A workplace design resolves everything a body meets - light temperature, acoustic absorption, the hand-feel of the reception counter - except the sense that fires first. Smell is absent from most design documents, and so it gets decided later by whoever buys a plug-in freshener. The first sense on site is the last one designed
A visitor's experience of a finished workplace begins before the eye settles: the first breath inside the entrance reads the air - and files the project - ahead of any sightline the designer laboured over. Materials complicate this rather than solving it: timber, leather, carpet, sealants and paint each contribute smells, gradually fading toward a neutral nothing that no one chose. Four decisions that cost nothing at plan stage

At what project stage should fragrance enter the conversation?
Schematic design for the zone logic, design development for the provisions, and no later than services coordination for the MEP items. Is it much worse to retrofit scenting after the fit-out is done?
Functionally no, aesthetically yes - and designers care about the second. How do we choose a register that works with the material palette?
Treat it like any material selection: family first, sample against the board, decide in context. Then sample in the actual space, not from the bottle: run the shortlist through a small diffuser in the finished (or nearly finished) interior, because scent reads differently against real materials and volumes, exactly as paint reads differently off the card. The client's team should sit the audition too - they will live in the choice eight hours a day, and an end-of-shift verdict from the people most exposed is the best sign-off a register can get.
Do diffuser machines create any issues near electronics, documents or sensitive finishes?
