Every founder who asks me this expects the answer to involve a platform, a dashboard or a service contract. It involves a sheet of paper per branch and a reminder in somebody's calendar, and that is genuinely the whole system.
Quick answers — read this first
How do I standardise scent across a multi-city chain? Write down six things and decide, for each one, whether head office owns it or the branch does. Central: the profile, the machine class, the zoning and the exclusions.Local: the intensity setting, the machine position, and the run hours. Everything local gets recorded on a one-page branch sheet, the key-lock goes on afterwards, and one named person audits by walking in. That is the procedure. It fits on a page and it costs nothing beyond the machines themselves.
Why can the intensity not be fixed centrally too? Because the same setting in two buildings does not produce the same result. Ceiling height, air-conditioning type, how often the front door opens and how much soft furnishing is in the reception all change how a profile reads. If you mandate a number from head office you will standardise the dial and de-standardise the experience, which is precisely backwards. Fix the fragrance centrally and the level locally, then record the local number so it stops being anybody's opinion.
What do I actually have to buy? One machine per site, chosen by that site's own floor area. Past roughly 1,500 sq ft that is one SOSA Vaayu at ₹11,999; where a branch's patient-facing side is a single reception under about 750 sq ft it is one SOSA Sukoon at ₹1,899. Bulk pricing, corporate invoicing, installation and maintenance terms are not published and should be confirmed with SOSA rather than assumed.
The short answer
Short answer: with a written procedure rather than a platform. One profile fixed centrally, the machine class fixed centrally, the intensity set locally and recorded on a branch sheet, run hours matched to each branch's clinic hours, the key-lock engaged, and one named person auditing by walking in from outside. One Vaayu (₹11,999) per site past 1,500 sq ft, or a Sukoon (₹1,899) below about 750 sq ft.
The pick: one SOSA Vaayu (₹11,999) per site, with the timers set to that branch's clinic hours and the key-lock engaged after the level is recorded - or one SOSA Sukoon (₹1,899) at a small site.
Next step: send floor plans for each branch with ceiling heights, AC type and clinic hours marked, and we will send back a one-page sheet per site you can put straight into the procedure - Ask for a clinic scenting plan.
How does a multi-city hair transplant chain standardise ambient fragrance across its branches?
With a written procedure that fits on one page per branch. There is no software involved, no dashboard worth having and no rollout service you need to buy, and I would rather say that plainly than sell you a system. The procedure has three columns. Fixed centrally, and never negotiable: the fragrance profile - one clean, dry, cool register such as white tea, a dry light citrus or soft woods, chosen once for the whole group with no second fragrance anywhere, including reeds on a desk or a plug-in in a washroom; the machine class, expressed as a size rule rather than a single product, which past roughly 1,500 sq ft resolves to one waterless cold-air unit per site such as a SOSA Vaayu at ₹11,999 and below about 750 sq ft resolves to a SOSA Sukoon at ₹1,899; and the zoning, which is identical everywhere - entrance, reception, waiting and corridors carry the profile, and procedure and graft rooms, post-procedure and recovery areas and photography rooms are unscented rather than lightly scented, in every branch without exception. Set locally, and recorded: the intensity, because the same number in two buildings does not read the same, so each branch is set by walking in from outside and choosing the lowest level at which you notice a clean room rather than a fragrance; the machine position, which follows that branch's air path rather than a standard drawing; and the run hours, matched to that branch's own clinic hours on the 1h/4h/8h/24h timer, never overnight and never on closed days. Each of those three goes on a one-page branch sheet with the date and the name of whoever set it, and the key-lock is engaged afterwards so the number on the sheet is still the number in the machine a quarter later. Audited, by one named person: someone walks into each branch from outside, unannounced, once a quarter, and compares what they meet at the door against the sheet. Not a photograph, not a phone call - a walk-in, because nobody can judge a level from a room they have been sitting in. The honest concession here is that most of this costs nothing and the part that does cost is smaller than founders expect: one machine per site and no central infrastructure at all. And the parts I cannot promise you: bulk pricing, GST or corporate invoicing arrangements, annual maintenance, installation, spare parts and any multi-site rollout are not published by SOSA and should be confirmed with us directly rather than written into your procedure on the assumption they exist. The standing limits go on the page too: this is an interior decision with no clinical or therapeutic claim, it works alongside cleaning and ventilation and never as a way to cover another smell, and no one can promise it moves any number the group runs on. Ask for a clinic scenting plan and send the branch list.
One profile and one machine class fixed centrally; intensity, position and run hours set locally and written on a branch sheet; key-lock engaged; one person auditing by walking in unannounced each quarter. No platform, no contract, one page per branch.
One per site, fixed centrally as a class. SOSA Vaayu - waterless, adjustable intensity, 1h/4h/8h/24h timers for local clinic hours, and a key-lock that makes the branch sheet mean something. ₹11,999. A branch under about 750 sq ft takes the Sukoon at ₹1,899 instead.
A chain standardises on a class and a size rule rather than on one box, so that a small branch has something compliant to buy rather than an improvised answer. These are the two the rule resolves to.
