Put the outlet where the machine will actually be, not where the electrician would naturally put one. If the intention is a wall mount behind or beside the reception desk, the socket wants to be at that height and ideally concealed by the unit itself, so there is no lead looping down a clean wall. If the intention is a shelf, the socket wants to be behind the shelf. The mount itself needs a solid substrate: 0.9kg is not heavy, but a fixing into unbacked plasterboard in a busy reception will loosen. Ask for noggins or a plywood pattress behind the finish at the chosen position. And leave a clear rectangle on the elevation drawing, because in a finished clinic that patch of wall is exactly where somebody hangs a framed certificate.
Tip: Mark the machine on the elevation as well as the plan. Positions that exist only on a plan get lost when the joinery drawings are done.

Line three
Out of the supply draught, near the return path
This is the line that costs nothing at design stage and cannot be fixed later. Air conditioning is your distribution system whether you planned it that way or not. A source placed directly under a supply diffuser is blasted with cold air, and the scent is thrown at the ceiling and dispersed before it has done anything useful in the occupied zone. A source near the return path is drawn through the space and distributed. Ask for the reflected ceiling plan with the supply diffusers and the return grille marked, and position the machine accordingly. It is worth noting the flip side honestly: on a system with a shared return between the front of house and the cabins, you cannot fully keep the corridor scent out of the treatment rooms, and the correct response there is a lower dose overall rather than a cleverer position.
Tip: If the machine is going to be HVAC-mounted, the access panel has to be reachable by a person with a step ladder, not sealed behind a plasterboard bulkhead.

Line four
Access for staff, out of reach of clients
The machine has a key-lock, which exists so the intensity cannot be quietly raised by whoever opens up on a Monday. That only works if the machine lives somewhere staff can reach and clients cannot - behind or beside the desk rather than on a console in the middle of the waiting area, and not inside a locked service cupboard where nobody will ever touch it. The second half of the same requirement is the sensitivity protocol: if a client says the fragrance is too much, the correct response is to reduce or stop it immediately, apologise once and not explain, and that is only possible if the person at the desk can stop the source without leaving the desk. Draw the position with both of those in mind and the operational rule becomes easy to follow rather than aspirational.

Architects ask me for a specification and I give them a socket, a rectangle, a draught note and an access rule, which I suspect is less than they were expecting. The reason the list is short is that everything else about this decision improves with waiting. Dimensions and services do not change. Coverage does, because the coverage question depends on a scented volume that nobody can measure honestly from a drawing.

The one line I would fight for is the draught. A socket can be added later at a cost and an inconvenience. A machine sitting under a supply diffuser cannot be argued out of the position it is in, and the owner ends up either accepting a scent that is thrown at the ceiling or running a cable across the room. Five minutes with the ceiling plan while the drawings are open prevents that permanently.

Only if the duct work is accessible, the system runs during the hours you want scent, and the front of house is genuinely served by that circuit. On a shared return that also serves the cabins, HVAC mounting will carry fragrance behind the corridor, which is the opposite of the zoning plan, and a wall mount in the reception is the better answer.
