Where exactly should it go? In clear space, away from anything that blocks airflow around it, and out of both the AC supply and the door's draught — either one disrupts the dose or carries it away unevenly.
How far from the seating? At least two metres from the nearest chair. Closer than that and the person nearest the source experiences a noticeably stronger room than everyone else.

Height: about a metre off the floor. That is roughly desk or counter height, and it sits the source in the zone where most air movement in a reception actually happens — above the floor draughts and dust, below the ceiling where warm air collects and scent tends to rise out of reach. A reed placed directly on the floor, tucked under a low shelf, disperses far less effectively than the identical bottle raised to counter height.
Clear space: nothing blocking the airflow immediately around it. Out of the AC supply and the door draught. A source sitting directly under an air-conditioning vent gets its output snatched upward and pushed wherever that vent's airflow goes — often straight into a corridor or back toward the ceiling — rather than settling into the seating area at patient height. At least two metres from the nearest seat. This is the rule most receptions break, usually because the tidiest spot for a diffuser is the corner of the desk nearest the first chair. Anything closer than about two metres puts the person in that seat in a noticeably different, stronger room than everyone else in the reception — which breaks the fairness the rest of this cluster argues for constantly. The front row should get the same clinic as the back row, not a stronger dose because they happened to sit closest to the source.