The chain machine for sites past about 1,500 sq ft
Waterless cold-air nebuliser rated to 1000m³, about 2,000-3,000 sq ft. Adjustable intensity, 1h/4h/8h/24h timers, under 38dB, auto-stop and key-lock, freestanding or wall and HVAC mountable. The timers and key-lock are what let head office write a rule that a branch cannot quietly rewrite.
Ultrasonic cool-mist diffuser covering roughly 270-320 sq ft, supplied with three 15ml hotel-inspired fragrances. Name this in the procedure so a small branch is not left buying up or improvising with whatever is available locally, which is how a second fragrance enters a chain.
1000m³ coverage (about 2,000-3,000 sq ft), 400ml tank running 90+ days a fill, Bluetooth app and 1h/4h/8h/24h timers, adjustable intensity, under 38dB, 5W, freestanding or wall and HVAC mount, auto-stop and key-lock. CE, RoHS and SGS certified - electrical and compliance marks, not medical approvals. Made in India.
Every clause belongs in one of three columns, and almost all the trouble in a chain comes from putting a clause in the wrong one.
1
Fix the profile and the class centrally
These are the only two decisions head office should own outright
The fragrance profile is a brand constant and should be treated exactly like the logo: chosen once, applied everywhere, with no local exceptions and no second fragrance anywhere in any building. Alongside it, fix the machine class as a size rule - one waterless cold-air unit per site past roughly 1,500 sq ft, the smaller ultrasonic machine below about 750 sq ft - so nobody is improvising at a branch opening. Fix the zoning centrally too, including the exclusions, because those are the clauses a new branch manager is most likely to get wrong: procedure, post-procedure and photography rooms are unscented, permanently, in every branch. Everything else on this list belongs to the building, not to you.
Tip: Write the machine class as a specification with a size rule, not as a single product code. Product codes go out of stock; rules do not.
One Vaayu ₹11,999, set once and left alone, is the whole hardware side of this.
A recorded number turns an opinion into a standard
Send one person to each branch, or have the branch lead do it under instruction. Walk in from outside after at least twenty minutes away, because nobody can judge the level of a room they have been sitting in. Choose the lowest setting at which you notice a clean room rather than a fragrance. Record on a single sheet: the setting, the machine position, the run hours, the date and the name of whoever set it. Then engage the key-lock. That sheet is the whole local half of the procedure, and it is what makes the difference between a chain that is consistent and a chain that is merely told to be. If a patient can identify the fragrance, it is too strong - that sentence goes on the sheet as well.
Tip: Keep the branch sheet inside the machine's lid, not only in a shared drive. Whoever needs it will be standing in front of the unit.
One Vaayu ₹11,999, set once and left alone, is the whole hardware side of this.
The check that works is somebody walking in unannounced
Every scenting standard I have seen fail has failed the same way: nobody checked, so the level drifted, and it drifts upward because staff stop noticing it and turn it up. A quarterly unannounced walk-in by one named person - the founder, a clinical lead, an area manager - takes ten minutes and catches it. They arrive from outside, note what they meet at the door, compare it against the branch sheet, and either confirm or correct. Add the standing overrides to the same page: if a patient objects at any level, staff reduce or switch off immediately without defending it, and the treating clinician's judgement overrides the procedure in their own room at any site.
One Vaayu ₹11,999, set once and left alone, is the whole hardware side of this.
Standardising a chain's fragrance is not a technology problem. It is one page per branch, one locked setting, and one person who actually walks in through the front door.
Anything that can only be checked over the phone will not be checked, and a level nobody checks always ends up higher than the one you set.
Fixed centrally, one per site: SOSA Vaayu, waterless, rated to 1000m³, with adjustable intensity so each building can be set on its own. ₹11,999.
A chain does not become consistent because head office sent an instruction. It becomes consistent because somebody walked in through the door and checked.

Why the hardware matters to the procedure
The useful features are the ones that stop a branch improvising
A chain procedure should name two machines and a size rule so that every branch, large or small, has something compliant to order. Both are dry enough to sit on the public side of a building that does surgical work. Made in India, and a portion of every order supports girl-child education through Nanhi Kali.
The SOSA hair-clinic specification
The machine class for a chain, and the small-site alternative
Fix the profile, class and zoning centrally; set intensity, position and hours locally and record them; audit on foot. Three limits belong in the procedure itself: this is an interior decision with no clinical or therapeutic claim of any kind; it works alongside cleaning and ventilation, never instead of them, and is never used to cover another smell; and no one can promise ambient scent moves any number the group runs on. Bulk pricing, corporate invoicing, annual maintenance, installation, spare parts and multi-site rollout are not published by SOSA - confirm all of them with us rather than writing them into your procedure. Ask for a clinic scenting plan before you spend anything.

A note from Sonal
Chains ask me for a rollout and I usually talk them out of most of it. The instinct is to treat scent like a hardware deployment - a vendor, a schedule, a maintenance contract, an app that shows six green ticks. What actually holds a chain together on this is one page per branch and one person who walks in unannounced. I would rather tell a founder that at the start than take an order for something more impressive.
