Reception is not a placement decision. It is a room, and rooms are where fragrance is meant to arrive rather than where it should start. This is the five-step version of what I actually do when a clinic sends me a plan.

What is the method, in one line? Five steps, no equipment beyond a tissue, and about half a morning of your time. Why is 'put it at reception' not good enough? Because reception is a destination, not a source. Placing the machine in the room you want to smell nice is like putting a tap in the middle of a field - the water has nowhere useful to go. Air arrives in reception from somewhere and leaves it for somewhere, and the machine belongs at the arriving end. That is often a few metres from where founders instinctively put it, which is behind the desk, and those few metres are usually the whole difference between a clinic that works and one that gets turned up every month.

By running it as a procedure rather than making a judgement. Here is the whole thing, and it is the method behind every other post in this family. Step one: find where conditioned air enters the patient-facing space. Walk the patient-facing area with the air conditioning at working load and locate every supply grille, cassette or split unit that pushes air in. Step two: find where air leaves - return grilles, gaps under doors, the stairwell, the lift lobby. Hold a tissue at each grille: the one pulled flat is a return, the one blown away is a supply. Mark both on your plan in different colours. Step three: walk the path between them, at the busiest hour, because a clinic at ten in the morning behaves differently from an empty one at eight. Notice where the path runs past a clinical door, because procedure and graft rooms, post-procedure and recovery areas, and photography rooms are excluded before you start - they are unscented, not lightly scented, and if the main air path runs straight into them you have found a constraint rather than an opportunity. Step four: place the machine upstream of the space you want scented, at roughly a metre off the floor, at least a couple of metres from any return, angled into open volume rather than at a chair, and not at any workstation where somebody sits for eight hours. Upstream is the operative word: reception is where you want the result, not where the machine belongs. Step five: test for a week, then move it once. Set a low intensity, lock it, and leave it. Map the air before you touch a machine

Print your floor plan and walk it with the air conditioning at working load - not at eight in the morning with the system just started, but at the busiest hour you have. Hold a tissue at every grille. Where it blows away, that is a supply; where it is pulled flat, that is a return, and mark them differently. Add the front door, the corridor, the stairwell and the lift lobby, because all four move air. Then stand at the entrance and watch what happens each time the door opens. Twenty minutes of this tells you more about your clinic than any specification sheet, and it is the only part of the process that cannot be done from a drawing.
Tip: Mark the clinical rooms on the same plan in a third colour. They are exclusions, and you want them visible while you are choosing a position.

Reception is the destination; the machine belongs before it
With the map in front of you, the position is close to obvious: upstream of the space you want scented, on the path air already takes, roughly a metre off the floor, at least a couple of metres from any return, angled into open volume. Not behind the front desk, because the person sitting there receives the full output all day and stops being able to judge it. Not at a waiting chair, because one patient then gets a plume and the rest of the room gets nothing. Not at floor level and not high near a ceiling. If the position you arrive at is inconvenient, that is normal - the machine is small, waterless, under 38dB and mountable, so an inconvenient position is usually survivable.

One change at a time, and never the intensity dial
Set a low level, engage the key-lock and leave everything alone for a full week. Judge it in one way only: walk in from outside after being away for at least ten minutes. Your nose adapts within about twenty minutes indoors, so you and your front desk are the worst judges in the building. If it is too faint, move the machine - two metres, further upstream, past a return - and give it another week. If it is too strong, or a patient remarks on the fragrance itself, reduce it immediately; if a patient objects, switch it off rather than defend it. Almost everybody starts in the same place: the machine goes at reception, because reception is the room you want to smell good. It is a completely reasonable thought and it is backwards. Reception is where you want the result. The machine belongs wherever the air that ends up in reception is coming from, which in most clinics is a few metres away and in some is a different room entirely. Nobody discovers that from a floor plan; you discover it by standing in the building with a tissue for twenty minutes.
What I like about this as a method is that it is free and it is finite. Five steps, half a morning, no equipment. And it very often changes what you should buy - I have talked founders out of a ₹11,999 machine into a ₹1,899 one on the strength of a walk that showed their patient-facing area was one small room with a single supply above the door. I would rather lose that sale than sell somebody a machine that will spend its life at its lowest setting covering a fraction of what it is rated for.
The last step is the one that decides whether a clinic still smells right in year three. Move the machine; never raise the level. Every over-scented reception I have been asked to fix got there one setting at a time, by good people solving a real problem with the wrong control. Turning it up instead over-scents the room that was already correct, and every over-scented clinic reception got there one setting at a time. Move the machine two metres and give it a week.
How long should a placement test run before I judge it?
A full working week, with the intensity set low and key-locked so nothing changes midway.
