Take the floor plan and walk it. For every customer-facing space, record length, width, ceiling height, the air-conditioning zone it sits on, whether it has a door that actually closes, and roughly how long a customer stays. Convert to cubic metres. Two spaces on the same air loop with no door between them are one zone; two spaces with separate splits are two zones even if they share a wall. Mark the workshop boundary and the doors along it, because that decides whether the service side can be scented at all. This is an hour of work and it is the hour that determines everything else.
Tip: measure height, not just floor area. Tall showrooms are where floor-area rules of thumb fall apart.

The settings sheet
One page that outlives the person who wrote it
List every machine with its zone, placement, intensity, timer, serial, last refill and next refill. Set intensity by dwell time: entrance highest, display floor medium, lounge, closing rooms, delivery bay and service lounge lowest. Set timers by the working day - a start 30 to 45 minutes before opening, a stop at closing, a 1h run before closing-room blocks, an 8h run for service hours. Add the two boundaries in writing: nothing inside a vehicle, and no machine in the workshop, wash bay, paint area or parts store. Pin it in the manager cabin.

The first thirty days
Adjust daily, then lock and leave it
For the first month, walk in through the customer entrance each morning and judge every zone from the doorway, not from beside the machine, changing one step at a time and writing each change on the sheet. Sit in the lounge for fifteen minutes at the busiest hour. Sit in the customer's chair in a closing room. By around day thirty the numbers stop moving. Then switch on every key-lock, set the refill reminder for day 60 of the up to 75 day tank, and reduce to a monthly walk with the machines off first and on an hour later.
Tip: judge from the doorway, adjust one step at a time, and stop adjusting on day thirty.
