The honest answer is much earlier than most people expect and for reasons nobody finds interesting. Nothing about this decision is aesthetic. It is a socket, a mount height, a wall that can take a fixture, a position in moving air and a tank somebody can reach — and every one of those is cheap now and awkward later.

When should an architect decide where a scent machine goes in a villa? During services coordination, at the same stage as lighting points and air-conditioning grilles, and well before finishes. What you are fixing at that point is infrastructure rather than fragrance: a power point at mount height, a wall that can carry a fixture, a position in the return-air path, and the option of ducting into the HVAC return if the system allows it. The fragrance itself can wait until handover or be left entirely to the owner. Separating those two makes the decision easy.

What exactly needs to be on the drawings? Five things. A marked position, high on a wall, in the path where air returns to the air conditioning rather than in front of a supply grille. A power point at that height, so no cable runs down a finished wall. Confirmation that the wall build-up can take a small fixture. If there is ducted air conditioning, a note on whether an HVAC-mounted unit into the return is feasible. And access: the tank is filled a few times a year, so mark it at a height a person reaches without a ladder. That is the entire architectural scope.

Does the architect have to choose the fragrance too? No, and I would keep it separate on principle. Fragrance preference is personal in a way that ceiling heights are not, and a register chosen years before anybody lives in the house will very likely be wrong by the time they do. Fix the infrastructure early and leave the scent to the end, chosen by the household in the finished rooms. It is also perfectly reasonable for the owner to decide, at that point, that they want no fragrance at all — and a socket left on a wall costs nothing if they do.

When in villa design should an architect fix the position of a scent machine?

Here is the whole architectural scope, and it is short. One, a power point at mount height. A cable running down a finished wall is the most common visible failure of a late installation, and it is entirely avoidable on paper. Two, a wall that can take it. Small fixture, small weight, but somebody should confirm the build-up, particularly where a feature wall is stone, fluted timber or a fabric panel with no fixing behind it. Three, a position in moving air. Once the air-conditioning layout exists you know where supply grilles push and where the return draws, and the unit belongs in the return path rather than in front of a supply, which would dilute the plume with cold fresh air and throw it at the ceiling. This is why the decision cannot precede the HVAC drawing and should not follow the finishes. Four, the HVAC option. If the house is ducted, a unit mounted into the return gives the cleanest result available in a home, because the distribution is already engineered — but that option only exists if somebody raised it while the ductwork was on paper. Five, reach. A 400ml tank runs roughly 75 to 90 days, so it is filled a few times a year by a member of the household, and a position that needs a ladder and two people is a position that quietly stops being served. What does not belong at design stage is the fragrance. That is personal, it will very likely change between drawing and occupation, and the owner may reasonably decide they want none at all — which costs nothing if all you have left is a socket. At design stage you often do not know whether the finished house will need a machine at all — that depends on the connected volume, on how the family lives in it, and on whether they want fragrance. First, concept and layout
Nothing to decide yet, except one habit worth avoiding
At layout stage there is no useful scent decision to take, because you do not yet know how the air will move. There is, however, one bad outcome to design away from early: the plan that ends with a machine parked on a console by the front door because no other position was ever considered. That console position is the worst in the house — air leaves with every opening of the door, and in the dry months dust arrives at exactly that spot. Simply knowing that you will need an inboard wall position later is enough at this stage. Keep the thought in the back of the drawing set and pick it up when the services layer arrives.
Tip: If the client has already asked for scenting, note it as a services item in the brief rather than an interiors item. It will be routed to the right meeting.

Second, services coordination
This is the meeting where the whole decision actually happens
Once the air-conditioning layout exists you can read the room's future air: where the supply grilles push and where the return draws. Mark a position high on a wall in the return path. Add a power point at that height. Confirm the wall build-up will take a small fixture, which matters on stone, fluted timber and fabric-panelled feature walls where there may be nothing to fix into. Decide whether a ducted installation into the return is feasible, because that is the cleanest result in a house and it is only available if raised now. And check the height against reach, since the tank is filled a few times a year by somebody ordinary. Five items, one meeting, almost no cost.

Third, handover
The fragrance, last, and only if the household wants one
By handover the rooms exist and can be judged, which is the first moment a register can honestly be chosen. Let the household smell two or three options in the actual hall at the level they will actually run, rather than deciding it years earlier from a strip. Expect some clients to decide they want nothing, which is a perfectly reasonable position and costs nothing if all that was reserved is a socket. Whatever goes in should be set low, key-locked so it does not drift upward when the family stops noticing it, and switchable off in seconds by anybody in the house without an app or a password.

Three notes for the drawing set. A second unit belongs to a second volume of air — a separate wing, a floor behind a door, a guest block on its own air conditioning — and never to a second corner of the same hall, so reserve one position per volume rather than several per room. Architects are often apologetic when they raise this, as though it is a decorative question that has wandered into a technical meeting. It has not. Everything that matters about scent-machine placement is on a services drawing: a power point at mount height, a wall that can take a small fixture, a position in the return-air path, and whether the ductwork could carry it. Not one of those is a fragrance question, and all of them are cheap while the walls are open.

The bit I would press hardest on is reach. A 400ml tank runs roughly 75 to 90 days, which means somebody in that household fills it a few times a year. I have seen beautifully placed units mounted so high that filling required a ladder, and every one of them was empty within a year. Mount it high enough to work and low enough to serve, and if that compromise is difficult, raise it while the joinery is still a drawing rather than a finished wall.

Leave the fragrance to the end, and be relaxed if the answer turns out to be none. A reserved socket costs almost nothing and commits nobody. When a register is eventually chosen, it should be chosen by the people living there, set low, and easy for anyone to switch off in seconds.
