What is the last decision? How it gets checked - a monthly twenty-minute walk by somebody who has come in from outside the building, asking whether anything changed abruptly.
Ten decisions in order, and the first three cost nothing
This is the whole subject compressed into a sequence, and the sequence is the useful part, because almost every expensive mistake in hotel fragrance comes from doing these in the wrong order. Decision one: test every bathroom extract in the building with a tissue held flat against the grille. If it does not hold, that fan has failed, its duct has collapsed, or the grille is choked, and every shower in that room for months has been putting moisture back into the bedroom rather than out of it. This single fault produces more musty hotel rooms in India than anything else, it is invisible because the fan is still turning, and the check costs a morning. Decision two: pour a jug of water down every floor trap in bathrooms and on balconies, because a trap that has evaporated dry is an open pipe into the drainage system - it is the most misdiagnosed smell in hospitality, and it explains why in a soft season the worst rooms are the ones nobody has been in. Then open the air-conditioning units and check the condensate tray, drain line and filter, which are the commonest hardware source of a musty smell in an Indian hotel room and sit inside the machine blowing air across the bed. Write down which rooms fail, because musty is almost never building-wide: four or five rooms usually account for most complaints and the list is stable year to year. Decision three: look at your chemistry. Cleaning products dominate because of dosage and rinsing rather than because of what they are - overdosing is close to universal, and a surface wiped and left to dry keeps its product until somebody removes it. And look hard at laundry, which is the most intimate fragrance decision in your building and is usually made by somebody who was never told it was one, because detergent and softener arrive against a guest's face for eight hours on a pillowcase, closer and longer than anything you could install. Those first three decisions contain no fragrance, cost almost nothing, and are the ones that actually remove the reviews that lose bookings - stale, musty, damp. Decision four: take a floor plan of every level and draw a line at every door, every fire door and every full-height partition. What remains is your list of enclosed volumes, and it is the real unit of specification, because a device serves the air that mixes freely with the air around it, stopping at the first closed door, permanently at any fire door, and always at a floor slab. Floor area does not tell you where your doors are. Decision five, and the one that most defines a good scheme: cross off the zeroes. Every lift car, always, because it is the smallest volume in the building, holds up to twelve people, has ventilation you do not control and nobody can leave until the doors open. Every kitchen and pantry, always. All back-of-house, service corridors, linen rooms, waste stores and staff areas, which get extraction and dry storage instead. All covered outdoor areas, which cannot hold fragrance at all. Most corridors, because they receive room air at every door opening and clear almost none of it. And most guest rooms, because somebody sleeps there for eight hours and cannot leave when they have had enough. What is usually left is the entrance and lobby, one lift lobby per floor, a restaurant approach, a bar, and public washrooms - four to seven devices for a thirty-room property. Decision six is the first fragrance decision: choose one register for the whole property, and hold it. Quiet Luxury, with white tea, bergamot and cedar, is the safest whole-property choice and holds its character at a whisper. Forest Suite, with cedarwood, vetiver and green leaves, is dry and structural and behaves well in humidity. White Tea Serenity, with white tea, aloe and cedar, is the softest we make. Decision seven: set the levels as a descending sequence from the front door, written as outcomes rather than dial positions. Entrance and lobby highest, where highest still means low, with deniability as the test - if a guest could accurately describe your fragrance after a stay, it was too high. Lift lobbies well below, and they earn most in a hotel because every guest passes one twice on every journey and they hold a level reliably, which is what lets corridors run at nothing without a floor feeling abandoned. Corridors at nothing or a whisper. Rooms lightest of all. Restaurant approach carrying it, dining room at zero during service, because near food fragrance becomes a taste question. The bar can sit at the top, being the one space that is chosen, escapable and enclosed. The only hard rule is that the sequence never ascends as a guest goes deeper. Decision eight: hardware per zone. A Boond at Rs 799 for a small transitional space, a Sukoon at Rs 1,799 for a lift lobby, a Megh at Rs 3,499 with a 6L tank for a large volume where a long run between refills matters. Reeds at Rs 749 to Rs 849 where you want continuous low output with nothing to switch, no cable and nothing that reads as equipment - three to four months from a bottle, refills at Rs 2,399 for 300ml and Rs 3,499 for 500ml, output rising with warmth and falling with cold. Machines where a schedule matters, since reeds cannot be switched off for a food service. Machines take the water-based Hotel Collection at three to six drops per tank with a rinse between scents, never reed oil, which can damage them. Decision nine: name one owner. One person who may change any setting, with everything recorded - device, register, setting, date, who set it, refill date - plus two seasonal settings with changeover dates, because humid air carries fragrance more slowly and clears it less readily, so the wet-season setting is the lower one. Without an owner, a scheme drifts upward, since everybody who works in a hotel adapts to a steady background within about an hour and stops perceiving it, and adaptation runs strictly one way. Decision ten: book the check. Twenty minutes a month, four zones - entrance, one lift lobby, one corridor, one room - at four in the afternoon, with somebody who has come in from the street, asking only whether anything changed abruptly.
