A larger office is the one moment a firm gets to decide where things go before the things arrive. The wall

The drawing is the only moment the source wall is chosen rather than inherited. It is the reception wall behind or beside the desk, on the side the sofas will be, out of the straight line from the entrance, and not at the mouth of the corridor to the cabins. Three things are wrong with every other wall. The entrance wall is a threshold that exchanges its air with every opening, so a source there is wasted on the street. The corridor wall pushes fragrance down the passage into the first cabin at full strength. The wall beside the AC return feeds the ducting. So the reception plan is drawn with the source wall marked and the desk, sofas and door drawn around it. One line on a plan decides whether the office smells right in year five. Reception and cabins at different intensities is the corridor half of this decision; the busy door is the entrance half.
Rule: mark the source wall on the reception drawing before the furniture drawing exists. If the desk is already ordered, mark it anyway - the desk can move.

The socket
A point at mounting height on that wall, before the electrician leaves
A Vaayu runs on DC 12V from a small adapter drawing 5W, which is to say it needs one ordinary socket at the height it mounts. Told on the drawing, the electrician puts one there during the first fix for the cost of a metre of cable inside a wall that is still open. Told after the plastering, the machine sits on the floor behind the desk on an extension lead, beside the bin, until someone trips on it and moves it to the entrance console. The socket is the most consequential line on this page: almost nothing at the right moment, a wall at the wrong one. If the fit-out has an HVAC path to the reception, the same conversation decides whether the source is HVAC-mounted instead, in which case it is the AC contractor rather than the electrician who needs to know before the ducting closes. Either way, one point, one drawing, one instruction.

The AC path
Supply and returns marked; the source never sits beside a return
A new office is drawn with its AC in it, and the AC drawing is the map of where fragrance will go. The supply grilles are where the conditioned air arrives; the return is where the room's air is sucked back into the ducting. A source beside a return releases fragrance straight into the system before it reaches the sofa. A source where the supply air can carry it across the reception gives every cabin its inherited trace through an open door. So the AC contractor and the person placing the source have to look at the same sheet, once, before the ducting is closed. This is also the moment to mark the rooms that carry nothing: the cabins, which over-scent in minutes if anything is placed inside; the conference room, aired before long meetings; the pantry, whose smell is fixed by its extractor and its closed door, never by fragrance. A second wing on its own AC is its own volume of air with its own source at the same register - never a second machine sharing one air.
Rule: source away from every return, in the path of a supply. Cabins, conference room, pantry, store and toilets carry nothing - mark them on the same sheet.

Nothing is scented in a new office until it smells of nothing, and a fresh fit-out does not. Paint, adhesive, laminate and packing take weeks to air out with open windows and the AC, and fragrance introduced over them produces a third smell worse than either. So the register is chosen while the office airs, and it is chosen from the finishes schedule rather than from anyone's preference: wood, leather and paper interiors take cedar, sage and a little tea; a white, glass-fronted floor takes lemon-and-mint. The last decision is the one most offices never make explicitly, which is why their fragrance drifts. In the first week, with the fit-out smell gone and the machine on its wall, the level is set by the receptionist - she breathes it for nine hours, the client for one, and if she says it is too much it is too much. Every office fragrance I am asked to fix has the same history: the fit-out finished, somebody bought a machine, and it went wherever there was a socket - on the floor behind the desk, beside the return, facing the door. Nobody decided that. The fit-out decided it, by not deciding. A move into a larger office is the one time a firm gets to make the placement on purpose, and the cost of making it on purpose is three lines on a drawing before the electrician leaves: the wall, the socket, the AC path.

Then patience, which is the part people skip. A new office smells of paint and glue and packing for weeks, and I would rather you aired it with the windows open every morning than put anything of mine into it, because fragrance over a fit-out smell is a third smell and a worse one. No. A fresh fit-out smells of paint, adhesive, laminate, new upholstery and packing for weeks, and fragrance does not cover that - it joins it and makes a third smell that is worse than either. Air the office with open windows in the mornings and the AC through the day until it smells of nothing; choose the register meanwhile, and switch the machine on only once a client would walk into a room that smells of nothing wrong.
