Why not quote from floor area? Because floor area does not say where your doors are, and a device serves the volume its air reaches. Two properties of the same area can need very different counts.

Five things, and none of them is your floor area
The reason to do this yourself before asking anybody for a price is not distrust, it is that a specification produced from your building is the only one that can be checked. A quotation derived from your room count or your square footage cannot be argued with, because there is nothing in it that refers to your building. A zone list can be argued with, line by line, and that is worth twenty minutes. Five inputs. Input one is your enclosed volumes, and this is the only genuinely technical step. Take a floor plan of each level and draw a line at every door, every fire door and every full-height partition. The reason is that a diffuser does not project across a distance - it introduces fragrance into the air immediately around it, and that air then mixes as far as the building allows. A closed door is a wall for this purpose, a door opened forty times a day is a pump moving parcels rather than a channel holding a level, a fire door is permanent and must not be wedged, and a floor slab means a device serves one floor and never two. What remains after you draw the lines is a list of candidate volumes, and it is usually more numerous upstairs and fewer downstairs than people expect, because a large open ground floor is genuinely one volume while a guest floor is a set of small ones. Input two is the deliberate zeroes, and this is where a specification is actually made. Cross off, on purpose: every lift car, always - the smallest volume in the building, up to twelve people, ventilation you do not control, nobody able to leave until the doors open. Every kitchen and pantry, always, for any reason. All back-of-house, service corridors, linen rooms, waste stores and staff areas, which get extraction and dry storage rather than fragrance, both because fragrance combines with what is there rather than removing it and because staff are in those spaces for nine hours with no ability to leave. All covered outdoor areas, which cannot hold fragrance at all. Most corridors, because a corridor has no external wall, no openable window and no extraction of its own, receives room air at every door opening and clears almost none of it - continuity belongs in the lift lobby instead, which is enclosed, holds a level reliably, and is passed twice by every guest on every journey. And most guest rooms, because somebody sleeps there for eight hours and cannot leave when they have had enough, and the register already arrives from the corridor at a whisper. What is usually left for a typical property is the entrance and lobby, one lift lobby per floor, a restaurant approach, a bar, function space, and public washrooms. Input three is a level against each remaining zone, expressed as an outcome rather than a number, because numbers do not transfer between devices. Write it as a descending sequence from the front door: lobby highest and highest still means low, with deniability as the test - if a guest could accurately describe your fragrance after a stay, it was too high. Lift lobbies well below the lobby. Corridors at nothing or a whisper. Rooms lightest of all. Restaurant approach at or below the lobby, dining room at zero. Bar at the top of the gradient, because it is the one space that is chosen, escapable and enclosed. The only hard rule in the sequence is that it must never ascend as a guest moves deeper into the building. Input four is the hours, which most specifications omit and which decide whether you need machines or reeds in each position. Which zones must be off during food service. Whether a function room runs only when empty. Whether the lobby needs a gap programmed across breakfast because the restaurant is open to it. Whether a zone is walked by three shifts, in which case removing the dial altogether by using a reed is a real option. Input five is one register for the whole property, varied only by level, because a change of level reads as the building quietening while a change of register reads as a fault. Consumption depends on how many zones you run, at what settings, for how many hours, in what climate, in a building whose volumes we have not seen, and reed output additionally rises with warmth and falls with cold. A number produced without your zone list is a number produced from nothing, and it will be wrong in whichever direction suits the person quoting. If a count scales with your room number rather than with your enclosed volumes, it came from a spreadsheet rather than from your plans - ask which volume each device serves and why that space needs one.