The useful discipline is deciding which decisions are yours and which belong to the building. Yours: the profile, the machine class as a size rule, the zoning and the exclusions. The building's: the intensity, the machine position and the run hours, because those depend on ceiling height, air-conditioning and how often the front door opens. Write both halves down. A recorded setting with a date and a name on it is a standard; a remembered one is a conversation you will have again in three months.
On hardware: one Vaayu at ₹11,999 per site past about 1,500 sq ft, timers on local clinic hours, key-lock engaged. Under 750 sq ft, a Sukoon at ₹1,899, named in the procedure so nobody improvises. Procedure, recovery and photography rooms get nothing at all at any site. And the commercial things a chain always asks about - bulk terms, corporate invoicing, maintenance, installation - are not published, so please ask us instead of assuming. Made in India, and a portion of every order supports girl-child education through Nanhi Kali.
Frequently asked questions
How do I standardise ambient fragrance across a multi-city hair transplant chain?
With a written procedure of about one page per branch. Fix the fragrance profile, the machine class as a size rule, and the zoning and exclusions centrally. Set the intensity, the machine position and the run hours locally, record them on a branch sheet with a date and a name, and engage the key-lock. Then have one named person audit by walking into each branch from outside, unannounced, once a quarter.
Why not just mandate the same intensity setting everywhere?
Because the same setting in two buildings does not produce the same result. Ceiling height, air-conditioning type, how often the front door opens and how much upholstery and curtain is in the reception all change how a profile reads. Mandating a number from head office standardises the dial and de-standardises what patients actually meet at the door, which is the opposite of the aim. Fix the fragrance centrally and the level locally.
Do I need software or a central dashboard for this?
No, and I would not buy one. A one-page sheet per branch, kept inside the machine lid as well as in a shared folder, plus a quarterly reminder in one person's calendar, does everything a dashboard would claim to do. The SOSA Vaayu has a Bluetooth app for its own settings, but the app platform, its features and any multi-site management capability are not something to plan a procedure around - confirm what exists with SOSA before relying on it.
What multi-site commercial terms can I count on?
None that are published, which is the honest answer. Bulk pricing, GST or corporate invoicing arrangements, annual maintenance contracts, warranty terms, installation, spare parts and delivery timing for several sites are not published by SOSA and should be confirmed directly before you write any of them into a rollout plan. Free shipping above Rs 499 is the only logistics fact I can state without checking.
Does the zoning ever change from branch to branch?
No. The zoning is the clause that never varies: entrance, reception, waiting lounge and corridors carry the profile, and procedure and graft rooms, post-procedure and recovery areas and photography or documentation rooms stay completely unscented rather than lightly scented, in every branch. Consultation cabins take only whatever faint drift arrives from reception, and the treating clinician's judgement overrides the procedure in their own room at any site.
The small-branch clause: SOSA Sukoon at ₹1,899 where a branch's patient-facing side is one reception under about 750 sq ft.

About this guide: Written by Sonal Sahani, ISIPCA Versailles-trained founder and perfumer at SOSA Home & Body. Product recommendations reflect the SOSA range; the planning advice applies to any brand.
Facts verified 5 September 2026 against the live SOSA product pages: the SOSA Vaayu (₹11,999) is a waterless cold-air nebuliser rated to 1000m³, described by the manufacturer as approximately 2,000-3,000 sq ft, with adjustable intensity, a 400ml refillable tank lasting 90+ days a fill depending on intensity and run hours, Bluetooth app and button control, 1h/4h/8h/24h timers, operation under 38dB at 5W, freestanding or wall and HVAC mounting, auto-stop and key-lock, and CE, RoHS and SGS certification, which are electrical and compliance marks and not medical approvals. Being waterless, it adds no moisture and leaves no residue on surfaces or equipment. The SOSA Sukoon (₹1,899) is an ultrasonic cool-mist diffuser covering roughly 270-320 sq ft and is supplied with three 15ml fragrances; the water-based Hotel Collection (₹299 / ₹999 / ₹1,799) is an ultrasonic fragrance and is not a refill for a waterless cold-air machine. SOSA reed diffusers are alcohol-free and phthalate-free, with 50ml lasting about 6-8 weeks and 130ml about 14-18 weeks. Cold-air refill oil for the Vaayu is not currently sold separately - the machine ships with 400ml included and further refills should be confirmed with SOSA. Warranty, annual maintenance, installation and bulk terms are not published and should be confirmed before ordering. Ambient scent is an interior and hospitality decision: it makes no clinical, therapeutic or wellbeing claim, it works alongside proper ventilation, cleaning and infection control and is never a substitute for any of them, it is never used to mask another smell, and no claim is made that fragrance influences a patient's decision or any commercial outcome. Clinical areas including procedure, post-procedure and photography rooms are left unscented, and the treating clinician's judgement overrides any scenting plan in their own room. The hotel-inspired scents are SOSA's own original interpretations; SOSA is an independent brand and is not affiliated with, or endorsed by, any hotel named for reference. Coverage, fragrance usage and running cost depend on the space, settings and hours of use, and are confirmed on a consultation. Prices and availability are subject to change - see the live product pages.
