Almost everyone who asks me this question starts at step four, because step four is the enjoyable one. It is also the one that cannot be answered until the first three are settled, which is why so many clinics end up with a fragrance that fights the building it was bought for.

What is the correct order for planning all of this? Ventilation, then cleaning protocol, then the fragrance-free zone map, then scent identity, then machine placement, then intensity. That sequence is the answer to the whole question, because each step constrains the one after it. Ventilation decides how air moves, which decides where a machine can go and what it can reach. Cleaning decides the baseline the building already smells of. The zone map decides where scent is allowed at all. Only then does the register make sense as a choice, and intensity can only truly be set in the finished, occupied building.

Why is starting with scent identity a mistake? Because it is a decision made against an imaginary building. Identity chosen first tends to arrive with a machine specification attached, and that specification then meets an air-handling layout it was never matched to, a corridor it should not be mounted in and a set of clinical rooms nobody drew a line around. The commonest version I see is a founder with a fragrance they love, a unit in the wrong place, and a fragrance-free zone that exists only in conversation. Nothing about the fragrance was wrong. The order was.

Straight answer
How should a new hair transplant clinic plan ventilation, cleaning, fragrance-free zones, scent identity, placement and intensity as one system?
In that exact order, and the order is the whole method. One: ventilation. How air enters, moves and leaves the building decides everything downstream - whether a scent stays where you put it, whether a corridor carries, whether the clinical half stays genuinely clear. Ask it at design stage, with your facilities engineer, because filtration standards and air-change rates are theirs and your surgeon's to specify, never mine. What I need from that conversation is only the map: supply points, returns, which rooms share air. Two: the cleaning protocol. What the building will be cleaned with, at what times, and by whom, sets the baseline every later decision sits on top of. Wet cleaning inside clinic hours puts the strongest smell in the building into the air while patients are in it, and a heavily perfumed floor product will argue with anything you buy later. Ventilation comes first because it sets the physics for everything after it: which rooms share air, whether a corridor carries, whether a boundary you draw can actually be held. Ask your facilities engineer for the air map at design stage - supply points, returns, room-to-room paths - and leave the filtration standards and air-change rates entirely to them and to your surgeon, because that is clinical and engineering territory and not mine. Then the cleaning protocol, which sets the baseline smell of your building: what is used, at what dilution, at what time of day. Wet cleaning during clinic hours releases the strongest smell in the building while patients are sitting in it, and a heavily perfumed floor product will argue with whatever you buy later. Neither of these steps costs anything at design stage and both are expensive to retrofit.

Steps three and four: the drawing
The fragrance-free zone map, and only then the identity
Draw the fragrance-free zone while you are still marking sockets. Procedure and graft rooms, recovery and post-procedure areas, and photography and documentation rooms are written fragrance-free on the plan itself. Consultation rooms take drift and never a machine. Entrance, reception, waiting and corridors are the scented zone - roughly a third of the plate in most layouts. Only once that map exists does identity become a real decision, because now you know what volume you are scenting and where it stops. The register follows from what the building does rather than from the interior palette: clean, dry and cool, and gender-neutral by construction, which is worked through in the fragrance for a clinic serving both men and women.
Tip: Write fragrance-free on the photography room in the same ink as the procedure rooms. It is the room most often added back later.

Steps five and six: the opening week
Placement from the air map, then intensity in the occupied building
Placement uses step one and step three together: put the unit on the reception air path with its output crossing the seating and heading back to the entrance, and never mount it in a corridor that serves procedure rooms, however convenient that wall is. Mark the socket and the mount point on the drawing at first fix. Then intensity, which is genuinely last, because it cannot be set from a datasheet - a finished, furnished, occupied room behaves differently from an empty shell. In opening week walk in from the street three times a day for three days. A fragrance means turn it down. A clean, looked-after room means you are right. Nothing at all means slightly under, and slightly under is the better error. Then engage the key-lock and write the number down.

This is the question I wish arrived more often, and it almost always arrives too late. By the time most founders write to me, the building exists, the sockets are in, the housekeeping habits have set, and the only remaining variable is which fragrance to buy - which is the smallest of the six decisions on this page. When somebody asks me at design stage instead, the whole thing costs less, works better, and takes about two conversations.

The order is the substance of my answer, so let me say why it holds. Ventilation is first because it sets the physics: which rooms share air decides whether a boundary can be held at all, and no fragrance decision can fix a building where the reception and the procedure corridor are on the same return. Cleaning is second because it sets the baseline; a heavily perfumed floor product mopped at eleven in the morning will out-argue anything I sell, every day, for years. The zone map is third because it has to exist on paper before anyone can specify anything, and because a line on a drawing outlives every manager you hire. Identity is fourth, and by then it is a small, pleasant decision rather than a fraught one: clean, dry, cool, one profile, never rotated. Placement is fifth and comes straight off the air map. And intensity is last because a finished, furnished, occupied room behaves nothing like an empty shell, so it can only be commissioned in opening week, by walking in from the street.
