Scent machines are sold with photographs and adjectives, which makes them hard to compare. These nine questions are the ones I would ask, in the order I would ask them, and they work just as well on somebody else's product as on ours.

Why does coverage have to be stated as a volume? Because a floor area hides the ceiling. A 2,000 sq ft shop with a 3m ceiling and a 2,000 sq ft shop with a 5.5m double-height void are completely different rooms, and only one number describes both: cubic metres. When a supplier quotes coverage in square feet alone, they have made an assumption about your ceiling that you did not get to see. Does waterless or water-based really matter in a shoe store? More than in most retail categories. An ultrasonic device works by putting a fine water mist into the air, which adds humidity to a room that contains leather, cardboard cartons, tissue and a stockroom - and in a coastal city or a monsoon month you are already fighting damp rather than looking for more of it. Water-based units also need topping up more often and can leave residue on glass and display surfaces. A waterless nebuliser adds no moisture at all. Nine things, and I have deliberately written them so they work on any manufacturer's product rather than only on ours. One: coverage stated as a volume. Insist on cubic metres. A floor area hides the ceiling, and a 2,000 sq ft shop with a 3m ceiling and a 2,000 sq ft shop with a double-height void are not the same room. Two: adjustable intensity. Not on and off - a real range, because a premium shop floor carries far less than people expect and you will almost certainly end up lower than you started. Three: real scheduling. Run windows matched to trading hours and a choice of days, not a single countdown timer. There is no reason to scent an empty shop at two in the morning. Four: a lock. A key-lock or equivalent, because the commonest failure in retail scenting is a level that creeps upward across a season while everyone inside adapts to it. Five: noise quoted in decibels. Under 38dB is quiet enough to disappear on a shop floor; anything unquoted is worth hearing before you buy. Six: waterless or water-based. What to actually buy, by size

Before any of the nine questions matters, answer a tenth: do you need a machine at all. Under 300 sq ft, one reed. Between 300 and 750, reeds by zone or one Sukoon near the entrance. Between 750 and 1,500, a judgement about connectedness and control. Only from roughly 1,500 sq ft of connected retail floor is a commercial machine correctly specified, and buying one below that means running it on its lowest setting indefinitely.

Coverage as a volume. Ask for cubic metres and convert any square-foot claim back before comparing. A floor area assumes a ceiling height you never agreed to, and footwear stores in malls and heritage buildings frequently have ceilings well away from the assumed three metres. Adjustable intensity. A premium retail floor carries far less than people expect, and almost every store I work with ends up lower than it started - so a machine with two settings is a machine you will be fighting. Real scheduling. Run windows matched to your trading hours and a choice of days, rather than a countdown timer somebody has to remember to press. There is no reason to scent an empty shop overnight, and a schedule that stops at closing is the single easiest way to keep fragrance usage sensible.

Questions 4 to 6: the lock, the noise, the water
The three specifications that decide what the machine is like to live with
A lock. The commonest failure in retail scenting is not a wrong register but a right one that has crept upward across a season, because everyone inside the room adapts and nobody notices. A key-lock removes that failure, and in a store with part-time staff it is worth more than most of the feature list. Noise in decibels. Ask for the figure. Under 38dB disappears on a shop floor; a machine with no published number is worth hearing in a quiet room before you commit, because a faint tick near a fitting bench is the kind of thing you cannot unhear. Waterless or water-based. In footwear this is a real distinction: an ultrasonic device puts water into a room that already contains leather, cartons, tissue and a stockroom, and in a coastal city or a monsoon month that is the wrong direction. It also means more frequent topping up and possible residue on glass and display.
Tip: if a machine will sit anywhere near a fitting bench, listen to it running before you buy. Specifications do not capture a tick.

Questions 7 to 9: mounting, certification, and refills
The practical half, which is where most purchases actually go wrong
Mounting options. Freestanding is easy and often wrong: a deep, narrow or double-height floor needs a mounted position, high and out of reach, and a machine that can also connect into HVAC supply gives you the cleanest distribution available on a large floor. Ask what mounting kits exist before you buy, not after. Certification. Ask, and expect a specific answer - the Vaayu carries CE, RoHS and SGS. A supplier who is vague here is telling you something. Who refills it, and how often. This is an operations question wearing a product costume. A 400ml tank running up to about 75 days at a given intensity means someone thinks about it four or five times a year; a small tank at high intensity means someone thinks about it monthly. And one thing to refuse from every supplier: any commercial promise, because we make no claim that scenting affects sales, conversion, footfall, browsing time, basket size, revenue or what anybody buys.

I wrote this list so it would still be useful if you bought somebody else's machine, because a checklist that only fits one product is not a checklist, it is a brochure. Ask all nine of every supplier you speak to. The answers you get, and how quickly you get them, will tell you as much as the numbers themselves.

The two questions people skip are the last two, and they are the ones that decide whether a machine is still working in year two. Certification is a quick ask and a fair one. Refills are an operations problem in product clothing - a 400ml tank at a sensible intensity means somebody thinks about it a handful of times a year, and in a chain that somebody needs a name rather than a job title.

The limits, plainly. A machine is an ambience decision, and we make no commercial, therapeutic or medical claim - nothing about sales, footfall, revenue or what a customer buys. No product removes, neutralises or absorbs an odour, and fragrance never masks a smell that has a source. If your staff say the level is too much, it is too much, and that outranks any specification.
