt air is an equipment note rather than a fragrance one: keep machines away from open sides and sea-facing doorways. Now the register, which is the constant. Choose one that holds its character across a working level in a reception and a whisper in a treatment room, and that survives humidity, because two of your four sites are wet all year. Humidity does not simply amplify - it changes the balance, stripping the light fresh top and leaving the heavier sweeter base, so a register chosen for freshness reads on the coast as the dense thing underneath it. Four operational rules make the estate work. First, central procurement - one register, ordered on one line, so no site substitutes what a local supplier had on a Saturday, and one dosing figure named rather than our three-to-six-drops range repeated, since a range is a source of variance across sites. Never reed oil in a machine, which can damage it. Second, outcomes per zone type: a destination noticed in the first few seconds by somebody entering from the street and not describable afterwards; circulation very low or nothing, since a corridor already receives every treatment room's air at every turnover; treatment rooms at the lowest level, judged lying on the bed for two minutes rather than from the doorway; wet-adjacent spaces at the lowest working level permanently; wet interiors, back-of-house and laundry areas nothing at all. Third, refill schedules per site rather than per estate, because a reed at week two and one at week fifteen are noticeably different and reed output rises with warmth - so a Goa bottle may not reach the full four months while a Bengaluru one may exceed it. Reeds are Rs 749 to Rs 849 with refills at Rs 2,399 for 300ml and Rs 3,499 for 500ml. Fourth, seasonal dates written per region, because monsoon does not arrive in Goa, Mumbai, Bengaluru and Delhi on the same day, and one person at head office confirms all four sites have made the change. Hardware should be specified by condition rather than by city: a large open reception or lounge takes a Vaayu at Rs 11,999 - waterless with no tank at all, coverage up to 1,000 square metres or roughly 10,700 square feet, with Bluetooth app and timer control, which has the additional advantage of letting head office verify a setting rather than trust a report; a substantial reception takes a Megh at Rs 3,499 with its 6L tank; a compact reception or changing area a Sukoon at Rs 1,799; a treatment room a reed at Rs 749 to Rs 849, or a Boond at Rs 799 where a switch is wanted, and anybody who works in a treatment room should have a physical off switch and never have to justify using it. Finally, the audit, which is what holds four climates to one standard. Monthly, each site is walked from the street at the busiest hour by somebody who does not work in it - and with four sites the elegant version is a rota in which managers audit each other, since they know the standard and have not adapted to that particular building. Never accept a report from staff inside a site being assessed: everybody who works in a spa adapts to a steady background within about an hour of arriving and stops perceiving it, and adaptation is asymmetric, so every correction anybody makes is upward and your four sites will otherwise drift upward at four different rates. And add the clause that saves the most trouble: if a site reports a smell problem, the order of work is ventilation, moisture, laundry, then fragrance - fragrance is fourth, it combines with an existing smell rather than masking it, and the combination carries the added message that somebody knew and chose to cover it.
