Every scenting quotation you receive will be built to be hard to compare with the last one. The way out is a fixed list of seven questions asked of everybody in the same words - and a list that only flatters the person who wrote it is not a list, so the seventh question is the one this supplier does not currently answer well.
Quick answers — read this first
What should I actually check? Seven things, in this order. Coverage in cubic metres rather than square feet; waterless or water-based; how finely the timer can be set; whether the intensity can be locked; the noise rating in dB; the mounting options; and whether refill oil is a published, purchasable line. Ask every supplier all seven in the same words and the quotations become comparable for the first time. Notice that none of the seven is about the fragrance, which is the part you can change later and which every supplier will want to talk about first.
Which question separates the good quotations from the bad? Coverage, because it is where the exaggeration lives. Any figure in square feet has silently assumed a ceiling height, and a double-height boutique eats capacity fast - you scent volume, not floor area. A supplier quoting cubic metres has told you something checkable; one quoting square feet has told you a story. The SOSA Vaayu is rated to 1000m³, which works out at roughly 2,000-3,000 sq ft at ordinary retail ceiling heights.
Where does SOSA fail its own checklist? On question seven. SOSA does not currently sell cold-air refill oil as a separate line item. This is where the exaggeration lives: a square-foot figure has silently assumed a ceiling height, and you scent volume rather than floor area, so a double-height showroom eats capacity fast. A cold-air nebuliser atomises undiluted oil with no water and no heat, so it adds no moisture to the room and leaves no residue on surfaces; an ultrasonic unit works by misting water. That is a factual difference between machines, not a claim about your stock; whether room conditions matter to a piece is a question for the brands you carry. Three: timer granularity. Ask what intervals exist and whether the machine can be off when the shutters are down. The Vaayu offers 1h/4h/8h/24h timers through a Bluetooth app and onboard buttons, plus auto-stop. Four: can the level be locked? This matters more in retail than anywhere else, because a shop floor has many hands and the level only ever drifts upward - somebody in the room since morning stops noticing and turns it up for the evening. A key-lock holds one decision in place. Ask also that anyone can switch the machine off in seconds; locking the level is not locking the off switch, and a customer who mentions sensitivity is answered by turning it down, never by defending it. Five: the noise rating, in dB. A watch sale is a quiet conversation. The Vaayu runs under 38dB, and a supplier with no dB figure has not measured it. Six: mounting. Freestanding, wall, or into the air handling? Mounting is how one machine reaches an entrance area, a showroom and a closed lounge - the difference between a product you place and one the building distributes. Seven: refill availability - and here I fail my own list. Ask for the refill SKU, its size, its price and its lead time in writing. Ask for cubic metres and hold the line
A square-foot rating has assumed a ceiling height it did not tell you about
Coverage is the single most inflated figure in this trade, and the inflation is hidden in geometry rather than in dishonesty. A machine rated for 2,500 sq ft at a nine-foot ceiling is covering a very different building at fourteen feet, and luxury retail is full of high and double-height rooms. Ask for the cubic figure and the assumed height together, then measure your own. The Vaayu's 1000m³ works out at roughly 2,000-3,000 sq ft at ordinary retail heights, and in a boutique with a double-height entrance it will cover less floor than that arithmetic suggests - which is worth knowing before you buy rather than after.
Tip: Measure ceiling height in the tallest part of the store, not at the till.

In retail the control question matters more than the coverage question
A shop floor has many hands. The level in a store never drifts downward: somebody stops noticing it around four in the afternoon and turns it up, and the next person does the same on a different day. Ask whether intensity can be locked, whether the schedule can be locked, and what happens after a power cut - does it return to your setting or to the factory one? Then ask the opposite question: can anybody on the floor switch it off in seconds without asking permission? Both answers should be yes. A machine that cannot be locked will be renegotiated weekly, and a machine that cannot be stopped instantly is wrong for a room with customers in it.
Tip: Set the level for the advisor who breathes it nine hours a day. If the team says it is too much, it is too much.

Ask any manufacturer for the refill product code, the bottle size, the price and the lead time, in writing, before the machine goes on an order. Here is SOSA's honest position: a Vaayu ships with 4 x 100ml of hotel-inspired oil, the 400ml tank runs 90+ days a fill, and there is no separate cold-air refill line published today. The water-based Hotel Collection oils are for ultrasonic diffusers only and are never a Vaayu refill, whatever the shared fragrance names suggest. Confirm continuity with us in writing before you standardise, especially across several stores.

I wrote this list because I got tired of watching retailers compare three quotations that had been deliberately built not to line up. One gives coverage in square feet, another in cubic metres, a third in a room count. One mentions a timer without saying what intervals. None of them mentions noise. By the time an owner has normalised all that, they are exhausted and they buy from whoever called most recently.
The seven questions are chosen because each has a checkable answer and none of them is about the fragrance. Fragrance is the part everybody wants to discuss and the part you can change in an afternoon. Coverage, control, noise, mounting and refills are the parts you live with for years, and they are exactly the parts a good salesperson will move past quickly. Ask them in the same words every time and write the answers side by side; the gaps announce themselves.
And then there is question seven, which I have to fail today. SOSA does not sell cold-air refill oil as a separate item, so what arrives in the box - four hundred millilitres, ninety days or more a fill - is the supply as it stands, and you should confirm continuity with us before you standardise on the machine.
