One row per connected volume across the portfolio, with length, width, height, the resulting cubic metres and the machine count. One Vaayu per 1000m³, rounding down and checking the far corner. Add the mounting position for each unit - on the air path near the entrance airflow or beside the air-conditioning return - and mark the one or two volumes that take an Angaan instead. Finish with the spares line: about one per ten machines in service, held centrally with the settings sheet taped to the box.
Tip: record ceiling height in the register - it is the number that makes two similar-looking sites differ.

Page two - how it is set
The settings sheet: fragrance, step, block, start time, lock
One fragrance for the portfolio. One intensity step for sales offices, one step lower for sample flats. One timer block - usually 8h - with the start time written relative to opening rather than as a clock time, so sites with different hours stay in step. Mounting position, and the instruction to re-engage the key-lock after any authorised change. Name the one person who may authorise a change at all. This page is short on purpose: a settings sheet that runs to three pages is a settings sheet nobody applies.

Page three - what it consumes
The refill log and the quarterly forecast
The arithmetic is fixed by the tank. 400ml, up to about 75 days, so roughly 5.3ml a day, 160ml a month and 480ml a quarter per machine at moderate intensity and typical run hours. Twelve machines is about 5.8 litres a quarter. Be explicit that the 75-day figure is an upper end: at a higher intensity step over 12 to 14 hour days a tank can go in around 45 days, which takes the same twelve machines to roughly 9.6 litres. Log millilitres monthly, order quarterly against the log, and add about a litre against any site with a launch in the window.
